Year-end gift — kits for employees, clients and partners
A corporate merch program that closes the fiscal year with a tangible gesture: tiered kits by audience, LFPDPPP compliance, CFDI 4.0 with 16% IVA and delivery to corporate offices in CDMX, Monterrey, Guadalajara, Querétaro and Puebla — and to the home address of employees or clients in any Mexican state — before December 20.
When to use this playbook
The year-end gift delivers four outcomes in one action: (1) recognise employee commitment or client loyalty over the fiscal year that just closed; (2) communicate the corporate brand at year-end, when budget decisions and next-year plans are still fresh; (3) leave a tangible reminder the recipient associates with the company through the following year, not only in December; (4) build a clean layer of fiscal and regulatory compliance — CFDI 4.0, 16% IVA, LFPDPPP, Carta Porte 3.0 complemento when shipping across state lines — that also serves as audit evidence.
This playbook applies to private companies with operations in Mexico, issuers listed on the Bolsa Mexicana de Valores, family offices serving wealth clients, multinationals with Mexican operations, fintechs and tech companies with teams distributed between CDMX, Guadalajara, Monterrey and secondary cities, consulting and law firms, and B2B companies serving clients across the Republic. It covers programs from 50 to 50 000 pieces, with one or several kit tiers and national or international delivery.
The program is governed by three non-negotiable operating rules: brief frozen by the first week of October to guarantee production and delivery before December 20; complete fiscal compliance with CFDI 4.0 stamped before physical delivery to avoid mismatches at year-end close; LFPDPPP compliance with privacy notice, express consent and documented legal basis for processing. When the program touches gifts to public officials or regulated personnel, the legal area validates each list before production.
Audiences and kit tiers
We recommend between three and six kit tiers depending on the recipient universe. The base tier — for operating employees, junior staff or low-ticket clients — includes functional pieces and a warm message: branded ceramic mug, A5 notebook with cotton paper, roller pen, individually wrapped artisan biscuit and a card with the CEO's message. The mid tier — for middle management, key clients or strategic allies — swaps some pieces for premium versions: waxed canvas backpack, laser-engraved stainless steel bottle, bath set in rigid cardboard presentation. The premium tier — for senior leadership, enterprise clients or board members — adds leather goods tanned in León, over-ear noise-cancelling headphones, premium smartwatch or high-end power bank, all in a rigid box with magnetic closure, cotton lining and wax seal with the corporate crest.
For the client segment, the kit may include a subtle commercial message — a discount for the next fiscal year, an invitation to the first-quarter annual event, a handwritten note from the account executive — always within the fiscal framework and never as consideration for a service. For the employee segment, the kit recognises tenure, performance or project closure, and is delivered at the year-end event or directly to the home address when the operation is remote or distributed.

- Premium packaging: rigid cardboard box with magnetic closure, cotton-paper lining, wax seal with corporate crest.
- Card with the CEO's message and, when applicable, the recipient's name in calligraphy or serif typography.
Phase 3 — Production and quality
- Per-tier production with AQL 1.0 for premium pieces, photographic evidence per tier.
- Physical sample (strike-off) sent to the client before the 100% run for validation.
- Cleanroom packaging when applicable (electronics, jewellery, premium pens).

- Delivery to the employee or client home address via national carrier (DHL, Estafeta, FedEx, Paquetexpress) with tracking number and insurance.
- International delivery to expat employees or clients abroad via DHL or FedEx International with insurance and customs clearance.
- Merch desk at the year-end event with Corp-Merch staff for in-situ distribution when the format is in-person.
- Carta Porte 3.0 complemento when distribution crosses state lines and is invoiced with own transport.
Phase 5 — Close and evidence
- Thank-you letter from the CEO sent via email with kit photo when the recipient authorised it.
- Brief satisfaction survey at year-end close.
- Compliance report to comptrollership and legal, with delivery list, unit value per tier, delivery date and RFC.
- Fiscal and photographic evidence archive held five years for public issuers or for the period required by internal policy.
- Reconciliation with CFDI 4.0 issued, payment complemento when applicable, and timely cancellation of undelivered CFDIs.
Roles and responsibilities
The client brings: the HR or internal communications area that coordinates the employee list and tier segmentation; the commercial or customer success area that coordinates the client and ally list; the legal area that validates compliance, LFPDPPP and gifts to officials when applicable; the corporate communications area that approves design and materials; finance that approves the budget, receives the CFDI 4.0 and registers the expense at year-end close; and the internal logistics area when there is corporate delivery. Corp-Merch brings: a dedicated senior account executive throughout the cycle, a premium piece curator with a network of certified suppliers in León, CDMX, Guadalajara and abroad, production with AQL 1.0, premium packaging, delivery with national and international carriers with insurance, invoicing with CFDI 4.0 and Carta Porte 3.0 complemento, and on-site support at the year-end event when the format is in-person.
For public companies listed on the Bolsa Mexicana de Valores we add to the team the delivery of evidence to the compliance and investor relations areas: delivery list with unit value per tier, total value per recipient, delivery date and location, RFC where applicable, proof of receipt and kit photograph when the recipient authorises it. This evidence is delivered before year-end close so the legal area can incorporate it into its corporate governance reports and so compliance can archive it as expense support.
Timeline template — twelve weeks
- Weeks 1-2: brief, tentative universe, segmentation, budget, compliance validation.
- Week 3: piece curation, visual proposals, design sign-off.
- Weeks 4-5: piece production, personalisation, premium packaging.
- Week 6: quality control with AQL 1.0, photographic evidence, final adjustment.
- Week 7: final packaging, vault or secure-room inventory, CFDI 4.0 stamping per tier.
- Weeks 8-9: distribution to national corporates with DHL, Estafeta, FedEx or Paquetexpress and home delivery.
- Week 10: delivery to client corporates, validation, last-mile adjustments.
- Week 11: year-end event if applicable, merch desk, in-situ delivery, thank-yous.

KPIs to track
- Delivery rate before December 20: target 100% to avoid the last-mile bottleneck.
- Recipient satisfaction: brief post-delivery survey (target NPS 70+).
- Fiscal compliance: 100% of CFDI 4.0 stamped before physical delivery, payment complemento when applicable.
- LFPDPPP compliance: 100% of recipients with consent logged before first delivery contact.
- Post-delivery usage rate: January survey on actual use of pieces (target 60%+).
- Unit cost per tier: comparison against budget signed at cycle kickoff to detect deviations before close.
