Salon A-5: the room where the board approves next year's budget and the signed minutes leave in a sealed envelope before dinner

Salon A-5 is the boardroom of the corporate campus: 75 square metres in a boardroom layout with an oval wooden table for 12, leather executive chairs, 65-inch central screen with encrypted videoconferencing system, two auxiliary side screens, audio system with individual microphones for official recording, ambient microphone for transcription, secretary of the board lectern, exit to a private room for deliberations, full accessibility, perimeter security with electronic device detectors. This is where the boards of IPC-listed issuers meet, where the audit and corporate practices committees run, where the risk committee sessions land, where the compensation committee meets, and where the shareholder assemblies run. What distinguishes Salon A-5 is that the merch is neither decorative nor functional: it is documentary and confidential.

Merch packages for Salon A-5

Director's lever-arch file

Production of 8 to 14 pieces for the board members, the corporate secretary and the institutional guests. Lever-arch file with 200 to 350 single-ink printed pages holding the board package (agenda, budget proposal, CEO report, CFO report, external auditor report, compensation proposal, dividend proposal, independent director appointment proposal), encrypted USB drive with the same documentation in PDF, technical pen, ruled notepad. Each file is coded with the director's name and delivered at session start with a signed delivery receipt.

Signed minutes

Production of 1 to 4 copies of the signed minutes of the board session (12 to 80-page document on heavy stock with dry seal of the corporate and the notary when applicable, wet signatures of the directors and the secretary, folio number, and subsequent dispatch of the digitally signed PDF with SAT and notary seal when the corporate requires documentary evidence for the CNBV file or the equivalent foreign regulator file).

Guest merch

Production of 2 to 6 pieces for the institutional guests (external auditor, legal advisor, invited regulator, strategic consultant). Rigid box with the corporate isotype, curated contents (Moleskine notebook with the isotype, engraved roller pen, paperweight with the year, encrypted USB drive with the relevant documentation). Delivery at session close with the guest and the corporate secretary's signatures.

Staff merch

Uniforms for the corporate staff, the corporate secretary's team and the Salon A-5 logistics personnel. Executive suit, discreet corporate vest, session credential, smartwatch with the synced attendance list. Professional pressing, delivered to back-of-house 90 minutes before the session starts.

Salon A-5 logistics, access and documentary custody

Salon A-5 runs on a restricted access basis: the lateral dock of the campus (open 6:00 to 22:00, trailers up to 12 tons) serves for the board material freight, and the private elevator access requires prior ID with fingerprint or facial recognition, the campus credential and the Salon A-5 logbook signature. The board material chain of custody is particularly sensitive: the lever-arch files with the board documentation and the encrypted USB drives are handed to the director with a signed delivery receipt, and the corporate keeps the signed copy as evidence of delivery for the CNBV file or the equivalent foreign regulator file. Unused files are returned at session close and stored in a sealed envelope with the corporate seal and the corporate secretary's signature.

For board sessions with regulator presence (CNBV, UIF, Banco de Mexico), we handle compliance with the campus security protocol and the Policia Bancaria e Industrial protocol, with pieces free of third-party logos or with digital suppression when the corporate or regulator manual requires it. For board sessions with international presence (directors from the US, Canada, Europe, Asia), we handle invoicing in USD at the Banco de Mexico FIX rate from the day before the session, with USMCA compliance and deduction support as Corporate Governance or Board Relations expense in the corporate fiscal close.

Salon A-5 confidentiality, compliance and restrictions

Salon A-5 enforces operating rules the merch must respect: no personal electronic devices inside the room (directors and guests deposit their devices in a locked box at entry, and the box opens at exit), no merch with noise or distraction elements, no food inside the room (only closed-container coffee and water), no POP material with third-party logos, no entry for non-board persons without written authorisation from the secretary. For sessions that require limited-edition merch (numbered anniversary file, plate engraved with the annual report year), we coordinate with the campus operations team to ensure the piece clears the security protocol, the corporate governance protocol and the confidentiality protocol when applicable.

For SAT invoicing we issue CFDI 4.0 with the 16% IVA breakdown and deduction support as Corporate Governance, Board Relations or External Audit expense depending on how the merch is used. For corporates with IMMEX or US exposure, we handle complementary invoicing in USD or EUR with USMCA compliance support when the board documentation crosses the border as part of the disclosure material for the equivalent foreign regulator. For groups with dual listings (BMV and NYSE/Nasdaq), we handle bilingual (es/en) invoicing and USMCA compliance. Merch is delivered with carta porte 3.0 when interstate or international transit applies, with the foreign trade complement when applicable, and with the payment complement when the corporate pays in instalments. The board material chain of custody is documented with signature, time stamp and photo at every checkpoint: dock entry, operations inspection, back-of-house transfer, signed delivery to the director, return of unused files at session close.
