Event Garden — the only place where the industrial group's ceremony survives the rain and nobody realises it was raining

The CDMX Event Garden is the outdoor space where Mexican corporates hold anniversary ceremonies, corporate weddings of executives with their teams, spring-summer galas, family-day celebrations, and end-of-fiscal-year integration events. Capacity runs 200 to 500 in banquet format (round tables of 8 to 10) and 300 to 700 in cocktail format. What distinguishes the Event Garden from any other garden in the same hotel, corporate, or hacienda outside CDMX is not the vegetation (typically lush: jacarandas, ficus, lavender, bougainvillea), nor the furniture (tiffany chairs, imperial tables, table runners), nor the catering (usually author cuisine with curated pairing). What distinguishes it is Plan B. The Event Garden has an attached indoor garden (covered, with capacity for 60% of the outdoor garden), an alternate room on the main building's ground floor (with capacity for 100% of attendance), and a Plan B activation protocol within 20 minutes when the weather forecast announces rain. The Event Garden merch has to respond to that uncertainty: moisture-resistant packaging for the outdoor garden, premium packaging for the indoor garden, and versatile packaging for both contexts when the event is semi-inaugural.

Synchronised delivery with the toast moment, at each guest's table or at the garden exit.

Rain Plan B

Parallel production run of the same merch with versatile packaging, ready to activate within 20 minutes when the weather forecast announces rain. Coordination with the Event Garden operations team and the indoor garden or alternate room.

Event Garden logistics, access and weather

The Event Garden operates with one or two load-in accesses depending on location: when in a hacienda outside CDMX (Estado de México, Morelos, Puebla and Hidalgo host the most-used corporate gardens), access is via the hacienda's service road with restricted hours and an extended mounting window (12 to 24 hours before the event); when inside CDMX (Polanco, Reforma, Coyoacán, San Ángel), access is via the hotel, corporate, or house back-of-house with restricted hours and a short mounting window (4 to 8 hours before the event). Event Garden operations staff audit every merch box with visual inspection; POP material (banners, backings, displays, floral arches) requires an entry guide signed by the organiser and the garden operations lead.

For events with weather risk (May to October in CDMX, June to September in central Mexico), we coordinate with the corporate or garden operator's weather service, monitoring the forecast every 30 minutes during the 6 hours before the event. If rain probability exceeds 60%, we activate Plan B: indoor garden, alternate room, rescheduling for 24 to 48 hours later. The Plan B merch is delivered in parallel from one week before the event, with versatile packaging ready to activate within 20 minutes.

For events with international production (IMMEX, US, Asia), we invoice in USD at the Banco de México rate of the day before the event and USMCA compliance when the merch crosses the border as part of the hospitality kit. The merch chain of custody is documented with signature, time, and photography at each control point: load-in entry, inspection by operations staff, mounting on the Event Garden table or counter, restocking during the event, post-event collection.

Event Garden compliance, prohibitions and permits

The Event Garden has operating rules the merch must respect: no pyrotechnics outdoors near the garden (compliance with Civil Protection regulations and the Federal Law on Firearms and Explosives when applicable), no merch with flammable or sharp materials, no pets in areas with sensitive vegetation, no food or beverage outside the authorised catering service. For events requiring limited-edition merch (numbered anniversary polo, signed book by the guest author, press with the corporate anniversary year), we liaise with the Event Garden operations team to ensure the piece complies with the security protocol, the corporate protocol, and the hacienda or business club protocol.

For events attended by public officials, diplomatic corps, or international artists, we comply with the Event Garden security protocol and the Banca y Industrial Police when applicable. For events with television broadcast or media coverage (anniversary press conference, influencer photo session), we comply with the broadcast protocol with camera-visible and camera-hidden pieces.

For SAT invoicing, we issue CFDI 4.0 with 16% IVA breakdown and support for deduction as Marketing, Public Relations, or Training expense, depending on the merch use. For corporates with IMMEX or US operations, we provide complementary invoicing in USD or EUR and USMCA support. The merch is delivered with carta porte 3.0 when interstate or international transit applies, with foreign trade complement when applicable, and with payment complement when the corporate pays in instalments.
