CFDI 4.0 invoice template for corporate merch
The structure of the CFDI 4.0 invoice we issue for corporate clients. Covers issuer and recipient data, lines with VAT breakdown, payment complement when applicable, Carta Porte 3.0 complement when transport runs through our logistics network, and cancellation and re-billing criteria.
Overall structure of the CFDI 4.0 invoice
The CFDI 4.0 invoice is built with issuer data — legal entity name, RFC, tax address, tax regime — and recipient data — legal entity name, RFC, tax address, tax regime, CFDI use. The invoice carries the workshop's internal folio, the series per the authorised tax regime, the SAT-stamped UUID, the issue date and the certification date.
CFDI 4.0 invoice lines carry the SAT product or service code — for example code 53101600 for t-shirts, code 53102500 for accessories — with detailed product description, quantity, unit of measure, unit value in MXN, amount before VAT, VAT broken down at sixteen per cent and total amount with VAT. Where applicable, the customer's purchase order number is included.
Recipient data and CFDI use
To issue the invoice we need the recipient's constancia de situación fiscal with current tax address, the declared tax regime — SAT code — and the issue ZIP code. The CFDI use is chosen per the customer's procedure — key G01 acquisition of merchandise, G03 general expenses, G07 service payments, as applicable. For customers under RESICO or General Ley Regime, we validate consistency against the RFC.
For customers with tax residence in the border zone — Baja California, Sonora, Quintana Roo, parts of Chihuahua and Coahuila — the reduced eight per cent VAT rate applies in commercial operations and service provision where applicable. The invoice carries the VAT breakdown per line with the applicable rate and the total.
Payment complement
The payment complement is issued when the customer pays in instalments or when the payment method is deferred — for example fifteen, thirty or forty-five-day credit. The complement carries the related document identifier — the original invoice UUID — and the payment data: date, payment method, currency, amount and, where applicable, the bank's operation number.
For customers with centralised payment — corporates with treasury that pays multiple legal entities — the payment complement carries the payer's RFC when it differs from the invoice recipient's RFC. For foreign currency payments, the complement carries the exchange rate and the MXN conversion per the SAT value on the operation day.
Carta Porte 3.0 complement
The Carta Porte 3.0 complement is issued when goods transport runs through our logistics network and the destination is outside the issue address. The complement carries transport data — transport type, carrier RFC where applicable, plate number, cargo insurance — and origin and destination data with full address, ZIP code and, where applicable, tracking number.
For multi-site deliveries — corporate with multiple sites, event with multiple venues — one Carta Porte complement is issued per leg. For international deliveries, the complement carries the export pedimento data when the goods value exceeds the SHCP rule threshold. The invoice is delivered with XML and PDF for automatic loading into the customer's ERP.
Cancellation and re-billing criteria
Invoice cancellation is requested in writing with the declared reason. The reason can be recipient data error, amount error, product description error or goods return. To cancel a CFDI 4.0 invoice, the recipient must accept the cancellation in their SAT portal portal or, when the customer has authorisation, the issuer can cancel directly without recipient acceptance.
Re-billing is issued within SAT deadlines — typically the same business day as the request. The new invoice carries the next folio in the series and the reference to the cancelled invoice. The payment complement issued after cancellation carries the related document updated to the new UUID.
Issue and delivery lead time
The invoice is issued within two business days of product delivery unless otherwise agreed in writing. Invoice delivery to the customer is by email to the payment contact registered on the purchase order. When the customer has an in-house invoice portal, it is also delivered via API integration with XML and PDF.
For customers on an annual programme, the invoice is delivered consolidated at the close of the calendar month with breakdown by purchase order. For customers with centralised payment, the invoice is delivered to the corporate billing address with breakdown by cost centre and by site. Delivery is confirmed by acknowledgement from the customer's authorised lead.
Editable template and delivery
The editable template is delivered as XSD with the description of each XML node and as PDF with the visual representation. For customers with ERP integration via API, we deliver the template in the structured JSON format their system requires for automatic loading. The integration is validated at programme start.
For customers with recurring SAT audit, we deliver the issued invoices log with UUID, issue date, cancellation date where applicable and payment complement date. The log is kept for the programme lifetime plus five years per sector practice.
