Trade show merch and booth giveaways in Mexico
High-volume merch for booths at ANTAD Expo Guadalajara, Industrial Transformation Mexico (ITM) at Poliforum León, Tianguis Turístico (rotating host city), Expo Manufactura in Monterrey, The Green Expo, Logistics Summit, Guadalajara Open, the Mexican Association of Hotels & Tourism national congress, Feromaq, Expo Eléctrica, Plastimagen, Automotive Meetings, Mexico Mining Forum, AeroMexico, and the Latin-American stands of APPEX (Asociación de Productores y Exportadores) — visitor kits, branded notebooks, laser-engraved tumblers, ballistic backpacks for the field team, encrypted USB drives for product demos, staff polos, and the classic lanyard with recycled badge holder.
Why the Mexican trade-show floor runs to its own clock
The Mexican trade-show calendar runs on a different rhythm than its European or US counterparts. It opens in February with Tianguis Turístico in its rotating host city (Acapulco, Mérida, Puebla, León in alternating years), continues with ANTAD Expo in March at Expo Guadalajara, peaks with ITM (Industrial Transformation Mexico, the Mexican edition of Hannover Messe) in April at Poliforum León, runs Expo Manufactura in Monterrey in February, and closes the year with Feromaq and Expo Eléctrica. Each show has its own visitor profile, its own merch mix, and its own per-visitor spend.
Corp-Merch Mexico has been running booths for this calendar since 2018. We service the Grupo Industrial Saltillo booth at ITM León, the Bimbo/Lala/Sigma booths at ANTAD Expo, the Canaero (Cámara Nacional de Aerotransportes) booth at AeroMexico, the Camimex (Cámara Minera de México) booth at Mexico Mining Forum, and the booths of Mexican clusters like Clúster Automotriz de Nuevo León and Clúster Aeroespacial de Querétaro. When the brief lands, we know what volume each booth type buys: the large 80m² booth with 12 staff needs 5,000 merch pieces; the mid-size 30m² booth with 5 staff needs 1,500; the small 12m² booth with 2 staff needs 600–800.
Programs we run for trade-show booths
Visitor kits and welcome packs
RPET or canvas tote with the exhibitor's logo, A5 notebook with replaceable-cartridge roller pen, 500ml laser-engraved stainless tumbler, business card, all packaged in biodegradable cellophane with the booth's seal. 800–8,000 kits per show depending on booth size and expected foot traffic. Optional VIP recipient lists with individually named packaging for the qualified prospects.
Booth-staff uniforms
Piqué polo with discrete embroidery, oxford-style shirt for commercial staff, technical backpack with USB for demo staff, light jacket or cape for staff working the open floor, lanyard with RFID badge holder for booth access control and lead capture. 30–250 pieces per booth with mixed sizing and 7–10 working days production so the kit reaches the venue before build-up.
Gifts for top clients and qualified prospects
Premium executive set (leather-bound notebook, gold-engraved roller pen, wooden box with a Taxco silver piece) for prospects the sales rep identifies as qualified on the show floor; tasting set (Baja wine, Jalisco tequila, Oaxaca mezcal with individual packaging) for recurring clients; personalised Bluetooth earbuds with engraved case for key accounts that closed during the show. 20–200 premium pieces per show.
POP materials and booth signage
Backwall with CNC cutting in MDF or acrylic, tabletop displays, soft-touch demo cards, mini roll-up banner with base, rental LED screen (we don't rent it but we coordinate with the booth integrator). Workshop production in CDMX with direct delivery to the venue 24–48 hours before the official build-up. We coordinate with the booth builder and the show organiser (Expo Guadalajara, Poliforum León, Centro Citibanamex, Centro de Convenciones de Mérida).
Show-floor logistics — getting into the venue without delay
Venue access is tighter than most clients expect. Expo Guadalajara runs three load-in windows a day, Poliforum León runs two, Centro Citibanamex (which hosts CPHI, INA PAACE, Festiva, the CFE national congress) requires a vehicle pass and the access is sequenced by booth number. We coordinate delivery with the show organiser (Expo Guadalajara, Poliforum León, Integra México, OCV Puebla) and with the booth builder, typically 24–48 hours before press day and the show's day zero.
For multi-day shows we usually deliver the day before build-up (Tuesday for a Thursday show) and leave a buffer stock at the venue warehouse or with the booth builder, ready for urgent replacements (size additions, damaged pieces, walk-in gifts). The CFDI 4.0 is stamped with the exhibitor's RFC before fiscal close and, when the exhibitor invoices to a US or Canadian parent, we issue the comercio exterior complement without VAT.
Pricing, MOQ and lead times — trade shows
Pricing in MXN excluding VAT. 16% VAT broken out on CFDI 4.0 with USO CFDI G03 (general expenses) or P01 (to define). MOQ from 100 pieces for logo apparel, 50 for visitor kits, 25 for premium executive sets, 10 for top-client gifts. Large runs (5,000 pieces and up) unlock tier discounts with annual scheduling. Lead times: 7–10 working days for recurring merch, 4–6 weeks for custom runs (tumbler engraved with the client's art, leather-bound notebook with custom stitching), 3–5 working days for rush replenishments at +30% surcharge.
For invoicing we run three modes: CFDI 4.0 with VAT to the Mexican exhibitor, export invoice when the exhibitor is foreign, Carta Porte 3.0 when the delivery includes transport to the venue. We coordinate with the exhibitor's accountant so the CFDI lands before the month's end and applies to the correct fiscal year.
FAQ — trade show merch
Do you deliver direct to the show venue?
Yes — we deliver to the venue via the booth builder's access or to the organiser's loading dock. We coordinate the load-in window 24–48 hours ahead of the official build-up.
Do you handle Carta Porte 3.0 invoicing?
Yes — we issue CFDI 4.0 with Carta Porte 3.0 complement when the delivery is a transport job to the show venue, in line with SAT requirements and the comercio exterior complement when the exhibitor is foreign.
Can you produce a premium executive set on short notice?
Yes — we hold executive-set stock in CDMX that we personalise in 5–7 working days. For sets with leather or handcrafted pieces the lead time is 4–5 weeks.
Do you support booths at inland shows without your own warehouse?
Yes — we coordinate deliveries to Expo Guadalajara, Poliforum León, Centro Citibanamex, Centro de Convenciones de Mérida, Cintermex Monterrey and WTC Veracruz with tracked freight and booth-builder handover.
Can you invoice to the exhibitor's parent company?
Yes — we issue CFDI to the Mexican exhibitor with their RFC, or an export invoice with the comercio exterior complement when the parent pays from abroad. No VAT on the second case.
