HR merch — final brief for the workforce that stays

The Human Resources team at a Mexican corporate runs the merch against the workforce's lifecycle: the welcome kit for the new hire, the tenure recognition at five, ten, fifteen, twenty or twenty-five years, the executive-level retention kit for the senior leadership that holds the firm together, the holiday kit for Mother's Day, Father's Day, year-end or the company anniversary, the uniform for the front-of-house team. This bundle consolidates the standard HR merch cycle and adds the executive-tier retention kit the firm's CHRO reviews against the bench-strength plan. We work with Mexican corporates headquartered in CDMX, Guadalajara, Monterrey, Querétaro, Puebla, Mérida, León, Tijuana and the rest of the country, with industrial operations in Baja California, Chihuahua, Coahuila, Nuevo León, San Luis Potosí, Guanajuato and Yucatán. The bundle is the documentation layer the HR director signs off at the year's first planning meeting.

The five tiers of the HR bundle

New-hire welcome kit

The welcome kit handed to the employee in their first week. Cotton tote with the employee handbook, laser-engraved thermos with the corporate logo, A5 stitched notebook with the corporate cover, rollerball pen, welcome card from the CEO. For onboarding programs with their own LMS, we add a QR code to the internal portal. NOM-035-aligned entry-accompaniment signal in the kit's documentation. MOQ 100 pieces; standard lead time 14 days.

Tenure recognition kit

The recognition at five, ten, fifteen, twenty, twenty-five or thirty years of service. Rigid box with foil anniversary seal, containing an engraved plaque with the employee's name and years of service, a curated premium piece, a handwritten card from the CEO. For employees with more than twenty-five years, a unique piece curated with a Mexican producer or artist. Allocation by name; the per-recipient file documents against the LFT's social-prevision perimeter.

Executive retention kit

The retention kit the firm's CHRO signs off for the senior leadership tier. Two-piece rigid box wrapped in textured paper with the firm's foil seal; inside, a leather portfolio with the executive's name foil-stamped on the inside cover, a writer-grade rollerball, a curated single-origin spirit from a Mexican producer, a letterpress card from the CHRO. Allocation by name against the bench-strength roster; the per-piece value documents against the LFPIORPI-aligned file.

Holiday and celebration kit

The kit for Mother's Day, Father's Day, year-end or team celebrations. Box with gourmet product, wine or spirits from a local producer, panettone or curated sweet, card with greeting from the HR director or the CEO. For celebrations with a virtual program, we add a QR code to a video greeting from the leadership team. Allocation by family for the family-facing cycle; allocation by team for the team-facing cycle.

Front-of-house uniform

For corporates with a dress code or uniform program. Oxford shirt, piqué polo, blazer, dress pants, skirt, embroidered with the corporate logo on the chest and sleeve. NOM-004 textile-labelled. Extended size table from XS to 3XL with a women's cut option. The size table confirms with the HR department before the run; the receipt documents against the social-prevision perimeter.

The Mexican HR framework and the ESG reporting layer

In Mexico, the tenure gift is a widespread practice but is not regulated by the Federal Labor Law. What is regulated is the aguinaldo (minimum 15 days of salary), profit-sharing (PTU, 10% of the employer's profits) and social-prevision benefits. HR merch sits in the space of non-mandatory benefits and operates with the HR department's internal budget. When the corporate has operations with a specific union section, gifts are delivered in coordination with the vigilance committee and documented with a receipt record.

The onboarding kit plays an additional role under NOM-035, the Mexican standard on psychosocial risk factors at work. The kit delivered to the new hire in their first week reduces uncertainty about the new environment and contributes to the "entry accompaniment" indicator that the standard evaluates. For corporates that report ESG or sustainability, merch with sustainable materials —GOTS-certified organic cotton, GRS-stamped RPET, FSC paper— is documented with the corresponding certification and filed with the annual report.

Multi-site delivery logistics

For corporates with operations in CDMX, Guadalajara, Monterrey, Querétaro and the rest of the country, we manage multi-site delivery with a CFDI per site and the Carta Porte 3.0 complement when the shipment travels under our account. Consolidation happens at our CEDIS in Tlalnepantla and from there runs are distributed to each site with parcel tracking and HR responsible signature at destination. For industrial operations in industrial parks with restricted access, we coordinate delivery with the site security department and the HR team.

For corporates with IMMEX operations that import part of the merch, we handle the temporary-import pedimento and the regularization when the merch stays in the country. For plant employees with work uniform, the uniform is delivered with size verified by the HR department and documented with employee signature on the receipt format. The invoice is issued with CFDI 4.0 before SAT with 16% IVA broken out when applicable, exempt when it counts as deductible social-prevision expense.

The reservation closes with a six-point brief: audience tier (new hire, tenure, executive, holiday, uniform), number of beneficiaries per tier, delivery regions, corporate brand-manual palette, card message when applicable, and the ESG certification requirement if any. With that data we produce a three-piece pilot for approval before the full run. Final delivery is coordinated with the HR responsible for each site and documented with received photo and signature.
