Welcome kits and employee onboarding in Mexico

Welcome kits for new hires in Mexican operations — day-1 deliver, mixed sizing, IMSS onboarding coordinated with HR, kit with engraved tumbler, branded notebook, embroidered polo, technical backpack and CEO letter, all delivered to the employee's home or office before day one. We serve clients hiring 100 to 8,000 people a year across CDMX, Guadalajara, Monterrey, Querétaro, Mérida, Tijuana, Juárez and Puebla — Grupo Salinas, Grupo Elektra, Femsa, Grupo Alfa, Vitro, Nemak, Grupo BAL, Peñoles, Grupo Carso, Arca Continental, Banorte, BBVA, Santander, HSBC and companies with mass-hire cycles in manufacturing and services.

When day one sets the tone for the next year

Employee onboarding in Mexico runs to its own timeline. When an employee joins a Mexican company, their first 30 days carry the IMSS registration (issued between day 5 and day 20 depending on whether they joined day 1), the fondo de ahorro enrolment where applicable, the INFONAVIT setup for housing credit, and the bank account opening at the employer's designated payroll bank. The merch drop in this window is less social ritual and more operational signal that everything is ready for them.

Corp-Merch Mexico has been delivering onboarding kits in this context since 2018. We work with HR teams running industrialised processes: SuccessFactors onboarding, Workday onboarding, Deel-driven benefits when the hire is cross-border, coordination with the company's on-site clinic. When the brief says "we need 350 onboarding kits a month, mixed sizing, delivered to the employee's home between day 3 and day 7 from start date", we respond with a recurring monthly fulfilment model that scales to 1,000+ kits during peak cycles (September and February are the classic mass-hire months for Mexican corporates, tied to the annual budget close).

Onboarding merch programs we run

Day-1 welcome kit

Urban or ballistic backpack with a 14–16" laptop sleeve, laser-engraved stainless tumbler with logo and the new hire's name, A5 notebook with roller pen, polo or oxford shirt with discrete embroidery, USB stick with the CEO's welcome video, buddy-card with contact details, photo ID badge with magnetic stripe or RFID for building access. Monthly runs of 50–1,500 kits with mixed sizing and individual packaging per recipient.

Hybrid-work home-office kit

When the new hire joins in hybrid mode (3 days office, 2 days home), the welcome kit adds a laptop stand, XL mousepad, Bluetooth headphones, branded mug, and a second notebook for personal planning. Monthly runs of 100–800 kits delivered to the employee's home anywhere in the country. We coordinate tracked freight with DHL, FedEx, Estafeta or Paquetexpress depending on destination.

Executive welcome pack for senior hires

For director, VP and C-level hires the pack climbs a tier: vegan or synthetic leather briefcase, hand-stitched leather agenda, gold-engraved roller pen, travel set with RFID cardholder, Tonalá or Puebla ceramic mug, premium local gift box (Baja wine, Oaxaca mezcal). Monthly runs of 5–30 pieces with delivery to the executive's personal address.

Uniforms for operational new hires

When the new hire joins in an operational role (cashier, warehouse worker, courier, field technician, plant operator) the uniform drop follows the brand manual: 2 polos, 2 industrial trousers, 1 jacket or softshell, hard hat and PPE elements (when applicable) with NOM-006 and NOM-018 compliance. Weekly or bi-weekly runs with mixed sizing delivered direct to plant or branch before day one.

Recurring monthly fulfilment flow

The most common brief we get from HR is: "we need 200–800 welcome kits a month, delivered to CDMX, MTY and GDL offices primarily, with some home-office drops in the rest of the country". The operation we set up runs like this: the client hands us a file with the expected-hire list at the end of the previous month (employee name, size, delivery city, address); we run a production-and-delivery plan in which the polos are personalised at our CDMX workshop, the tumblers at our GDL workshop, and the final assembly happens at a central warehouse with a daily shipping schedule.

For clients running a ticket system (ZenDesk HR, ServiceNow HRSD, BambooHR onboarding workflow) we plug the merch dispatch in as an automated task: when the manager approves the hire, the kit fires. The invoice is issued monthly via CFDI 4.0 with VAT broken out to the company's legal entity. When the hire is on honorarios or eventual status, the kit is invoiced as opex with no impact on the employee's IMSS.

Pricing, MOQ and lead times — onboarding

Pricing in MXN excluding VAT. 16% VAT broken out on CFDI 4.0 with USO CFDI G03 (general expenses, deductible for the client). MOQ from 25 pieces for a standard kit, 10 for the executive welcome pack, 50 for the operational uniform. Recurring monthly runs unlock preferred pricing with a 6-month minimum commitment. Lead times: 7–12 working days for a standard kit without individual personalisation, 4–5 weeks for a kit with name engraving or individual embroidery, 3–5 working days for urgent replenishment at +30% surcharge.

The recurring invoice model lets the client pay a fixed monthly fee plus a per-kit variable cost, which simplifies the purchasing team's admin load. When the client prefers buying on a direct purchase order with net-30 terms, we run that model too.

FAQ — onboarding welcome kits

Can you deliver to the employee's home?

Yes — we deliver to the employee's home with tracked freight (DHL, FedEx, Estafeta, Paquetexpress, iVoy) anywhere in the country, with delivery confirmation and identity validation when the kit is premium.

Do you run mixed sizing?

Yes — we run separate size charts by gender (S, M, L, XL for men's and women's cuts) and, when the kit includes footwear, the Mexican size system (23–30) with half-size options. Size selection happens with the client's HR input at the moment of hire.

Can you invoice monthly?

Yes — we issue CFDI 4.0 monthly with a per-kit breakdown, 16% VAT, payment-complement instalments when the client pays in parts, and full deductibility when the kit aligns with HR opex.

Can you include a CEO letter or personalised message?

Yes — we include a printed letter on corporate stationery, a USB video message from the director, or a hand-written note for executive kits. The graphic material is produced at our cost with the client's sign-off.

Do you support remote or contractor onboarding?

Yes — we deliver to home offices anywhere in the country, and we invoice as opex when the hire is on honorarios or eventual terms without IMSS registration on the client's side.

Let's talk about your onboarding program

If you're hiring at monthly volume or running an industrialised onboarding cycle — let's talk. We need estimated monthly volume, delivery cities, employee profile (operational, administrative, executive), peak dates and whether delivery goes to the office or to the home address. We'll send a proposal within 24–48 working hours.
