Corporate Q&A: homologation, sizing, billing and credit
Recurring questions we hear from procurement teams, compliance officers, HR and treasury when a corporate buyer in Mexico evaluates opening a new vendor. Answers with applicable operational basis and typical timing per stage.
Homologation process with procurement
The homologation process with corporate buyers in Mexico usually starts with submission of the constancia de situación fiscal issued by SAT, registration in the customer's vendor portal, legal documentation delivery (deed, power of attorney, representative ID), bank account details for payments, positive opinion on tax compliance and positive opinion on IMSS and INFONAVIT obligations. In parallel we deliver the quality documentation the customer requires to accredit the workshop as a vendor.
Typical homologation turnaround is five to fifteen business days depending on the customer. Some customers with a mature portal close in five days once documentation is complete; others with internal verification at three levels — user area, corporate procurement, compliance — take up to fifteen. When the customer operates a regional model with plants in CDMX, Monterrey, Guadalajara and the Bajío, homologation is done once at corporate level and applies to all plazas.
Sizing management for corporate uniforms
Sizing is the critical point in uniform orders. For runs over fifty people we work with a size chart per brand and model — Damen, Athlex, Brooks Brothers, Hugo Boss, Port Authority and others — and collect a declared size per recipient with written confirmation. The size roster is reconciled against the final inventory before packing; any deviation is checked with the customer before shipping.
When the customer prefers aggregated sizing — for example forty per cent small, thirty per cent medium, twenty per cent large and ten per cent extra-large — production adjusts to that distribution and we deliver a five to ten per cent backup kit with additional sizes for first-month replacements. When the customer is new and has no declared size history, we suggest a pilot run of twenty-five units to validate the curve before the full series.
CFDI 4.0 billing and Carta Porte 3.0
We bill under the current CFDI 4.0 scheme. For invoicing we require the customer's constancia de situación fiscal with updated tax address, declared tax regime, ZIP code of issue and, where applicable, the CFDI use required. We issue the invoice within two business days of delivery unless otherwise agreed in writing. When the customer requires an invoice with Carta Porte 3.0 complement for inter-plaza transit, we include the complement with transport data when the service is performed by our logistics network.
For corporate customers with factoring programmes or financial suppliers requiring assignment of collection rights, we issue the invoice with the corresponding payment complement and process cancellation and re-billing requests within SAT deadlines. When the customer operates under a single-vendor scheme with centralised payment, we deliver consolidated invoices to the corporate billing address broken down by cost centre and by plaza.
Corporate credit and payment terms
Corporate credit is evaluated based on estimated annual volume, requested payment term, customer seniority and available credit history. We work with advance payment, fifteen-day payment, thirty-day payment and, for customers with annual relationship above a threshold, forty-five-day payment. Accepted methods are SPEI bank transfer, TEF, corporate card payment and, for new customers, advance payment against order.
For government agencies and public-sector entities we work with payment against stamped invoice and, where applicable, according to the customer's budget calendar. When the customer requires an acceptance letter or framework contract with specific clauses, we work with the customer's legal area before the first order. For new customers who prefer to start with advance payment, we accept the first order on those terms without penalty and migrate to credit as history builds.
Operational continuity and replacement handling
Operational continuity is one of the points corporate customers with uniform or onboarding kit programmes value most. When an employee joins outside the regular production calendar, we process individual replacement orders within five to ten business days, depending on product and raw material availability. For programmes with continuous replacement — more than fifty new joiners per month — we enable a dedicated stock at the customer's warehouse or at our warehouse with automatic replenishment.
In case of loss or damage by the employee, replacement is borne by the employee or the company depending on the customer's internal policy. We manage three replacement modes: identical to the first order, substitution with equivalent product available in catalogue, or upgrade to the current version of the corporate uniform when the original model is discontinued. Each replacement is backed by an internal order number and, when required by the customer, a signed acknowledgement by the employee.
Annual programme, budget and forecast
For corporate customers with significant annual consumption we work with an annual programme that splits budget by product line, delivery calendar and quotation windows. The forecast is updated quarterly based on the customer's projections — hires, attrition, events, launches — and translates into capacity reservations at partner workshops when volume exceeds our own capacity.
Annual planning considers at least three scenarios: conservative, base and high. Each scenario has agreed price, delivery term and capacity reservation. When the customer activates the high scenario and exceeds reserved volume, the difference is quoted at current market prices, not at agreed price. When the real scenario is below the conservative, agreed prices hold for the volumes actually placed and the balance is cancelled without penalty.
