Congress Complex — where the Mexican medical community meets for five days, where the international congress accredits, and where the merch has to speak three languages

The Congress Complex is the large-format space where medical congresses, international summits, scientific conventions, and academic forums hold their annual or biennial multi-day editions. Capacity runs 5000 to 15000 in multi-auditorium format (with parallel halls, main auditorium, expo room, and poster zone), 1000 to 5000 in summit format (with single main hall and parallel tracks in secondary halls), and 3000 to 8000 in mixed format (combining main keynote, secondary-hall workshops, and expo zone). What distinguishes the Congress Complex from a conventional convention room is not the size (typically a multi-pavilion venue with a main auditorium, several secondary halls, an expo room, and a poster zone), nor the duration (congresses typically run 3 to 5 days), nor the regulatory compliance (for medical congresses COFEPRIS applies; for financial congresses CNBV applies; for academic congresses CONACYT or SEP compliance applies when the congress grants credits). What distinguishes it is the simultaneous translation. At the Congress Complex, 30 to 60% of attendees are international delegates requiring English, Portuguese, or French translation, and the merch has to respond to that audience: bilingual labels, bilingual instructions, kits for international delegates with current adapter and plug, USMCA and foreign trade complement compliance when the merch crosses the border.

Congress Complex logistics, access and translation

The Congress Complex operates with three or four load-in accesses depending on location: the main heavy-traffic access (12-tonne trucks, full-load trailer) accepts the main auditorium stage, secondary halls, expo room, and POP material with hours of 6:00 to 22:00 (typically the day before the congress opens); the secondary light-traffic access accepts merch, protocol material, and academic material with hours of 8:00 to 20:00; the international delegate access (pedestrian, with trade or institutional credential) operates with prior identification and signature in the logbook; the simultaneous translation service access accepts the interpreter team with restricted hours. The Congress Complex mounting window is 24 to 48 hours before the congress opens, and the dismounting window is 12 to 24 hours after close.

For congresses with international delegate presence (typically from Latin America, US, Europe, Asia with USMCA or IMMEX operations), we invoice in USD, EUR or local currency at the Banco de México rate of the day before the event and USMCA compliance when the merch crosses the border as part of the delegate hospitality kit. For congresses with sector regulator presence (CNBV, COFEPRIS, COFECE, CRE, CNSF, CONSAR, CONACYT, SEP when applicable), we comply with the regulator and academic committee protocol. For congresses with television broadcast or sector news coverage, we comply with the broadcaster's protocol, with camera-visible and camera-hidden pieces.

For medical congresses, we comply with the COFEPRIS and pharmaceutical industry protocols (CANIFARMA code of practices, IFPMA code of practices, applicable restrictions on pharmaceutical industry merch). For financial congresses, we comply with the CNBV and brokerage industry protocols (applicable restrictions on brokerage firm merch). The merch chain of custody is documented with signature, time, and photography at each control point: load-in entry, inspection by operations staff, transfer to back-of-house, mounting on the table or counter, restocking during the congress, post-congress collection.

Congress Complex compliance, prohibitions and permits

The Congress Complex has operating rules the merch must respect: no pyrotechnics indoors (Civil Protection regulations compliance), no merch with sharp edges, no merch with flammable materials, no pets, no food or beverage outside the Congress Complex authorised catering service, no unauthorised recording devices when the congress is closed-door or has intellectual-property restrictions. For congresses requiring limited-edition merch (numbered academic anniversary polo, signed book by the keynote speaker, press with the congress year), we liaise with the Congress Complex operations team and the academic committee to ensure the piece complies with the security protocol, the academic protocol, and the congress protocol.

For congresses with public officials, diplomatic corps, or international delegate presence, we comply with the Congress Complex security protocol and the Banca y Industrial Police when applicable. For congresses with news coverage, we comply with the academic committee and Congress Complex press protocol.

For SAT invoicing, we issue CFDI 4.0 with 16% IVA breakdown and support for deduction as Marketing, Public Relations, or Training expense, depending on the merch use. For congresses with IMMEX or US operations, we provide complementary invoicing in USD or EUR and USMCA support. The merch is delivered with carta porte 3.0 when interstate or international transit applies, with foreign trade complement when applicable, and with payment complement when the academic committee pays in instalments.
