VIP Room A: the room where the CEO dines with the board, and nobody mentions the decision that was just made upstairs
VIP Room A is the first of three VIP rooms at a five-star hotel complex in Polanco: 32 covers on the imperial table or 24 on round tables of eight, garden view, open kitchen for tableside service, dedicated sommelier cellar, private entrance with security, capacity for a five-course menu paired by the hotel's chef. This is where industrial groups run their post-board executive dinners, where C-level retreats close out the night, where franchise owners entertain their spouses, where family offices host their international advisors, and where nearshoring consortiums host their Asian supplier delegations. What defines VIP Room A is not the food (which is high-end), but the atmosphere. Merch delivered at this table has to pass the silence test — it has to speak well of the corporate without making a sound.

VIP Room A runs on a single service entrance: the hotel complex's service entry, which accepts a 3.5-ton box truck on a restricted schedule (usually 11:00 to 14:00 and 17:00 to 20:00). The pedestrian service entrance requires pre-registered ID, hotel badge, and logbook signature; there is no informal access. The hotel's ops staff hand off POP material and guest kits with visible ID and badge. The back-of-house of VIP Room A has a single zone: the protocol room, where the merch sits in sealed corporate-stamped boxes. VIP Room A has no kitchen visible to guests: the hotel's chef sends plates from the central kitchen through a service corridor, and table service is coordinated with the hotel's maître d'.
For dinners attended by international independent directors (typically from the US, Europe, or Asia), we handle USD invoicing at the Banco de México FIX rate from the day before, with USMCA compliance and supporting documentation for deductibility as Corporate Governance or Public Relations at the corporate fiscal close. For dinners attended by public officials, diplomatic corps, or guests with escorts, we handle security-protocol compliance for the hotel and for the Policía Bancaria e Industrial when applicable. The merch custody chain is documented with signature, time, and photo at every control point: service-entry ingress, hotel-ops inspection, transit to protocol room, intermission restock, post-dinner pickup.
For corporates with IMMEX operations, we issue complementary SAT CFDI 4.0 invoicing with the 16% IVA breakdown and supporting documentation for deductibility as Public Relations or Corporate Governance. For family offices, we invoice under the business-activities regime with income from participation in other companies. For industrial groups with US operations, we issue bilingual (es/en) invoicing with USMCA compliance when the guest kit crosses the border as part of the hospitality kit for the foreign-resident director.
Confidentiality, VIP Room A compliance, and prohibitions
VIP Room A has operating rules that the merch must respect: no mobile phones in the room during the post-board dessert course, no merch with elements that produce noise or distraction, no backpacks or large bags in the room, no POP material with third-party logos (a frequent request from corporates), no food or drinks outside the hotel's catering service. For sessions requiring limited-edition merch (numbered anniversary tee from the group, signed book from the invited author, coaster with the dinner year), we coordinate with the hotel's ops team so the piece satisfies the security protocol, the confidentiality protocol, and the transmission protocol (when the dinner is internal and not recorded).
For sessions with media coverage (post-dinner press conference, quarterly results reveal, annual strategy launch), we handle compliance with the corporate and the hotel press protocols, with pieces that carry no third-party logos or are digitally masked when the corporate manual requires it. For sessions with internal transmission to the group's plants (Bajío-, Monterrey-, or Saltillo-transmitted dinners), we handle compliance with the corporate transmission protocol, with pieces visible on screen and pieces concealed from the transmission. For dinners live-streamed abroad (videocall with investors in London, NY, or Frankfurt), we handle time-zone compliance and shipping of pieces to the international houses two weeks in advance.
For SAT invoicing, we issue CFDI 4.0 with the 16% IVA breakdown and supporting documentation for deductibility as Public Relations, Corporate Governance, or Training, depending on how the merch is used. For corporates with IMMEX or US operations, we issue complementary USD or EUR invoicing with USMCA compliance support when the merch crosses the border as part of the hospitality kit. The merch ships with carta porte 3.0 when interstate or international transit applies, with the foreign-trade complement when applicable, and with the payments complement when the corporate pays in instalments. Delivery to the protocol room is documented with an entry slip signed by the hotel's head of operations and the corporate's logistics lead.

VIP Room A frequently asked questions
Can you deliver the guest kit with a signature-of-receipt per director?
Yes — we deliver the kit with an individual delivery slip, signed by the guest, time-stamped, and signed by the uniformed staff who delivers it. The custody chain is documented with photography when the hotel protocol allows, and the slip is held in a sealed envelope for the full dinner, returned at the close of the nightcap.
Can you handle the merch for dinners that recur every quarter?
Yes — we run quarterly programming with the same brand manual, scaling the run to match the dinner agenda and special guests (international independent directors, SEC observers when applicable, external auditors). Coordination with the corporate secretary for the editorial curation of the VIP guest kit.
Can you invoice the merch as a public-relations expense?
Yes — we issue CFDI 4.0 to the SAT with the 16% IVA breakdown and supporting documentation for deductibility as Public Relations, Corporate Governance, or Hospitality, depending on how the merch is used. For corporates with IMMEX operations, we issue complementary USD invoicing with the foreign-trade complement and USMCA compliance.
