Webinar: promotional merch strategy for companies

A ninety-minute session to build an annual promotional merch programme: how to choose product lines, how to align with the commercial calendar, how to define audiences, how to measure impact and how to adjust on the fly. Built for marketing, internal communications and procurement teams wanting to professionalise the function.

Webinar goals

By the end of the session, attendees can design an annual promotional merch programme aligned with their company's commercial calendar, with defined budget and impact metrics. Attendees receive an annual programme template with product lines, audiences, calendars and KPIs per line. The session is recorded and delivered to registrants who cannot attend live.

The session is capped at forty attendees to keep the conversational format. Questions are answered live during the session. When a question needs extended handling we address it by email after the webinar. Supporting material — template, campaign examples, success stories — is delivered within forty-eight business hours of the session.

Programme: building an annual programme

The annual programme is built in four blocks. Block one is the budget: total available per year and distribution per product line. Block two is the calendar: commercial milestones of the year — Hot Sale, Buen Fin, Mother's Day, Christmas — and aligned merch pieces. Block three is the audience: customers, employees, prospects, press, VIP. Block four is the operation: named lead, approval calendar, delivery plan.

The budget distribution per product line depends on the sector and the commercial moment. For a mass consumer company the largest budget line is in-store promotion. For a tech company the largest budget line is the onboarding kit for employees. For a financial institution the largest budget line is operational uniform and executive recognition.

Programme: audiences and pieces

The audience splits into five blocks. Current customers: retention pieces, anniversary kits, merch for relationship events. Employees: operational uniforms, onboarding kits, recognition. Prospects: merch for fairs, internal demos, open houses. Press: launch kits, pieces for journalists. VIP: premium pieces with careful packaging, home delivery.

Each audience has a distinct piece and budget. For current customers the unit cost can be high because the piece is delivered once a year. For employees the unit cost must be low because it is delivered each time there is a joiner. For prospects the unit cost is medium because it is delivered at events with high rotation. For press the unit cost can be high for careful presentation. For VIP the unit cost is high because the piece is premium.

Programme: commercial calendars

The annual commercial calendar is built with the milestones of each sector. For mass consumer, milestones are Hot Sale, Buen Fin, Black Friday, Mother's Day, Children's Day, Christmas. For banking, milestones are quarter-end, annual shareholders meeting, savings day, year-end. For technology, milestones are product conference, internal demo, recruitment fair, open house. For education, milestones are admission, graduation, anniversary, return to class.

Each milestone requires a merch piece with a delivery lead time. Planning kicks off three months ahead for critical milestones and six months for major ones. Forecast updates quarterly and translates into capacity reservations with the workshop. When a milestone cancels, the reservation is released and reassigned.

Programme: metrics and KPIs

Programme metrics split into three blocks. Operational metrics: pieces delivered on time, non-conformities, returns. Financial metrics: spend per product line, average unit cost, cumulative revenue. Impact metrics: pieces in audience hand, merch NPS, pieces shared on social, leads attributable to merch.

Operational metrics are measured automatically by the workshop — the customer dashboard delivers the detail. Financial metrics are measured by the customer's finance area. Impact metrics require instrumentation on the customer side — surveys, QR code on the piece, lead tracking in CRM. For customers with robust instrumentation we deliver operational and financial metrics and the customer provides impact.

Success stories and examples

During the webinar we share three anonymised success stories with detail of programme, budget, calendar and results. The first story is a mass consumer company that reordered its merch programme and dropped the average unit cost by twenty-two per cent. The second story is a fintech that professionalised the onboarding kit and lifted the joiner process NPS. The third story is a financial institution that aligned merch with the internal communications calendar and improved brand consistency.

Stories are shared in PDF format within the supporting material. When a customer wants a specific case from their sector, we develop it as a private session based on workshop operation. The private case is delivered within two business weeks of the session.

Webinar logistics

The webinar runs twice a year — in May and November — capped at forty attendees. Registration opens four weeks ahead and closes one week before the date. The session lasts ninety minutes with a ten-minute break at the midpoint. Language is Spanish with material in Spanish and English. The recording is delivered within forty-eight business hours.

For corporates with larger teams — more than five attendees — we run private sessions on a custom calendar. The private session lasts two hours with space for the customer's team questions and with cases specific to the customer's sector. The registration fee is negotiated against number of attendees and session duration.
