VIP Hospitality Room — where the keynote speaker changes, the PE fund CEO closes a dinner behind closed doors, and the Mexican athlete rests before the conference

The CDMX VIP Hospitality Room is the room where Mexican corporates receive visiting keynote speakers, CEOs in from Madrid, Singapore or Bogotá, Olympic athletes on tour, international artists visiting for Corona Capital or Vive Latino, and board members arriving for a closing dinner. Capacity runs 30 to 80 in cocktail format or 18 to 36 in seated dinner format. What distinguishes the VIP Hospitality Room from any other room in the same hotel or convention centre is not the location (typically on an upper floor, separated from the main room by a service corridor with double doors), but the low-profile protocol. In the VIP Hospitality Room, no one photographs without authorisation, no one posts to social media, no one leaks the guest list, no one comments on who sat with whom. The merch delivered here operates under the same protocol: impeccable presentation, no logos that compromise guest privacy, no packaging that makes noise on opening, no questions that inconvenience the guest.

VIP Hospitality Room logistics, access and custody

The VIP Hospitality Room operates with a single access, generally via the hotel's service elevator or the convention centre's private corridor. The load-in entrance accepts rolling briefcases and a single load cart with capacity for 12 boxes. Delivery is made with prior identification of operations staff and signature in the logbook, typically during a 6:00 to 9:00 or 14:00 to 17:00 window, before the speaker's or VIP guest's arrival. There is no extended mounting window: material is staged in the auxiliary room and installed on the VIP Hospitality Room table during attendant shift change.

For international speakers on temporary work visas, we liaise with the corporate protocol team and the consulate when applicable. For speakers with parallel agendas (media round, dinner with the board, book signing, meet & greet with premium clients), we run parallel kit production with differentiated editorial curation: speaker kit, premium-client kit, staff kit. For international artists on CDMX tour, we coordinate with the manager, technical rider, and customs regime when the merch crosses the border as part of the hospitality kit (USMCA compliance, foreign trade complement, carta porte 3.0).

For corporates with IMMEX or US invoicing, we provide complementary SAT invoicing with 16% IVA breakdown and support for deduction as Public Relations or Marketing expense. For entertainment groups invoicing in USD or EUR, we invoice at the Banco de México rate of the day before the event. The merch chain of custody is documented with signature, time, and (where the VIP protocol allows) discreet photography at each control point: service entry, inspection by room operations staff, transfer to auxiliary room, restocking during the event, post-event collection.

VIP Hospitality Room confidentiality, prohibitions and compliance

The VIP Hospitality Room has operating rules the merch must respect: no merch with noise elements (bells, music, pre-recorded voices), no merch with logos that compromise guest privacy (competitor brands, third-party logos not authorised by the corporate), no pets and no food outside the room's catering service, no merch with flammable or sharp materials. For keynote speaker, Olympic athlete or international artist hospitality, we comply with the five-star hotel or convention centre protocol and the inviting corporate protocol, as well as the guest manager's protocol.

For hospitality with public officials, diplomatic corps or guests with escort, we comply with the VIP Hospitality Room security protocol and the Banca y Industrial Police when applicable. For hospitality with television broadcast or media coverage (speaker press conference, interview with the visiting CEO), we comply with the broadcast protocol with camera-visible and camera-hidden pieces, depending on the corporate manual.

For SAT invoicing, we issue CFDI 4.0 with 16% IVA breakdown and support for deduction as Public Relations, Marketing, or Training expense, depending on the merch use. For corporates with IMMEX or US operations, we provide complementary invoicing in USD or EUR and USMCA support when the merch crosses the border. The merch is delivered with carta porte 3.0 when interstate or international transit applies, with foreign trade complement when applicable, and with payment complement when the corporate pays in instalments.
