Virtual Room 1 — where the Mexican corporate gathers its distributed headcount from CDMX, Monterrey, Guadalajara, Querétaro, Mérida and Tijuana in a single Zoom or Webex session

Virtual Room 1 is the virtual room where the Mexican corporate with distributed team runs its all-hands, quarterly OKR review, internal product launch, employee-of-the-month recognition, or CEO AMA session. Virtual Room 1 has no physical location: it is an encrypted session on Zoom, Webex, Microsoft Teams or Google Meet with capacity for 50 to 1200 employees on shared screen. What distinguishes Virtual Room 1 from an ordinary virtual meeting is not the platform, but the audiovisual production with dedicated camera, headset microphone for the CEO and presenters, green screen for corporate chroma key, and merch kit dispatched to each employee's home office 5 business days ahead. The merch that arrives here operates as a home-office employee kit: flat box with notebook, pen, healthy snack, encrypted USB with the CEO message, personal letter from the CEO, badge with employee name and corporate recognition programme membership.

Virtual Room 1 logistics, platform and custody

Virtual Room 1 operates with a single virtual entry. Employees connect from their home office in CDMX, Monterrey, Guadalajara, Querétaro, Mérida, Tijuana, León, Puebla, Cancún, Veracruz or Cuernavaca, with identity verification via corporate SSO (Okta, Azure AD, Google Workspace, OneLogin) and MFA by TOTP or WebAuthn. The session is recorded with employee consent for the corporate internal repository, with 90-day retention and optional download for later review.

The videoconferencing platform runs with AES-256 GCM encryption, SRTP protocol for audio and TLS 1.3 for signalling, with platform failover (Zoom + Webex + Microsoft Teams + Google Meet) in case the primary platform fails. The audiovisual production runs with dedicated Blackmagic URSA Mini Pro or Sony PXW-Z280 camera, Shure SM35 or DPA 6066 headset microphone, green screen with corporate chroma key, and digital audio mixer with analogue backup.

For all-hands with restructuring, merger, acquisition or CEO change announcement, we follow the internal communication protocol and the confidentiality clause signed by the employees before the kit is handed over. For all-hands with HR coverage for payroll, benefits, training or benefits questions, we follow the HR manual and the LFPDPPP for personal data handling.

For all-hands with union attendance (STUNAM, STRM, CROC, CTM, SNTSS, Independent Union) when applicable, we follow the collective contract and the corporate protocol for union representative attendance, with reserved kit for the union leader. For all-hands with authority attendance (STPS, Junta de Conciliación y Arbitraje, IMSS), we follow the visiting authority protocol and the supervision agenda.

Virtual Room 1 compliance and regulations

Virtual Room 1 has rules the merch must respect: no merch with noise elements (bells, alarms, pre-recorded voices) to avoid employee audio interruptions, no merch with third-party logos not authorised by the corporate, no merch with flammable or sharp materials, no delivery to persons other than the employee verified by official ID. For all-hands with employee attendance in foreign-exchange-control countries (Argentina, Turkey, Egypt, South Africa, Nigeria), we support customs declaration of the kit with declared value below the duty-free threshold or full declaration when the value exceeds it.

For all-hands with attendance of expatriate employees in the United States, Canada, UK, Germany or Spain, we handle international dispatch via FedEx International or UPS Worldwide with USMCA compliance when applicable. For all-hands with employee attendance in free trade zones (Querétaro, León, Salamanca, Irapuato, Aguascalientes, San Luis Potosí), we provide complementary invoicing with free-trade-zone operating expense deduction support.

For SAT invoicing, we issue CFDI 4.0 with 16% IVA breakdown and support for deduction as Public Relations, Marketing or Training expense, depending on the merch use. For corporates with IMMEX operations, we provide complementary SAT invoicing with 16% IVA breakdown and USMCA support when the kit crosses the border as part of the expatriate employee kit. For corporates with home offices in countries requiring local invoicing (United States, Canada, UK, Germany), we invoice in the local currency at the Banco de México rate of the day before dispatch.

Merch is delivered with carta porte 3.0 when interstate or international transit applies, with foreign trade complement when the kit crosses the border, and with payment complement when the corporate pays in instalments. For all-hands with employee attendance in jurisdictions with international shipping restrictions (Cuba, Iran, North Korea, Crimea, Donetsk, Lugansk), we suspend dispatch and substitute with corporate electronic gift card to maintain recognition equity.
