Auditorio D: the room where the guest who did not fit Auditorio A lands and where the journalist follows the press conference without stepping onto the main stage

Auditorio D in CDMX is the auxiliary room of the Reforma-Santa Fe corporate corridor where simultaneous broadcasts from Auditorio A are mounted, overflow halls for guests who exceeded the main capacity, satellite events for regional clients who cannot travel to CDMX, and press areas that need direct connection with the main stage without disrupting the Auditorio A setup. The capacity of Auditorio D runs from 100 to 160 attendees in school format with tables of six, 140 in theatre format with side LED screen, 220 in cocktail format with catering stations connected to a giant screen. Auditorio D accepts HD-SDI projection of the Auditorio A signal with 800-millisecond delay, bidirectional audio with the press room, synchronised voting system with Auditorio A and back-of-house with monitoring room, broadcast booth and waiting area. We coordinate four merch packages for simulcasts and overflow halls.

Auditorio D logistics, technical sync and chain of custody

Auditorio D shares technical synchronisation with Auditorio A when operating as a simulcast room: the signal travels over dedicated fibre optic from the Auditorio A booth, with microwave backup if the main link fails. Merch delivery is made with prior coordination of the Auditorio D and Auditorio A operations areas, generally in a 5:30 to 8:00 window before the technical broadcast rehearsal. For broadcasts with international press, we coordinate with the Auditorio D press room and the corporate communications area for prior accreditation.

For satellite events with regional clients (Bajio, North, West, Southeast), we coordinate with the regional commercial area for distribution of participant merch before the satellite session starts, with logistics sync with Auditorio A. For Auditorio A overflow, we coordinate with the Auditorio A registration desk so that guests who exceeded the capacity are redirected to Auditorio D with their accreditation and assigned kit.

For recurring broadcasts (quarterly press conference, monthly results presentation, monthly session with analysts), we run a recurring production programme with monthly calendar and production blocking, with temporary storage of undistributed merch in the Auditorio D warehouse and with certified destruction of confidential material at the close of each session. The chain of custody is documented with signature, time and where the corporate protocol allows, discreet photography at each Auditorio D control point.

Auditorio D compliance, restrictions and accreditation

Auditorio D operates with accreditation rules that the merch must respect: no entry to Auditorio D without valid event accreditation (badge with QR code and photograph), no merch with unauthorised third-party logos (competitor brands, competitor logos), no unauthorised recording equipment per the communications area, no merch with flammable materials or sharp edges. For broadcasts complying with article 4 of the Federal Telecommunications and Broadcasting Law, we coordinate with the corporate legal area.

For broadcasts with public officials or diplomatic corps, we follow the Auditorio D security protocol and the Policia Bancaria e Industrial when applicable. For broadcasts with institutional investors or financial analysts, we follow the Securities Market Law protocol and the Comision Nacional Bancaria y de Valores regulation when the broadcast includes disclosure of relevant information.

For SAT invoicing, we issue CFDI 4.0 with 16% IVA breakdown and supporting documentation for deduction as Public Relations, Marketing or Training expense, depending on the merch use. For corporates with IMMEX operations, we provide complementary invoicing in USD with IMMEX Decree compliance. For multilatinas with US operations, we coordinate with the corporate compliance area for USMCA application when the press material crosses the border as part of the press kit.
