Half-yearly corporate meeting: the mid-year review that decides the year close

The half-yearly corporate meeting is the mid-year event where the CEO, the CFO and the executive committee review the first half results, adjust the year-close forecast and approve the second-half strategic projects. Unlike the quarterly meeting —operational and short-cadence— the half-yearly is the strategic session that decides whether the year closes in line with the budget or whether the plan adjusts. Half-yearly programme: two sessions a year

Mid-year review — July

Production of the mid-year review where the close of the first fiscal half is presented: leather board pack with the half-year report, the area report, the year-close forecast and the CEO presentation on USB or printed; half-year gift (canvas backpack, hard-cover notebook, thermos, specialty coffee kit); Mexican chef catering service during the session; simultaneous English-Spanish-Russian interpreter when there are international attendees; official recording and minute signed by the corporate. The typical date is the second or third week of July.

Year-end preview — January following year

Production of the year-end preview where the preliminary close of the fiscal year is presented and the next-year plan is adjusted: board pack with the preliminary annual report, the audited financial statements, the next-year budget proposal and the CEO presentation; year gift with year-end motif (gift card, wellness kit, mug with the year); catering service; official recording and signed minute. The meeting coincides with the new fiscal year kickoff and is leveraged to align the next-year strategic objectives.

Extended strategic session — variable

Production of the extended strategic session where the second-half strategic projects are reviewed, the capital investments are approved and the operating plan is aligned: full-day workshop room, external facilitator, LED screens, printed strategic plan material, gift with strategic motif (Montblanc pen, premium notebook), full catering service. The typical date is the second half of July, right after the mid-year review, or the second half of January, after the year-end preview.

Executive committee dinner — variable

Production of the executive committee dinner that follows the mid-year review or the year-end preview: fine-dining restaurant (Pujol, Quintonil, Sud 777, Rosetta, Contramar, Máximo Bistrot, Elena, Madrílea), premium gift for attendees (Longines watch, Montblanc pen, contemporary art piece), personalised CEO card, sommelier and tasting menu. We run dinners from 8 to 30 attendees with private reservation and confidentiality handling.

Half-yearly board pack and session material

The half-yearly board pack is more complete than the quarterly one because it covers the close of six months rather than three. We produce the board pack in genuine leather corporate folder with the corporate logo hot-stamped, the half-year report printed on 120-gram cotton paper with hard-cover binding, the area report with colour graphics, the year-close forecast, the budget adjustment proposal, the CEO presentation on USB with PDF and PowerPoint files, and the CEO letter addressed to the attendees. For corporates that prefer digital versions, we produce the board pack on tablet with digital signature.

Session material includes the attendee folders (cotton paper or leather per budget), the whiteboard markers, the name and area identification cards, the water and specialty coffee, the sweets and fruit, the lunch catering when the session runs a full day, and the external facilitator material when it is an extended strategic session. Official recording runs on a professional camera and is delivered edited to the corporate in MP4 format within five business days after the session. For corporates with northern border operations we also run hybrid session with connection to the plants via Microsoft Teams or Zoom. The minute is drafted by Internal Communications and signed by all attendees.

Gift curation by seniority and occasion

The half-yearly meeting gift curation is built with the executive committee and Internal Communications, with three distinct lines: operational gift for attendees, premium-plus gift for the C-Suite and legendary gift for the executive committee dinner. For operational attendees we run gifts from MXN 1,200 to 3,500: canvas backpack with corporate logo, hard-cover notebook, stainless steel thermos, specialty coffee kit, ceramic mug with logo, organic cotton T-shirt.

For C-Suite attendees we run premium gifts from MXN 8,000 to 25,000: Citizen or Casio watch, Montblanc pen, Tumi luggage, Sony or Bose headphones, fine-dining experience, contemporary Mexican art piece. For the executive committee dinner we run legendary gifts from MXN 18,000 to 120,000: Longines or Tag Heuer watch, Montblanc Meisterstück pen, contemporary art piece (Kurimanzutto gallery, Zona Maco), Mexican silver and gold jewellery piece, paid-stay trip. The gift ships in a leather envelope with a personalised CEO card and is documented with the attendee's signature. For international attendees we run gifts in USD with Banco de México daily conversion and USMCA deduction support.

Annual contract for two half-yearly meetings — from MXN 780,000 before VAT with 15% discount on list price. Individual mid-year review for 20 to 50 attendees — from MXN 185,000 before VAT all-inclusive. Individual year-end preview for 20 to 50 attendees — from MXN 185,000 before VAT all-inclusive. Extended strategic session — from MXN 340,000 before VAT for 20 to 50 attendees with external facilitator. Executive committee dinner — from MXN 48,000 before VAT per attendee with tasting menu and premium gift. The meeting cost covers board pack, half-year gift, catering service, official recording and minute. Tips, premium drinks outside the package and attendee transport are not included. Booking requires a 10-point brief: number of attendees, group profile, tentative dates, tentative agenda, total budget, gift by seniority, required recording, confidentiality handling, session language and special needs.

For corporates with IMMEX operations on the northern border, we invoice in USD with deduction under the IMMEX programme. For corporates with USMCA regional operations, we coordinate gift shipping to offices in the United States and Canada with international courier and customs documentation. For corporates headquartered abroad we invoice in USD, EUR or RUB as applicable, with Banco de México daily conversion.
