Two roles · Two sets of constraints
Who buys corporate merch in Mexico
The person who commissions merchandise and the person who signs the invoice are rarely the same person, and they care about different things. One is measured on whether the event worked; the other is measured on whether the number was approved. These two profiles describe what each of them actually has to decide, so that a proposal can be written for the person who will read it rather than for a generic buyer.
The two roles
The marketing executive owns an outcome — attendance, retention, a launch that lands — and merchandise is one instrument among several. Their constraints are the event date, the brand standard and what the audience will actually use. Their brief usually arrives late and in the wrong format, because they are writing it while doing four other jobs.
The person who owns the merch programme is usually in operations, procurement or administration. Their constraints are the budget cycle, the approval chain and the invoice. They are measured on whether the number was authorised and whether the paperwork closes, which is why a quote that is easy to approve often beats one that is cheaper.
What each role needs from a quotation
- For the objective owner. Item recommendations tied to a purpose, with quantities per head rather than a catalogue.
- For the programme owner. A line-by-line structure: unit price, setup, decoration, freight, IVA and total.
- For both. The invoicing entity and RFC, stated on the quotation so approval is not delayed later.
- For both. A production calendar with the artwork deadline, the production date and the delivery date.
- For both. What happens if the count changes, and at what point the number becomes final.
- For both. One contact who answers the question, instead of a switchboard.

Send us your brief
Whatever your role, tell us the objective, the date and the constraint. If the brief is not finished, send what exists — the parts that are unclear are the parts we will ask about first.
