How the right merch type is chosen for a Mexican program

Choosing the type of merch for a corporate program in Mexico is not pulling the lowest-priced line from a generic catalog. It is an operating decision shaped by four variables that live in the same brief: the audience the merchandise is reaching, the material that absorbs the decoration technique cleanly, the tax regime under which the unit is invoiced, and the production window the program timeline can absorb. When those four variables align on the first call, the match between what the corporate needs, what the recipient receives and what the SAT requires on the invoice is settled without reopening the PO mid-run. When the type is picked without checking the technique, or the quantity is locked without checking the carta porte, the surcharges arrive that force a mid-run renegotiation.

The first variable is audience. For operating programs in plant (manufacturing, logistics, hospitality, retail, construction, field service) we pick type that survives industrial wash and drops: ringspun cotton tees with pre-shrunk treatment, hoodies with brushed-back fleece at 320 GSM, six-panel cotton twill caps, 18/8 stainless steel bottles, Cordura backpacks. For office and employee recognition we pick type with better presentation: sandblasted glassware, leather sets with visible stitching, aluminum pens with laser-engraved name, sewn-bound agendas with ribbon. For conventions, trade-shows and commercial tours we pick type that travels light and reads visually: foldable backpacks, rechargeable USB lighters, luggage tags, full-color sublimated lanyards in brand colors.

The second variable is the decoration technique. Not every type accepts every technique. Screen print is viable on apparel and paper, with one to four flat colors and runs of 50 to ten thousand pieces. Embroidery applies to mid and high-weight apparel, plus caps and backpacks, with higher setup but premium finish. Sublimation applies to full-color on mug, mousepad, lanyard and white apparel. DTF and DTG apply to tees with gradients or full-color photography without pre-press separation. Pad print applies to curved rigid pieces such as pens, keychains, USB sticks and ceramic. Laser engraving applies to metals, woods, leathers and acrylics. The recommendation depends on the material, the volume and the complexity of the artwork arriving from the corporate.

The third variable is the tax regime. If the type is invoiced with 16% VAT broken out, we declare it on the quote. If the corporate is subject to VAT retention, we add it as a separate line so the procurement platform (CONTPAQi, Aspel, SAP Business One, Oracle NetSuite) closes the match to the cent. If the shipment crosses the border under an IMMEX program, we issue the pedimento. If it ships domestically with Estafeta, Paquetexpress, FedEx México or DHL México, we generate carta porte 3.0 with the SAT-required complement alongside the CFDI XML. If the audit asks for LFPDPPP, NOM textile 2026 or GOTS/OEKO-TEX certificates, we attach them to the shipment and file them in the procurement portal we set up for the account.

The fourth variable is the production window. Five business days for short runs with screen print or embroidery on in-stock type. Ten for medium runs running several techniques at once. Fifteen to twenty for long runs with full-color technique or assembled type. If the program closes around an event, we work with at least four weeks of margin. If it falls inside the fiscal close window, we plan with at least eight weeks. The window often dictates the type: when the deadline is tight, we rule out pieces with assembly or materials that require baking and curing.

Step one is sending the brief to [email protected] with the tentative type, the estimated quantity and the delivery date. If artwork is ready, attach it as vector (.AI, .EPS or .PDF with fonts converted to outlines); if it is only bitmap at 300 dpi in real size, we vectorize it at minimum cost before sending to press. Inside 24 business hours we return a quote broken out by volume tier, recommended technique, realistic lead time and notes on the tax regime that applies to the type.

Step two is the physical sample. We produce two to five pieces per reference as a sample, with a deposit that credits back at the close of the main order. For international trade-shows we usually send two pieces per SKU with DHL Express and refund the freight to any client who decides to produce with us. Sample turnaround is five to seven business days from artwork approval. Without an approved sample, production does not start.

Step three is production. Once the sample is approved and the deposit is received, we schedule the run in plant. Standard production is ten to fifteen business days. For long runs in full-color or on assembled types, fifteen to twenty. If the brief opens on a Monday morning we usually deliver before the close of the third week. Rush jobs (five to seven days) are quoted with a surcharge that depends on material and technique; we do not accept rush over techniques that require baking or curing.

Step four is delivery. For Mexico City metro area we run local motorcycle couriers with 24-hour delivery. For the rest of the country we ship with Estafeta, Paquetexpress, FedEx México or DHL México depending on weight, urgency and destination. North and border (Monterrey, Chihuahua, Tijuana) typically go by Estafeta ground unless urgent; destinations such as Cancún, Mérida or Puerto Vallarta ship ground with three to five business days. Each shipment leaves with carta porte 3.0 and CFDI 4.0 stamped in the same operation.
