VIP Garden: the hotel complex's garden where the industrial group hosts its executive garden party and the guests leave with the corporate umbrella
The VIP Garden is the garden of the five-star hotel complex in Polanco: 220 cocktail guests or 180 on round tables, central garden with original fountain, two side pergolas with architectural lighting, high-traffic synthetic turf, floating stage for live music, capacity for daytime and evening events (with air-conditioned tent in case of rain), garden-side access from the hotel lobby or service-stair access from back-of-house. This is where IPC-listed issuers run their garden parties (group anniversary reception), where international chambers run their gala dinners (European delegation arrival), where corporates run their year-end events (200 top collaborators), where consumer-goods companies launch their portfolios, and where family offices run their anniversary parties. What defines the VIP Garden is not the garden itself (which is striking but not exceptional), but Plan B: merch has to be ready for rain, for heat, for wind, for an event that moves indoors mid-dinner.

The VIP Garden runs on two service access points: the hotel complex's vehicle access (for a 3.5-ton box truck on a restricted schedule, usually 11:00 to 14:00 and 17:00 to 20:00) and the garden's pedestrian back-of-house entrance. The pedestrian service entrance requires pre-registered ID, hotel badge, and logbook signature. The hotel's ops staff hand off POP material and guest kits with visible ID and badge, and they handle the pergola and registration-desk setup. The VIP Garden has a single back-of-house zone: the protocol room, where the merch sits in sealed corporate-stamped boxes and is distributed to the entrance in the morning. The VIP Garden has no kitchen visible to guests: the hotel's chef sends plates from the central kitchen via the service corridor, and bar service is coordinated with the hotel's head of room.
For garden parties with international guests (typically from the US, Europe, and Asia), we handle USD invoicing at the Banco de México FIX rate from the day before, with USMCA compliance and supporting documentation for deductibility as Public Relations or Marketing. For garden parties attended by regulators or public officials, we handle compliance with the hotel security protocol and the Policía Bancaria e Industrial when applicable. The custody chain is documented with signature, time, and photo at every control point: vehicle-access ingress, hotel-ops inspection, pergola setup, cocktail restocking, post-event pickup.
For corporates with IMMEX operations or Bajío export plants, we issue complementary SAT CFDI 4.0 invoicing with the 16% IVA breakdown and supporting documentation for deductibility as Marketing or Public Relations. For groups with dual listings (BMV and NYSE/Nasdaq), we issue bilingual (es/en) invoicing with USMCA compliance when the guest kit crosses the border as part of the hospitality material for the foreign-resident institutional investor. For family offices with Riviera Maya real-estate operations, we invoice under the business-activities regime with rental income.
Confidentiality, VIP Garden compliance, and prohibitions
The VIP Garden has operating rules that the merch must respect: no merch with elements that blow in the wind (because of the open-air garden), no merch with elements that produce noise or visual distraction, no backpacks or large bags in the garden, no POP material with third-party logos (a frequent request from listed corporates), no food or drinks outside the hotel's catering service. For sessions requiring limited-edition merch (numbered group-anniversary tee, signed book from the invited author, coaster with the launch year), we coordinate with the hotel's ops team so the piece satisfies the security protocol, the brand protocol, and the transmission protocol (when the garden party is internal and not broadcast).
For sessions with media coverage (post-launch press conference, new product reveal, lifestyle and travel coverage), we handle compliance with the corporate and the hotel press protocols, with pieces that carry no third-party logos or are digitally masked when the corporate manual requires it. For sessions with internal transmission to the group's plants (Bajío-, Monterrey-, or Saltillo-transmitted garden parties), we handle compliance with the corporate transmission protocol, with pieces visible on screen and pieces concealed from the transmission. For events live-streamed abroad (videocall with guests in London, NY, or Frankfurt), we handle time-zone compliance and shipping of pieces to the international affiliates two weeks in advance.
For SAT invoicing, we issue CFDI 4.0 with the 16% IVA breakdown and supporting documentation for deductibility as Marketing, Public Relations, or Corporate Communications, depending on how the merch is used. For corporates with IMMEX or US operations, we issue complementary USD or EUR invoicing with USMCA compliance support when the merch crosses the border as part of the hospitality material. The merch ships with carta porte 3.0 when interstate or international transit applies, with the foreign-trade complement when applicable, and with the payments complement when the corporate pays in instalments. Delivery to the protocol room is documented with an entry slip signed by the hotel's head of operations and the corporate's logistics lead.

VIP Garden frequently asked questions
Can you deliver the guest kit with a Plan B for rain?
Yes — we pack the kit with a folding corporate umbrella and store it in the protocol room until the moment of delivery. If the event moves indoors mid-dinner because of rain, the kit is delivered in the hotel lobby with the guest's signature, documented with photography when the hotel protocol allows.
Can you handle the merch for garden parties that recur periodically?
Yes — we run periodic programming with the same brand manual, scaling the run to match the garden-party agenda and special guests (key international clients, strategic prospects, regulatory authorities). Coordination with the marketing directorate for the editorial curation of the guest kit.
Can you invoice the merch as a marketing expense?
Yes — we issue CFDI 4.0 to the SAT with the 16% IVA breakdown and supporting documentation for deductibility as Marketing, Public Relations, or Corporate Communications, depending on how the merch is used. For corporates with IMMEX operations, we issue complementary USD invoicing with the foreign-trade complement and USMCA compliance.
