Event promotional kits in Mexico: what the attendee keeps and uses after

An event is measured by what the attendee takes back to their desk. When the t-shirt becomes a weekend piece, the thermos shows up at Monday's meeting and the notebook opens for the next idea, the organizer's brand keeps working alone for months. We build event promotional kits around the audience type and the date: industry congress in Polanco, trade fair in Cintermex, brand launch in WTC CDMX, B2B expo in Expo Guadalajara, regional roadshow with stops in Monterrey, Querétaro and Mérida. We work with trade associations, business chambers, in-house marketing teams at Mexican corporates and event agencies that need consistent pieces and predictable production.

The pieces that make up the kit

Event-branded t-shirt

Combed cotton 180 g, unisex or women's cut, one-color screen print or full-color DTF depending on the event logo. Sizes XS to 2XL with a printed size chart on the collar. For long roadshows with 500 to 2,000-piece runs, we manage production with safety stock across dates.

Canvas or RPET tote bag

220 g natural cotton canvas with 60 cm handles and 8 cm gusset, or 150 g RPET with metal zip closure for programs that need a sustainability narrative. One- or two-color screen print, hot-stamping in gold or silver foil for premium versions.

Engraved thermos 470 or 590 ml

Double-wall stainless steel, screw-on or push-pull lid, matte or polished finish. Laser-engraved organizer logo with the event date when applicable. Individual packaging in white or kraft box.

A5 hardcover notebook with event cover

Hardcover with foil-stamped cover, 96 ruled or grid pages, side-stitched binding, ribbon bookmark. Cover with the event isotype, date, venue and tagline. For academic conferences we add a day-program separator.

Lanyard with badge holder

20 mm polyester lanyard with safety breakaway buckle, transparent or rigid PVC holder, printed badge with the attendee name when event registration permits. For sponsors with branding rights, lanyard with co-branded organizer + sponsor logos.

Metal rollerball pen

Aluminum body with metal clip, black or blue gel ink, laser-engraved organizer logo. Individual packaging in transparent bag with identification card.

Why a promotional kit is not the same as a gift box

The difference between a promotional kit and a corporate gift box is duration. A gift box gets opened once, admired, then forgotten. A promotional kit gets opened during the event and used afterwards: the t-shirt on the next casual outing, the thermos at the office, the notebook at the next meeting. That's why we control three details that seem minor but make the difference. The cotton quality in the t-shirt, because if it shrinks on the first wash the attendee will throw it out. The thermos lid, because if it leaks the attendee mentally returns it to the booth. The notebook binding, because if pages fall out after two months the organizer loses the registered mark.

When the event has a pre-booked appointment program and we know who receives each kit, we upgrade the packaging to an individual box with a personalized card per attendee. The card carries the recipient's name, the first follow-up date and a QR code to the event site. That piece-by-piece OCR check is what lets us scale three-hundred to five-hundred cards per event without errors —the merge is done with the database the organizer loads into the CRM after the event.

Trade fair logistics and delivery to the venue

For fairs at Cintermex Monterrey we deliver to the venue loading dock with Carta Porte 3.0 and booth assembler coordination. For ANTAD at Expo Guadalajara, ITM at Poliforum León and Tianguis Turístico at its rotating headquarters, delivery is scheduled two weeks in advance to the exhibitor's CEDIS or directly to the booth with assembler access. For WTC CDMX and Expo Santa Fe, delivery to the booth can happen on the same setup day with a four-hour window depending on venue availability.

When the organizer requires additional inventory on site —reinforcement kits for day two, VIP kits for top clients arriving at the inauguration— we manage production with safety stock that travels with the main shipment and is released from the booth as needed. The invoice is issued in a single CFDI 4.0 to the Mexican organizer, or with the foreign trade complement when the organizer is foreign. 16% IVA broken out when applicable; exempt when the export complement is issued to a foreign legal entity. For organizers with an ISR withholding program on services, we handle the corresponding withholding receipt.

Schedule, costs and MOQ

Standard kit with t-shirt, tote, 470 ml thermos, A5 notebook and lanyard with badge — from MXN $385 before IVA per kit on a 500-piece run. With individual kraft box and personalized card per attendee — from MXN $625 on a 300-piece run. VIP kit with rigid hot-stamped box, 750 ml thermos, metal rollerball pen and premium notebook — from MXN $2,485 on a 50-piece run. MOQ is 300 kits per event; for annual calendars with four or more fairs we negotiate a contract with locked-in pricing and recurring production.

Runs with individual attendee data add five to ten business days to the lead time. The reservation closes with a four-point brief: event date, venue, quantity per kit, organizer brand-manual palette and card message when applicable. With that data we produce a three-piece pilot for approval before the full run. Final delivery is coordinated with the booth assembler and documented with received photo and venue responsible signature.
