Playbook
Philanthropy and donations — kits for social programs and fundraising in Mexico
Structured merch program for corporate social responsibility initiatives, foundation donations, authorized donees, fundraising events, corporate volunteering and community aid campaigns. Covers CFDI for donations, SAT deductibility, social impact audit evidence and per-donation traceability.
When to activate this playbook
Companies with consolidated CSR programs use merch as a tangible vehicle of their commitment. A well-curated donation kit communicates as much as the check that accompanies it: it reinforces the message in the community, generates brand recall among beneficiaries and allies, and leaves physical evidence of the program for ESG and sustainability reports. In the Mexican context, corporate philanthropy operates under specific tax rules — authorized donees, CFDI for donations with complement, limited deductibility depending on donor and recipient type — and kits must be designed respecting those frameworks.
This playbook applies to companies with active CSR programs: corporates with their own foundations, companies with CSR boards assigning annual budget, multinationals with local chapters in Mexico, family businesses with operating foundations, B Corps with measurable social commitment, and trade organizations and industry chambers that channel donations among their members. It covers in-kind donations, fundraising events, emergency campaigns (natural disasters, health crises), corporate volunteering with volunteer kits, and fundraising campaigns with incentives for donors.
The typical program recipient is mixed: operating foundations such as Fundación Telmex, Fundación Carlos Slim, Fundación BBVA, Fundación Televisa, UNICEF Mexico, Cruz Roja Mexicana, Save the Children Mexico and World Vision Mexico; local CSOs like Mexicanos Primero, Ficosec, CASA, Incide Social, Fundación Harp Helú; authorized donees issuing the corresponding deductible CFDI; beneficiary communities in rural areas of Oaxaca, Chiapas, Guerrero, Yucatán and Puebla; and public hospitals such as the National Cancer Institute, Hospital Infantil de México, Hospital General and similar.
Regulatory compliance is the program's backbone. The Income Tax Law requires in-kind donations to be invoiced with CFDI for donation and accompanied by expert appraisal when value exceeds a certain threshold; authorized donees must be current with SAT and the donor must request the tax receipt to make the amount deductible. Additionally, SAT requires the donation complement with recipient data (RFC, business name, fiscal address) and, when there is physical delivery, Carta Porte 3.0 with origin and destination. LFPDPPP also applies because beneficiary and community data is handled.
Donation types and audiences
We handle five types of in-kind donation with differentiated kits. Donation to operating foundation: impact kit with pieces useful for the social program (school backpacks for elementary students, personal hygiene kits for shelters, blankets for cold season, packed basic food baskets, school supply kits for back-to-school). Donation to vulnerable community: first-need kit with products curated per community (blankets and thermal clothing for high-altitude areas in Oaxaca, water filters for communities without water networks in Chiapas, eyeglasses for vision health programs, prosthetics and wheelchairs, basic kitchen kits). Donation to educational program: school kit with backpack, notebooks, colors, textbooks and calculator when applicable. Donation to hospital or home: entertainment kit (educational toys, books, plushies, board games), personal care kits for patients, caregiver care kits. Donation to fundraising event: donor kit as acknowledgment of contribution (engraved thermos, mug, t-shirt, card with QR code for traceable impact).
For corporate volunteering we handle two additional lines: volunteer kit (technical t-shirt for the cause, cap, thermos, lightweight backpack with first-aid kit, personalized badge with photo and volunteer name, visible official ID) and beneficiary kit (the same as the regular donation, delivered directly by the volunteer team during the working day). The volunteer kit is usually on the corporate's account; the beneficiary kit can be an in-kind donation or purchased with program budget.
Program phases
Phase 1 — Social brief and tax compliance
- Program diagnosis: cause, beneficiaries, number of pieces, delivery window and target geography.
- Authorized donee validation: SAT standing, authorization to receive in-kind donations, logistics capacity.
- LFPDPPP: privacy notice for beneficiary data handling, informed consent when applicable.
- Expert appraisal when donation value exceeds thresholds defined by the Income Tax Law.
- Internal donation policy: review with controllership and donor corporate compliance.
Phase 2 — Curation by donation type
- Piece selection per beneficiary: size, age, gender when applicable, specific program needs.
- Curation with ethical and fair-trade suppliers when the program requires it, Mexican crafts when it reinforces the local impact narrative.
- Sober personalization: donor corporate logo and social program or foundation logo, without invading the beneficiary space.
- Functional and reusable packaging: school backpack, reusable cloth bag, recyclable cardboard box, avoiding single-use packaging.
- Card with QR code linking to the program's public impact report.
Phase 3 — Production and quality
- Production with staggered runs per program: 50-100 unit pilot before the mass rollout.
- Quality control with AQL 2.5 for donations, photographic evidence per batch and kit type.
- Packaging at plant with ESG criteria: rational use of cardboard, no single-use plastics, ecological inks when applicable.
- Per-donation traceability: batch number, packaging date, target donee and plant responsible.
- Inventory at client or foundation warehouse or in our CDMX or Monterrey warehouse.
Phase 4 — Logistics and beneficiary delivery
- Delivery to donor corporate or operating foundation with receipt acknowledgment and donation CFDI.
- Direct shipment to communities when the foundation validates the logistics chain: national carrier with Carta Porte 3.0 or dedicated ground transport.
- Delivery at fundraising event, volunteering day or community visit with donor and foundation presence.
- Delivery report with photo, number of pieces delivered, date and beneficiary list when the foundation authorizes it.
- Delivery certificate signed by foundation representative and, when applicable, by community leader.
Phase 5 — Impact and communication
- Impact report prepared with the foundation: number of beneficiaries, communities reached, program-specific metrics.
- Joint donor-foundation announcement for internal and external media, with prior authorization from both parties.
- Publication in the corporate ESG and sustainability report with GRI or SASB indicators when applicable.
- Video of delivery process and beneficiary testimony, edited with informed consent and with respect for dignity.
Phase 6 — Fiscal close and audit
- Donation CFDI stamped before SAT with donee complement and Carta Porte 3.0 when there is shipment.
- Five-year fiscal evidence archive: CFDI, appraisal, delivery certificate, photos, donee identification.
- Donor annual tax return with corresponding deduction, validated by the corporate fiscal area.
- Acknowledgment letter from the foundation and, when applicable, from the beneficiary or community leader.
Roles and responsibilities
The client provides: the CSR or sustainability director who coordinates the social brief, the fiscal area that validates deductibility and issues CFDIs, the legal area that validates LFPDPPP and compliance, the communications area that approves public materials, and the logistics area that coordinates deliveries when the donation is channeled on the corporate account. The foundation provides: specific beneficiary curation, beneficiary roster with LFPDPPP-protected data, in-zone logistics coordination when applicable, and the impact report. Corp-Merch provides: an account executive experienced in social programs, a curator of ethical and functional pieces, production with certified suppliers and ESG criteria, reusable and low-impact packaging, national carrier delivery with Carta Porte 3.0, donation CFDI invoicing, and audit support when required.
For companies with formal ESG reports (GRI, SASB, B Corp, UN Sustainable Development Goals), we add a metrics coordinator to the team ensuring the kit and process are documented with the indicators the corporate reports to its investors and stakeholders. This includes the donation's estimated carbon footprint, number of direct beneficiaries, community reached, alignment with corresponding SDGs and supply chain traceability.
