Conference attendee kits assembled and shipped across Mexico
A conference kit is what the attendee carries from the registration desk through every session, panel, networking cocktail and hotel night. We assemble kits for industry, academic, medical and B2B conferences in CDMX, Guadalajara, Monterrey, Mérida, Puebla, Querétaro and León, in volumes from 80 pieces for a niche technical gathering to 8,000 pieces for a national industry congress. CFDI 4.0 with 16% IVA, USD wire for international organising committees, individual attendee pick-and-pack when the manifest is finalised.
What a Mexican conference kit has to handle
A conference kit assembled in Mexico has to perform four jobs at once. It has to be the attendee's on-site identity carrier (badge, lanyard, programme), their working tool during sessions (notebook, pen, charger), their takeaway at the end of the day (printed materials, USB with proceedings, sponsor handouts) and their carry-home for the family or the office (tote, water bottle, snack). Skipping any of the four jobs makes the kit feel incomplete by the second coffee break.
The kit also has to survive the conference's physical environment: the conference centre at Centro Citibanamex, WTC CDMX, Expo Guadalajara, Cintermex in Monterrey or Centro de Convenciones de Yucatán is air-conditioned, the venues at Polanco and Santa Fe hotels are carpeted and warm, and the medical congresses at hospitals like Hospital Español, Centro Médico ABC or Hospital Angeles require latex-free and clean-room-friendly materials. We adjust the material specification per venue and per audience.
The standard conference kit, by component
Identity carrier
Recycled-PVC conference badge with the attendee's name and QR code, woven or dye-sublimated lanyard with the conference identity and the year, optional plastic card holder. We coordinate with the registration platform (Bizzabo, Eventbrite, Cvent, MeetZep, Tito) for the badge data feed. Range USD 1.40–3.80 per badge+lanyard.
Working tool
A5 notebook with the conference branding on the cover, recycled-paper pages, 80–120 sheets; matching pen with brass barrel and conference-year engraving; conference-branded cable organiser; optional USB-C charger with the conference logo. Range USD 4.20–9.50 per kit.
Session takeaway
Printed programme and proceedings, sponsor handouts inserted by category, USB drive with proceedings for the medical congresses, evaluation form for the post-event CME credits, name-card exchange pocket. Range USD 2.80–6.50 per kit depending on print volume.
Carry-home
Recycled-cotton tote with the conference identity, 500 ml stainless water bottle NOM-251 compliant with the conference and the city printed on it, regional snack (Oaxacan chocolate, jamoncillo, piloncillo from Chiapas) for the local anchor, optional sponsor-branded item. Range USD 6.50–14.00 per kit.
Logistics and on-site assembly
For 80-to-500 piece conferences, the kit is assembled at our partner workshop in Iztapalapa or Escobedo and shipped to the venue or the organising committee's office in advance. For 500-to-8,000 piece national congresses, we run a staging on the venue floor 1–2 days before the registration opens: the badges are printed against the registration data feed, the printed programmes are inserted, the sponsor handouts are sequenced by sponsorship tier, and the kit is packed into the conference tote ready for the registration desk.
For international organising committees that book a Mexican venue and procure the kit from abroad, we issue the commercial invoice in USD with the corresponding CFDI 4.0 in MXN to the Mexican operating entity (the conference organiser's local representative), 16% IVA itemised, complemento de pagos when the invoice is settled in instalments. For organising committees that operate under the IMMEX programme for an in-bond educational event, we coordinate the in-bond temporary import of the kit components through the conference's local customs broker and re-export them at the close of the event.
FAQ — conference kits
How long does it take to assemble 1,000 kits?
25–30 working days from brief approval for the off-the-shelf components. 35–45 days for kits with custom components (special pen, special notebook paper, special tote weave). For 5,000+ piece national congresses we recommend 60 days with a single point of contact assigned to the run.
Can we print the badges against the registration data feed?
Yes — we connect to the registration platform (Bizzabo, Eventbrite, Cvent, MeetZep, Tito) and print the badges on a rolling basis. Final badge data is typically locked 5–7 days before the conference opens. Late registrants are printed on-site at the registration desk.
Do you handle the on-site assembly?
Yes — for national congresses we run a staging team on the venue floor 1–2 days before the registration opens. The team is bilingual (ES / EN), badged for the venue, and coordinated with the venue's event office for access and security.
Can the contents be branded differently per sponsorship tier?
Yes — platinum-tier kits carry the conference tote + bottle + notebook + pen + sponsor-exclusive gift, gold-tier kits drop the sponsor gift, silver-tier kits are tote + notebook + pen. The sponsorship tier is printed on the kit label so the registration desk can distribute by tier.
Request a conference kit quote
Send the conference name, dates, venue, expected attendance, sponsorship-tier structure, registration platform and the visual identity references. We prepare a tiered proposal with per-kit cost, on-site staging fees, badge-printing integration and the CFDI / USD billing split.
