Press conference final: the embargoed press kit, the executive speaker apparel and the media gift bag that hold the corporate announcement in front of national and international media

A corporate press conference — whether for quarterly results announcement before the Bolsa Mexicana de Valores, new business line launch, acquisition or merger, organisational restructuring, new General Director presentation, plant inauguration, foreign investment announcement or response to a sector crisis — works as the moment when the corporate puts the message, the photography and the editorial line in order before national and international media build the coverage with what they receive. A poorly executed press conference ends with journalists receiving the press kit outside hours and without context, with speakers dressed in informal clothing that conveys little institutional seriousness, with the backdrop lacking the corporate logo that makes the photo unusable in the subsequent note, and with the media gift bag full of unlabelled products or generic souvenirs that add no value to the journalist. We run press conferences for Mexican corporates listed on BMV, multinationals with headquarters outside Mexico, family-owned businesses in the process of institutionalisation, corporates with IMMEX plants and corporates in crisis communication moment. Billing closes with CFDI 4.0 to SAT, 16% VAT, Carta Porte 3.0 when interstate delivery applies, deductible as Institutional Relations, Communications or Marketing expense per the corporate's tax scope.

Five layers of the press conference

Embargoed press kit and press dossier

Manila envelope or corporate folder with screen print of the corporate isotype, containing the official press release signed by the Communications Director, the informational dossier with background, key figures, recommended editorial line and anticipated questions with prepared answers, high-resolution photographs of the corporate, announced product or service, speakers and customer or strategic partner testimony when applicable, speaker biographies and overview, press office contact card and USB card with the same materials in editable PDF format and high-resolution JPG. The press kit is shipped under embargo with the date and time of the lift signed by the journalist on the receipt acknowledgment.

Speaker and presenter apparel

Formal wear for the corporate's speakers according to event level: wool suit for the General Director, executive-cut dress or tailored blazer for the General Director, white or light blue dress shirt for secondary speakers, corporate tie with embroidered isotype when applicable. For speakers participating in remote hybrid format the camera wardrobe is managed with neutral background and warm light. Each piece is labelled with the speaker's name and delivered backstage with professional pressing before the conference opens.

Step-and-repeat and stage backdrop

For live broadcast or multi-camera capture a dedicated camera is installed at the step-and-repeat with return signal to the journalist for selfies and subsequent coverage.

Expected press coverage, media plan and post-monitoring

The expected press coverage is estimated with the corporate's Communications area by level of announcement: major financial announcement (quarterly results, acquisition, merger) — between 25 and 80 accredited journalists, coverage guaranteed in El Financiero, El Economista, Expansión, Bloomberg, Reuters, El Universal and Milenio; consumer mass-market brand announcement (product launch, new line, limited edition) — between 40 and 120 accredited journalists, coverage guaranteed in lifestyle and specialised media for the sector; USMCA operations announcement — between 15 and 40 accredited journalists, coverage guaranteed in Business Wire, PR Newswire, GlobeNewswire and at the Mexican correspondent office in Washington and Ottawa.

The pre-announcement media plan includes embargoed press kit distribution 48 to 72 hours before, personalised call from the Communications office to key journalists with telephone briefing, prior embargoed interview management with corporate speakers for anchor media of the announcement (Bloomberg, Reuters, Expansión) and scheduled coverage on the corporate's and speakers' social media with simultaneous publication to the announcement. The post-announcement media plan includes sending achieved coverage to the board and to the General Director with clippings from print, digital and electronic media, transcription of the most relevant notes and quantitative sentiment analysis.

The post-monitoring is run for 30 calendar days after the announcement: daily review of coverage in national and international media, tone analysis (positive, neutral, negative), emerging topic identification for corporate Communications office response and weekly report to the board and to the General Director. For corporates with operations in the United States and Canada under USMCA the monitoring extends to US and Canadian media with announcement coverage, English or French equivalent when applicable.
