Internal merch store: a year-round catalogue for employees, partners and brand ambassadors

A recognition event happens once a year. A merch store happens every week. The catalogue is the company's continuous brand touchpoint — a place employees visit, distributors claim from, ambassadors order gifts from and event participants redeem points against. Corp-Merch.MX runs the catalogue, the points engine, the dropship operation to the recipient's home and the restocking model that keeps the assortment fresh across 12, 24 or 36 months without exploding inventory.

What the store engine actually does

The store engine has four jobs. First, it manages the catalogue — SKUs, photos, descriptions, sizes, stock. Second, it manages eligibility — who can buy which items, at what price, with what payment model (free, point-redemption, payroll deduction, co-pay). Third, it manages the order — the cart, the address capture, the shipping method. Fourth, it manages the fulfilment — pick, pack, ship, deliver, confirm, invoice.

We run the engine as a managed service. The catalogue sits on our platform with the company's brand applied (logo, palette, typography, hero photography). Eligibility is configured per group: full-time employees, contractors, distributors, family members, brand ambassadors. Payment model is configured per group: free allowance, points accrued through tenure or performance, payroll deduction with the agreed split, or a co-pay where the company covers a percentage. Address capture includes the home address, the office address or a designated pickup point. Shipping is selected per zone (Mexico, USMCA cross-border, international).

The catalogue, by tier

Core apparel tier

Tees, polos, hoodies, jackets, caps. Six to twelve pieces in the company's brand palette, available in the full size run. Embroidered or printed logo, premium finishing (Garment-dyed, French terry, ringspun cotton). Refreshed seasonally with two new pieces per quarter.

Drinkware and desk tier

Thermos, mug, water bottle, hip flask, pen, notebook, mousepad, desk organiser. Twelve to twenty pieces in the core catalogue. Branded with laser engraving or UV print. Refillable and durable — the products the employee uses daily, not the ones that sit in a drawer.

Lifestyle and travel tier

Backpack, laptop tote, weekend bag, packing cube set, travel pillow, passport cover, luggage tag. Six to ten pieces. Premium materials (recycled polyester, full-grain leather, ballistic nylon) for the higher-tier price points.

Ambassador and family tier

Kids' apparel with mini-logo, partner apparel, pet accessories, holiday-themed pieces, regional Mexican products with Denomination of Origin. Activated for family members or for the ambassador tier above a tenure or performance threshold.

Dropship, pickup, or office delivery — three fulfilment models

The fulfilment model depends on the workforce and the geography. For office-based employees in CDMX, Guadalajara and Monterrey, the most common model is office delivery — orders are batched and delivered to a central reception point once or twice a week, with HR coordinating distribution. For remote employees across Mexico (Querétaro, Mérida, Puebla, León, Tijuana, Chihuahua, the Bajío region), dropship to home is the norm: orders ship the same day or next day with a trackable courier, delivered to the home address with signature confirmation.

For hybrid workforces with a mix of office and remote, we run both models in parallel with different shipping SLAs. For field-based employees (route sales, merchandisers, technicians), pickup at the regional warehouse or branch is the simplest. For executives and senior staff, an office concierge option delivers to the executive's office or home via a confidential courier. For families and ambassador tiers, dropship is the default because the recipient is at home and the address is captured per order.

The inventory model that does not break the bank

A merch store with an over-stocked warehouse ties up capital. A merch store with constant back-orders loses trust. The model we run sits between the two: a rolling inventory forecast based on historical demand, with replenishment triggered weekly and a small safety stock for top sellers. For low-volume items the model is make-to-order with a 10-day lead time. For top sellers we hold inventory in the workshop. For seasonal pieces (anniversary edition, year-end gift, holiday gift) we run pre-orders with a production window that respects the gift date.

The catalogue refreshes on a quarterly rhythm. Two new pieces enter the tier, one piece retires from the catalogue. Retired pieces remain available for re-issue if a specific team or cohort requests them in volume, but they are removed from the public catalogue to keep the assortment focused. This rhythm keeps the store feeling alive without forcing the company to redesign the line from scratch each season.

FAQ — internal merch store

What is the typical contract length?

12, 24 or 36 months. Most companies start with 12 months to validate the catalogue and the operational model, then extend to 24 or 36 once the rhythm is established.

Can the store be branded with our identity?

Yes — logo, palette, typography, photography and copy are all configurable. The store looks like part of your brand, not a third-party site.

How is eligibility managed?

By group — full-time employees, contractors, distributors, family members. The HRIS feeds the store via SFTP or SCIM so the group is updated automatically.

What about payroll deduction?

Supported — we integrate with the payroll provider (iSolved, Deel, ADP, Gusto for Mexico) so the deduction is reflected in the next pay cycle. We never store payment credentials; the store only sends a debit instruction.

How is the invoice structured?

Monthly CFDI 4.0 against actual shipped volume, 16% IVA itemised line by line, complemento de pagos when settled. For international dropship under USMCA, the comercio exterior complemento.
