Salon A-13: the room where the sustainability director presents the TCFD report and the attendee kit includes a notebook made with certified recycled paper

Salon A-13 is the ESG summit room of the corporate campus: 240 square metres of open floor with central stage for the sustainability director presentation, CEO lectern with backdrop LED screen, adjacent press room with 24 working positions and 4 editorial islands, foyer for the coffee break with certified sustainable supplier stations, success-case exhibition with individual screens, direct exit to the side garden for the outdoor activation station. This is where the annual ESG summits run, where the GRI/SASB/TCFD/ISSB sustainability report launches land, where the corporate sustainability programme disclosure events happen, where the sustainability officer training sessions gather, and where the stakeholder dialogue events with communities, NGOs, academia and regulators run.

Salon A-13 logistics, access and material certification

Salon A-13 runs on two freight accesses: the lateral dock of the campus (open 6:00 to 22:00, trailers up to 12 tons) and the underground parking ramp (open 8:00 to 20:00, 3.5-ton limit per vehicle). The lateral dock is the only one that accepts a full freight trailer with the sustainability reports and the certified sustainable supplier displays; the parking ramp accepts the 3.5-ton box truck and two cargo vans simultaneously. The room setup window is 12 to 18 hours before the summit and the teardown window is 4 to 8 hours after close. The campus operations staff audits each merch box with a metal detector and a visual inspection; POP material (banners, displays, backings) requires an entry guide signed by the organiser and the room operations lead.

For ESG summits with international presence (typically from the US, Canada, Europe and Asia), we handle invoicing in USD at the Banco de Mexico FIX rate from the day before the summit, with USMCA compliance and deduction support as Sustainability or Institutional Relations expense in the corporate fiscal close. For ESG summits with IMMEX or US operations, we handle complementary invoicing to the SAT with the 16% IVA breakdown and USMCA compliance support when the merch crosses the border as part of the international sustainable supplier recognition. The merch chain of custody is documented with signature, time stamp and photo at every checkpoint.

Salon A-13 compliance, restrictions and permits

Salon A-13 enforces operating rules the merch must respect: no non-sustainable materials (the corporate usually requests FSC certification or equivalent for paper, GOTS certification or equivalent for organic cotton, GRS certification or equivalent for recycled plastic), no merch with flammable materials, no merch that does not comply with the ESG summit guidelines, no pets, no outside food or beverages beyond the room's kitchen service or the committee's certified sustainable suppliers. For ESG summits that require limited-edition merch (report signed by the sustainability director, numbered ESG programme anniversary statuette, book tracing the corporate sustainability history), we coordinate with the campus operations team to ensure the piece clears the security protocol and the material certification protocol.

For SAT invoicing we issue CFDI 4.0 with the 16% IVA breakdown and deduction support as Sustainability, Institutional Relations or Marketing expense depending on how the merch is used. For corporates with IMMEX or US exposure, we handle complementary invoicing in USD or EUR with USMCA compliance support when the merch crosses the border as part of the international supplier recognition. Merch is delivered with carta porte 3.0 when interstate or international transit applies, with the foreign trade complement when applicable, and with the payment complement when the corporate pays in instalments.
