Event Centre — where the trade association gathers its 3000 members, the binational chambers cross paths, and the closing dinner fills the room
The Event Centre is the large-format space where Mexican trade associations, binational chambers, professional colleges, and sector confederations hold their annual conventions, sector summits, general assemblies, and closing dinners accompanying the meeting. Capacity runs 1000 to 5000 in theatre format, 600 to 3500 in classroom format, and 800 to 4000 in banquet format (galas with round tables of 8 to 10). What distinguishes the Event Centre from a conventional convention room is not the clear height (typically 10 to 14 metres, sufficient for two-level stands and robotic lighting), nor the electrical capacity (three-phase for stage, professional audio, broadcast cameras), nor the back-of-house (press room, staff catering, dressing rooms, parallel expo room). What distinguishes it is the audience. At the Event Centre, attendees are the 1000 to 5000 members or affiliates of the sector: business member directors, federal or state government officials attending as guests, invited academics, sector media, binational chamber representatives. The Event Centre merch has to respond to that trade audience: institutional presentation (not festival), sector editorial curation (with the sector and association manual), compliance with the affiliate manual (typically more sober than a corporate's), and trade protocol compliance (when CNBV, SE or Economía ceremonial applies).

The Event Centre operates with two or three load-in accesses depending on location: the main heavy-traffic access (12-tonne trucks, full-load trailer) accepts stage, chairs, POP material and merch with hours of 6:00 to 22:00 (typically the day before the event); the secondary light-traffic access (3.5-tonne vans and cargo vans) accepts additional merch and protocol material with hours of 8:00 to 20:00; the trade guest access (pedestrian, with trade or institutional credential) operates with prior identification and signature in the logbook. The Event Centre mounting window is 12 to 24 hours before the event (for one or several-day conventions), and the dismounting window is 6 to 12 hours after close.
For conventions with federal or state government official presence (typically the head of the relevant Secretaría: Economía, Hacienda, SE, Trabajo, Salud, Educación, Agricultura, Comunicaciones when applicable), we coordinate with the association's protocol team and the federal or state government ceremonial (typically through the Protocol Coordination of the Secretaría de Gobernación or state Gobierno Secretaría). For conventions with international trade guest presence (typically from Latin America, US, Europe with USMCA operations), we invoice in USD at the Banco de México rate of the day before the event and USMCA compliance when the merch crosses the border as part of the trade hospitality kit.
For conventions with television broadcast (sector news coverage), we comply with the broadcaster's protocol, with camera-visible and camera-hidden pieces. For conventions with sector regulator presence (CNBV, CONDUSEF, COFEPRIS, COFECE, CRE, CNSF, CONSAR when applicable), we comply with the regulator and association protocol. The merch chain of custody is documented with signature, time, and photography at each control point: load-in entry, inspection by operations staff, transfer to back-of-house, mounting on the table or counter, restocking during the event, post-event collection.
Event Centre compliance, prohibitions and permits
The Event Centre has operating rules the merch must respect: no pyrotechnics indoors (Civil Protection regulations compliance), no merch with sharp edges, no merch with flammable materials, no pets, no food or beverage outside the Event Centre authorised catering service. For conventions requiring limited-edition merch (numbered trade anniversary polo, signed book by the guest speaker, press with the convention year), we liaise with the Event Centre operations team and the trade association to ensure the piece complies with the security protocol, the trade protocol, and the sector protocol.
For trade conventions with public officials, diplomatic corps, or international trade guest presence, we comply with the Event Centre security protocol and the Banca y Industrial Police when applicable. For trade conventions with news coverage, we comply with the trade association and Event Centre press protocol, with pieces delivered in the press room and not in the Event Centre, to avoid interrupting the event.
For SAT invoicing, we issue CFDI 4.0 with 16% IVA breakdown and support for deduction as Marketing, Public Relations, or Training expense, depending on the merch use. For trade associations with international or IMMEX operations, we provide complementary invoicing in USD or EUR and USMCA support. The merch is delivered with carta porte 3.0 when interstate or international transit applies, with foreign trade complement when applicable, and with payment complement when the association pays in instalments.
