Pre-sale event — kits for prospects, RFP and demo day in Mexico
Structured merch program for pre-sale events, commercial demonstration, RFP, showroom and demo day: welcome kits for qualified leads, key-account kits, influencer and trade press kits, and post-event follow-up pieces. Coverage in CDMX, Guadalajara, Monterrey and Querétaro, with CFDI 4.0 and 16% IVA.
When to activate this playbook
The pre-sale event is the moment when the prospect stops being a lead and starts seriously considering the purchase. The live demonstration, the physical showroom, the open demo day and the in-person RFP all aim to reduce decision friction: to let the prospect touch the product, see the sales team face to face, understand the usage context and become convinced the company understands their problem. Merch in this moment plays a subtle but important role: it accompanies the prospect's journey, leaves a physical trace of the moment and reinforces recall when the prospect returns to their corporate to defend the decision.
This playbook applies to companies with consultative sales cycles and mid-to-high ticket sizes: enterprise software vendors (B2B SaaS with ARR from MXN 200,000), industrial equipment manufacturers with project sales, premium consumer brands with selective distribution channels, professional services firms with proposals to large enterprises, and corporates with alliance or co-investment programs. It covers open demo day at own showroom, private event for qualified prospects at business hotel, RFP presentation in boardroom, technical day with influencers, and pre-launch mini-event for trade press and early adopters.
Typical Mexican venues include corporate showrooms in Polanco, Santa Fe, Lomas de Chapultepec, Bosques de las Lomas, Pedregal, Interlomas and Tecamachalco for CDMX; Midtown Jalisco, Providencia and Puerta de Hierro for Guadalajara; Valle Oriente, San Pedro Garza García, Fundadores and Torre KOI for Monterrey; Centro Sur and Antea for Querétaro. Most-used hotels for private pre-sale events are Four Seasons, St. Regis, JW Marriott, Ritz-Carlton, Hilton, InterContinental, Presidente InterContinental and W Hotel; for technical events, Hotel Marquis, Hyatt Regency, Westin and Marriott Convención; for press events, Hotel de la Paz in San Miguel de Allende, Hotel Matilda in Polanco and Hotel Carlota in CDMX.
Pre-sale event regulatory compliance includes LFPDPPP when prospect data is captured at registration (explicit consent, visible privacy notice, opt-out option); SAT with CFDI 4.0 when the kit is invoiced to the corporate client; and the Federal Law on Games and Lotteries when raffles or prize dynamics occur at the event (kits delivered as prize require permit or must be structured as symbolic recognition). Verifying the prospect's internal compliance is also key: many corporates have gift caps and policies limiting what their team can receive.
Audience tiers
We handle four typical audiences at the pre-sale event. Qualified prospect (MQL with real opportunity): welcome kit with product signature piece (functional mockup when applicable, compact device from portfolio, use-during-demo kit), brand guide and card with account executive data. Key account in active negotiation (SQL with proposal sent): premium kit with signature piece extending the post-event experience (branded headphones, engraved thermos, premium notebook, office set), rigid packaging, personalized card with prospect and executive name. Technical influencer or trade press (industry analysts, journalists from Expansión, Forbes México, El Economista, El Financiero, Contenido, Alto Nivel, Mundo Ejecutivo): editorial kit with branded piece, product dossier, access code for exclusive material and extended-use kit. Existing customer in upsell or cross-sell: continuity kit with useful pieces and relationship reinforcement (technical backpack, office kit, subscription to brand exclusive content platform).
We additionally operate kits for event staff and suppliers: host kit (t-shirt with logo and name, cap, badge, backstage access), technical staff kit (technical t-shirt, brand tool, access badge), protocol staff kit (sober attire, discreet badge, hand notebook). These kits are delivered at the start of setup and are crucial for the event to look professional and consistent.
