VIP Room C: the room where an industrial group's CEO sits with an SME owner they are about to acquire, and hands them a kit worth more than the memo

VIP Room C is the third of three VIP rooms at the five-star hotel complex in Polanco: 8 covers on the rectangular table or 6 on individual tables, side-garden view, sommelier-curated cellar, private entrance with double security, capacity for a three-course menu paired by the hotel's sous chef. This is where the CEO runs acquisition-prospect one-to-one sessions (SMEs on the market for succession or strategic reasons), where family offices run investment-committee due-diligence sessions (when evaluating entry into the fund), where the corporate welcomes new strategic partners (when a capital raise has closed), and where departing partners get their farewell moment. What defines VIP Room C is not the menu (the briefest of the three), but the symbolic weight: every piece delivered at this table has to say exactly the right thing, no more, no less.

VIP Room C logistics, access, and custody

VIP Room C runs on the same service entrance as VIP Rooms A and B: the hotel complex's service entry, which accepts a 3.5-ton box truck on a restricted schedule (usually 11:00 to 14:00 and 17:00 to 20:00). The pedestrian service entrance requires pre-registered ID, hotel badge, and logbook signature. The hotel's ops staff hand off POP material and session kits with visible ID and badge. The back-of-house of VIP Room C has a single zone: the protocol room, where the merch sits in sealed corporate-stamped boxes. VIP Room C has no kitchen visible to guests: the hotel's chef sends plates from the central kitchen through a service corridor, and table service is coordinated with the hotel's maître d'.

For sessions attended by international candidates (typically from the US, Europe, or Asia), we handle USD invoicing at the Banco de México FIX rate from the day before, with USMCA compliance and supporting documentation for deductibility as Corporate Governance or Public Relations. For sessions attended by regulatory authorities or public officials, we handle compliance with the hotel security protocol and the Policía Bancaria e Industrial when applicable. The custody chain is documented with signature, time, and photo at every control point: service-entry ingress, hotel-ops inspection, transit to protocol room, intermission restock, post-session pickup.

For corporates with IMMEX operations, we issue complementary SAT CFDI 4.0 invoicing with the 16% IVA breakdown and supporting documentation for deductibility as Public Relations or Corporate Governance. For family offices, we invoice under the business-activities regime with income from participation in other companies. For industrial groups with US operations, we issue bilingual (es/en) invoicing with USMCA compliance when the session kit crosses the border as part of the hospitality kit for the foreign-resident candidate.

Confidentiality, VIP Room C compliance, and prohibitions

VIP Room C has operating rules that the merch must respect: no mobile phones in the room during the session, no merch with elements that produce noise or distraction, no backpacks or large bags in the room, no POP material with third-party logos (a frequent request from corporates), no food or drinks outside the hotel's catering service. For sessions requiring limited-edition merch (numbered capital-raise anniversary tee, signed book from the invited author, coaster with the acquisition year), we coordinate with the hotel's ops team so the piece satisfies the security protocol, the confidentiality protocol, and the transmission protocol (when the session is internal and not recorded).

For sessions with media coverage (post-acquisition press conference, quarterly results reveal, annual strategy launch), we handle compliance with the corporate and the hotel press protocols, with pieces that carry no third-party logos or are digitally masked when the corporate manual requires it. For sessions with internal transmission to the group's plants (Bajío-, Monterrey-, or Saltillo-transmitted sessions), we handle compliance with the corporate transmission protocol, with pieces visible on screen and pieces concealed from the transmission. For sessions live-streamed abroad (videocall with investors in London, NY, or Frankfurt), we handle time-zone compliance and shipping of pieces to the international houses two weeks in advance.

For SAT invoicing, we issue CFDI 4.0 with the 16% IVA breakdown and supporting documentation for deductibility as Public Relations, Corporate Governance, or Hospitality, depending on how the merch is used. For corporates with IMMEX or US operations, we issue complementary USD or EUR invoicing with USMCA compliance support when the merch crosses the border as part of the hospitality kit. The merch ships with carta porte 3.0 when interstate or international transit applies, with the foreign-trade complement when applicable, and with the payments complement when the corporate pays in instalments. Delivery to the protocol room is documented with an entry slip signed by the hotel's head of operations and the corporate's logistics lead.

VIP Room C frequently asked questions

Can you deliver the session kit at the end of the nightcap instead of at the start?

Yes — we coordinate delivery at the close of the nightcap (after dessert) so the piece does not distract from the central conversation. The custody chain is documented with the maître d' and protocol lead's signatures, and held in the protocol room until the moment of delivery.

Can you handle the merch for sessions that recur with multiple candidates?

Yes — we run per-session programming with the same brand manual, scaling the run to match the session agenda and special guests (international candidates, regulatory authorities, external auditors). Coordination with the M&A directorate or the investment-committee secretariat for the editorial curation of the kit.

Can you invoice the merch as an M&A or capital-raise expense?

Yes — we issue CFDI 4.0 to the SAT with the 16% IVA breakdown and supporting documentation for deductibility as M&A, Capital Raise, or Corporate Governance, depending on how the merch is used. For corporates with IMMEX operations, we issue complementary USD invoicing with the foreign-trade complement and USMCA compliance.
