Corporate trade fair final: the booth staff uniform, the NOM-024-labelled sampling and the qualified lead capture kit that hold the booth through three days of exhibition floor

A corporate trade fair — ANTAD, Expo Guadalajara, Expo CIHAC, Expo Manufactura, Expo Pack, Expo Publicitas, Tianguis Turístico, Expo ANTAD Alimentaria, Abastur, Hospitality Expo, Expo Beauty Show, Plastimagen, Industrial Transformation Mexico, Logistics Summit, Automate Mexico, Aerospace Meeting Mexico, Festival del Volcán or any sector expo in the calendar — works as the battlefield where the corporate's commercial team meets current clients, prospect clients, suppliers, sector press and competition across three consecutive days on the floor. A poorly executed fair ends with staff dressed in generic t-shirts indistinguishable from the competition, with product sampling without NOM-024 labelling unable to leave the fiscal warehouse, with lead capture gift delivered to the first passer-by without qualification filter, and with the competitor's booth across the aisle marking the visual difference. We run corporate fairs for consumer groups, multinationals with headquarters outside Mexico, Mexican corporates with USMCA operations on the border, family-owned businesses and corporates with IMMEX plants. Billing closes with CFDI 4.0 to SAT, 16% VAT, Carta Porte 3.0 when interstate delivery applies, deductible as Marketing, Sales or Trade Marketing expense per the corporate's tax scope.

Five layers of the fair operation

Booth staff uniform with brand manual

Polo in 220-gram combed cotton with the corporate isotype embroidered on the left chest and right sleeve, in brand manual colours. Fitted dress shirt with embroidery for protocol and management staff. T-shirt with screen print of the corporate and fair name in two-ink screen printing for the general attendee. Light jacket with embroidery for outdoor fairs. Cap with embroidery for outdoor staff. For female staff we run the feminine cut of polo and shirt with the same chromatic palette. Each uniform is tagged with convertible sizing, NOM-004 and NOM-024 where applicable, and delivered in a fabric bag with the corporate seal for storage in the staff closet after the fair.

Product sampling with NOM-024 labelling

Production of corporate product samples in reduced presentation for delivery during the fair, with full NOM-024 labelling including nutritional information, ingredient table, batch, expiry date, manufacturer and importer domicile where applicable, allergen legend and packaging disposal. For products imported under IMMEX the label includes the "Imported product" legend and the pedimento key. For cosmetic products the COFEPRIS sanitary notification is included. The sampling is delivered in a basket displayed at the booth with batch withdrawal post-fair by the Trade Marketing area.

Lead capture gift with qualification filter

Piece selected by lead level: level A (prospect client with approved budget and purchase decision under 90 days) — gift from $1,500 to $3,500 MXN: engraved thermos, leather office kit, Talavera handcraft mug; level B (prospect client with budget in definition) — gift from $500 to $1,500 MXN: tote bag with screen print, professional notebook, engraved pen; level C (prospect client in research) — gift from $200 to $500 MXN: tote bag, sticker set, technical brochure. Delivery is conditioned on lead registration with business card and signature confirmation, with lead report to the commercial area at the close of each fair day.

Speaker kit and sector press kit

For the speaker invited by the corporate to the fair's academic programme: fabric bag with screen print of the corporate and the fair, USB with the corporate's technical materials, professional notebook with the academic programme cover, engraved pen, corporate merchandising piece and personalised letter from the General Director. For the accredited sector journalist: press kit with press dossier, high-resolution product or service photographs, technical sheet, prior press releases and scheduled interview with the commercial direction.

Stand design, visual identity and exhibitor manual

The stand design is built with the Trade Marketing area, with the corporate's advertising or brand experience agency and with the technical specifications of the fair venue. For Mexico City fairs: Centro Citibanamex, WTC Mexico City, Centro de Convenciones de la CDMX, Expo Santa Fe. For Guadalajara fairs: Expo Guadalajara, Hotel Hilton Midtown, Hotel Riu, Centro de Convenciones. For Monterrey fairs: Cintermex, Pabellón M. For Cancún fairs: Centro de Convenciones Cancún. For León fairs: Poliforum León. For Tijuana fairs: Centro de Convenciones Tijuana. Each venue has its own technical regulations with maximum heights, electrical requirements, safety standards and assembly and disassembly schedules that are respected in the planning.

The stand's visual identity follows the corporate's brand manual and adapts to the contracted stand measurements (3x3, 4x4, 5x5, 6x4, 8x4, 10x4, island, double island, peninsula). The assembly includes: modular structure with MDF panels with lacquer finish, laminate floor or corporate carpet, LED lighting with directional spots, functional furniture (counter, meeting table, display cases, shelves, perimeter bench), LED screen or projector for product videos, high-resolution graphics in vinyl or tensioned fabric, audio system for demos and electrical plant with backup. Disassembly is coordinated with the venue schedule and waste disposal by the authorised agency.

Billing closes with CFDI 4.0 to SAT, 16% VAT, Carta Porte 3.0 when interstate material transit applies, and deductibility as Marketing, Sales or Trade Marketing expense per the corporate's tax scope. For corporates with operations on the northern border we also bill in USD under USMCA with the FIX exchange rate published by Banco de México on the billing day. For clients with IMMEX plants we run billing in US dollars with support for maquila operations deduction.

Lead scoring, post-fair report and commercial follow-up

Lead scoring is designed with the commercial area and with the Trade Marketing area. For each lead captured at the booth we register: name, company, position, industry, company size, approximate budget, purchase decision deadline, products or services of interest, follow-up commercial contact and notes from the stand executive. The base is delivered to the commercial area in CSV or Excel format at the close of each fair day and is integrated with the corporate CRM (Salesforce, HubSpot, Zoho, Pipedrive, Dynamics, Bitrix24) with the automation configured.

The post-fair report includes: total number of leads captured, distribution by levels A, B and C, lead-to-opportunity conversion rate, estimated opportunity portfolio amount, number of demos held, number of journalists attended, press coverage achieved with clippings, estimated fair investment return calculated with the corporate's average ticket and historic conversion rate, and recommendations for the next fair on the corporate calendar.

Post-fair commercial follow-up is scheduled weekly for the first month, biweekly for the following two months and monthly until the close of the fiscal year. For corporates participating in international fairs under USMCA we deliver the report in bilingual Spanish-English format with currency equivalences, schedule adjusted to the host country's time zone and support for integration with the corporate's international CRM.
