When to use this playbook
Companies attend trade shows and conferences to generate leads, position brand, maintain customer relationships, launch products and recruit talent. Merch plays a critical role in each of these objectives: at the booth it attracts visitors and makes the brand memorable, with speakers it validates the company presence, with press it amplifies the message and with prospects it leaves a physical trace of the meeting. This playbook covers the typical participation program: mid-sized stand at Expo Guadalajara, large booth at Centro Citibanamex, track sponsorship at a tech conference or small presence at a regional fair.
It applies to events like Talent Land, Expo ANTAD, Expo Manufactura, Expo Transporte, The Green Expo, Logistics Summit, Mexico Cumbre de Negocios, CPG, Digital Marketing Festival, eMerge Americas, Web Summit, SaaStr, Dreamforce, Adobe Summit, Google Cloud Next, Microsoft Ignite, AWS re:Invent, CES Las Vegas (when Mexican teams travel), automotive fairs in León, aerospace fairs in Querétaro, energy fairs in Monterrey and retail expos in CDMX.
It also covers conferences the company itself organises: annual customer summit, sales kick-off, regional road show, internal hackathon, demo day, product launch at venue and advisory-board session. In these cases the merch is delivered to the venue with in-situ logistics.
Kit types by audience
A typical participation runs five kit types. Booth staff kit: branded shirts, fabric lanyard with badge holder, notebook, pen, bottle, snacks for the team during setup and teardown. Visitor giveaway kit: low unit-cost piece (pen, sticker, lanyard, magnet, tote) handed to whoever passes by the booth. Prospect kit: medium-value piece (shirt, thermos, power bank) handed to visitors who left their details or had a qualified meeting.
Speaker and press kit: premium piece (leather notebook, executive pen, headphones, smartwatch) given to the speaker as thanks and to journalists as a hospitality gesture. VIP kit for prospect clients: signature piece of the year, packaged in a premium box, handed in a private meeting during the event or shipped home afterwards.
The split between kits depends on event type and objectives: at a lead-generation fair 70% of volume goes to giveaways, 20% to prospects and 10% to staff. In a premium sponsorship 30% goes to speakers and press, 40% to prospects, 20% to staff and 10% to VIP clients.

- Reception at venue loading dock or storage with itemised proof and count.
- Corp-Merch staff on site during setup, event and teardown when required.

Phase 5 — Post-event follow-up
- Consumption report by kit: how many giveaways delivered, how many prospects identified.
- Pending VIP kits shipped to client home with personalised letter.
- Satisfaction survey to booth staff and prospect clients.
- Lessons learned for next participation: which pieces worked, what to adjust.
Roles and responsibilities
The client brings: the event leader who coordinates the participation, the marketing team that defines kits and brand, the sales team that defines prospect criteria, the logistics team that contracts freight and sets up the booth, finance that approves budget and invoicing, and the internal comms team that prepares the post-event message. Corp-Merch brings: an account executive, an operations project manager, kit design, production with certified suppliers, venue delivery, on-site staff during the event and post-event report.
For companies with an annual fair calendar we recommend an annual master agreement with Corp-Merch covering X participations at preferential rates, with capacity reservation during peak season and a dedicated account executive. This reduces procurement administrative load and improves approval cycle times.
