Corporate summit: the bilingual executive kit that carries the C-suite, board and LATAM regional offsite in Mexico

The end-of-fiscal-year corporate summit in Mexico brings the executive committee, regional directors, LATAM heads and—when applicable—the board of directors together to align the next FY at an offsite: a hacienda in Yucatán, an all-inclusive hotel in Punta Mita, a convention centre in Polanco, or a resort in Valle de Bravo. Executive merchandise is not generic apparel with the year's logo—it is the piece the CFO takes on the return flight, the piece the COO keeps in the briefcase next to the printed agenda, and the piece the CEO signs before moving on to the next session. A poorly executed summit ends with executives receiving a tech backpack with the supplier's brand visible, with printed agendas on low-density paper that tear on first use, and with un-curated gifts that mix artisanal tequila with promotional pens from a trade show. We work on corporate summits for financial groups, industrial groups, multinationals with headquarters in CDMX, and Mexican corporates with USMCA operations at the border. Billing closes with CFDI 4.0 to SAT, 16% IVA, deductible as Institutional Relations, Executive Communications, or Corporate Strategy expense depending on the case.

Four layers of the corporate summit

Executive apparel with national tailoring

Oxford-style cotton shirt in mercerised weave, regular and slim fit; pique polo with reinforced collar and cuffs; fine merino cardigan in corporate colour; executive cotton socks with monogram; leather belt with engraved buckle. Executive sizing CH to XG with extended curve for the Mexican market, NOM-024 labelling, low-relief embroidery on the left chest and monogram on the sleeve. Apparel ships three days before the summit to the CEO's office or directly to the hotel room with valet service coordinated with the corporate Events team.

Executive documents and CEO manual

Agenda printed on 120 g cotton paper with Singer binding and synthetic-leather cover with hot-stamping of the logo; CEO manual in hard cover with rounded spine and silk ribbon; reprinted business cards with the updated design of the executive committee; notebook in ivory paper with separators for each session; metal roller pen engraved with the executive's name. Documents ship two days in advance to the CEO's office for final review before the full print run.

Kits for keynote speakers and board members

Vegetable-tanned leather box with engraved corporate crest; genuine-leather hard-cover agenda; Montblanc roller pen with the board member's name; high-fidelity headphones in rigid case; ceramic mug in individual box; blown-glass tumbler with engraving; artisanal wine or tequila from a Mexican producer with personalised label; handwritten card from the CEO. The box ships to each board member's home 5 to 7 days before the summit so they can open it before travelling.

Spouse and family programme

Waxed-canvas tote bag with embroidered logo; palm hat hand-woven with corporate-colour ribbon; silk scarf with the corporate crest; leather travel jewellery case with magnetic closure; bound photo album of the summit hand-delivered to the spouse at event close. The family programme runs parallel to the executive summit with a gastronomic tour led by a local chef, cultural workshop with a regional artist, free afternoon with hotel concierge, and CEO dinner with all spouses. Pieces are curated with the CEO spouse's office.

Bilingual curation, board agenda and spouse programme handling

Bilingual curation works with a professional translator when the summit includes international keynote speakers, board members from another country, or LATAM regional leadership. For Spanish summits with one English keynote speaker we ship a bilingual kit with all summit documents translated, simultaneous-translation headphones in case, agenda in both languages, and the speaker's name plate in the speaker's home language and in Spanish. For summits with regional leadership (Argentina, Brazil, Chile, Colombia, Peru) we ship a dual kit: rioplatense/neutral Spanish plus Mexican Spanish, avoiding regionalisms, with corporate-colour cover and ribbon in the home-country colour of the regional director. Billing issues with CFDI 4.0 to SAT with 16% IVA breakdown and support for deduction as Institutional Relations or Corporate Strategy expense.

The summit agenda prints in three versions: executive committee agenda (confidential, numbered, collected at summit close), expanded summit agenda (all executives, non-collectable), and public press release agenda (executive summary for the Communications team). Each agenda has a distinct cover colour to avoid confusion in sessions. Numbering on the confidential agenda allows take-back with certified destruction by the corporate Compliance area. The agenda ships to the CEO's office two days before for final review before the full print run.

Spouse programme handling works under protocol with the CEO's office and the CEO spouse's office. Spouses do not participate in executive sessions but receive a parallel family programme: gastronomic tour with a local chef on day 1, cultural workshop with a regional artist on day 2, free afternoon with hotel concierge on day 3, CEO dinner with all spouses on the closing night. Family programme pieces are curated with the CEO spouse's office with two weeks of advance notice. Billing issues with CFDI 4.0 to SAT with 16% IVA breakdown, ISR withholding when applicable for gifts taxed under Article 93 of the Ley del ISR, and support for deduction as Institutional Relations or Executive Events expense.

Offsite logistics, venues and tax handling

Offsite logistics coordinate with the CEO's office and the corporate Events area. For CDMX summits we handle venues such as Hotel Four Seasons, Hotel St. Regis, Hotel Sofitel, Club de Industriales, Hacienda de los Morales. For Punta Mita: Four Seasons, St. Regis, Conrad. For Yucatán: Hacienda Temozón, Hacienda San Antonio Millet, Hotel Chable, Hotel Rosewood. For Valle de Bravo: Hotel El Santuario, Hotel Rodavento, Avándaro. For Cuernavaca: Hotel Las Mañanitas, Hotel Hostería Las Quintas, Hotel Villa Beauté. For Querétaro: Hotel Casa de la Marquesa, Hotel Misión, Holiday Inn Juriquilla. Venue reservation is quoted separately by the corporate and signed 90 days before the summit.

For corporates with border-north operations (Tijuana, Juárez, Nuevo Laredo, Matamoros) we also ship in USD with invoicing in MXN at the Banco de México exchange rate of the day and support for IMMEX deduction when the summit ties to a regional alignment programme for plant professionals under USMCA origin rules. For corporates with Bajío operations (Querétaro, San Luis Potosí, Aguascalientes, León) we ship directly to the CEO's office with night-hour window. For corporates with Sureste operations (Mérida, Cancún, Playa del Carmen, Villahermosa) we ship directly to the summit venue with hotel valet. For corporates with international board members we ship to the board member's address with insured courier and signature confirmation.

Tax handling for the summit operates with three considerations. First, deduction as Institutional Relations, Executive Communications, or Corporate Strategy expense requires CFDI 4.0 with 16% IVA breakdown and detailed description of expense type, summit date, attendee list (titles only, no names), unit amount and total. Second, executive gifts taxed under Article 93 of the Ley del ISR require withholding when unit value exceeds MXN $5,000; we issue the corresponding withholding and integrate it into the CFDI 4.0. Third, for summits with international keynote speakers, Compliance may request a separate billing structure (professional services vs. executive gift) to support ISR withholding on fees.

Frequently asked questions

Can you handle executive apparel tailoring with national fabric?

Yes—we coordinate with national tailoring in CDMX, Guadalajara and Monterrey using mercerised cotton and combed pique from Mexican producers. For premium summits we work with Italian fabric (Loro Piana, Albini, Canclini) combined with national tailoring. Apparel ships with a fitting 30 days before the summit for size adjustments, final pressing 5 days before, and delivery to venue with hotel valet or to CEO office with personal delivery service.

Do you handle the numbered take-back confidential agenda for the board?

Yes—the confidential agenda prints with individual numbering, collected at summit close, and certified destruction by the corporate Compliance area. The take-back agenda operates under protocol signed by the CEO and Compliance. Numbering allows traceability of each board member's agenda and destruction with a signed Compliance certificate. Billing issues separately from the rest of the summit to support deduction as confidential expense.

Can you deliver board gifts before the summit?

Yes—we ship board gifts to each member's home 5 to 7 days before the summit so the board member can open the gift before travelling. Shipping uses insured courier with signature confirmation and the address is documented with the CEO's office. For high-value gifts (Montblanc pen, smartwatch, artisanal wine) we deliver in person with security protocol and board member signature.
