Corporate embroidery: technique, thread and compliance

Computerized embroidery is the most-used personalization technique in the Mexican corporate world for executive uniforms, institutional polos, Oxford shirts and backpacks. The technique converts the customer's logo into an embroidery file (DST, PES, EXP, JEF or U01), loads the file onto the embroidery machine and stitches the design onto the substrate with polyester or rayon thread. Durability is essentially unlimited: embroidery does not degrade with washing, only the thread wears with use, and a properly stitched embroidery with Madeira Polyneon thread lasts more than 500 industrial-wash cycles before showing visible wear. The look is premium: the three-dimensional relief of embroidery signals quality and professionalism, which is why it dominates executive uniforms, institutional polos and Oxford shirts worn in direct contact with clients.

Corp-Merch.com.mx has run corporate embroidery since 2017. We started by embroidering polos for the induction program of a Polanco-based bank; today we embroider shop-floor uniforms with NOM-018-STPS-2015 compliance for Bajío auto plants, polos for the admin staff of financial, pharma and professional-services corporates HQ'd in CDMX, backpacks for loyalty and CSR programs, caps for marketing campaigns and sporting events, jackets for field and maintenance staff, towels for corporate gyms, welcome kits for new hires and expats, and premium gifts for VIP clients. We invoice with the 16% VAT breakdown on CFDI 4.0, archive XML and PDF for seven years per Article 30 of the CFF, comply with the global brand manual when the corporate demands it, and stay compliant with NOM-018-STPS-2015 when the uniform is for industrial safety staff. For European-HQ customers (BMW, Audi, Continental, Bosch, ZF) we manage REACH compliance on thread and stabilizer.

Typical corporate embroidery applications

Executive polos and Oxford shirts

100% cotton or cotton-poly pique polo, institutional color (white, sky blue, navy, black, Oxford grey, beige), ribbed collar and cuff, two- or three-button placket. 100% cotton Oxford shirt with button-down collar, unisex or women's cut, white, sky blue or pale blue. Left-chest logo embroidery at 6,000 to 10,000 stitches, Madeira Polyneon thread, positioned 7 cm from the collar and centered on the top button. Runs of 100 to 5,000 pieces, 10 to 15 business days lead time, per-piece cost in MXN with VAT broken out.

Corporate backpacks and commuter packs

1680D ballistic nylon or 600D polyester backpack with laptop compartment, institutional color. Front 6,000-stitch logo embroidery, leather patch with employee name laser-engraved when applicable. For premium runs: embroidery on a vegan leather or PU strip. Runs of 100 to 5,000 pieces, 15 to 25 business days lead time, per-piece cost in MXN with VAT broken out.

Corporate caps and hats

Six-panel baseball cap in combed cotton or polyester, plastic snap closure, velcro or metal strap. Institutional color (black, white, navy, grey, red, green). Front logo embroidery at 4,000 to 8,000 stitches, side or back embroidery when applicable. For premium runs: 3D puff embroidery with relief. Runs of 100 to 5,000 pieces, 10 to 15 business days lead time, per-piece cost in MXN with VAT broken out.

Jackets, vests and embroidered sweatshirts

Windbreaker jacket with inner lining, padded vest without sleeves, hooded or crew-neck sweatshirt. Institutional color. Left-chest logo embroidery at 8,000 to 12,000 stitches (denser due to substrate thickness), back embroidery when applicable. For industrial safety staff: embroidery with reflective thread or heat-sealed reflective tape complement. Runs of 100 to 3,000 pieces, 15 to 25 business days lead time, per-piece cost in MXN with VAT broken out.

When to choose embroidery, screen printing or DTF

The choice between embroidery, screen printing and DTF depends on five variables that apply to any corporate personalization project. First, volume: embroidery wins from 50 to 2,000 pieces; screen printing wins from 500 pieces onward; DTF wins from 50 to 1,000 pieces. Second, substrate: embroidery wins on textiles with a weave that allows the needle to penetrate (polar, fleece, denim, canvas, Oxford, pique, terry); screen printing wins on cotton, polyester, dry-fit; DTF wins on 100% polyester and dry-fit, loses on pure cotton (the layer has poor adhesion). Third, design detail: embroidery wins for logos with small text and defined edges; screen printing wins for vector designs with flat colors and halftones; DTF wins for full-color designs with gradients and shadows. Fourth, durability: embroidery wins absolutely (more than 500 cycles); screen printing wins in second (more than 100 cycles with plastisol); DTF loses in third (75 cycles before visible degradation). Fifth, look: embroidery delivers three-dimensional premium relief; screen printing delivers a slightly raised layer; matte DTF delivers a thin flexible layer.

Operational recommendations for corporate embroidery: when the customer wants executive uniforms with a single-color logo, left-chest 6,000-stitch embroidery is the standard. When the customer wants institutional polos with a small logo (less than 5 cm), left-chest 4,000-stitch embroidery is enough. When the customer wants a backpack or commuter pack with a logo, 6,000-stitch embroidery on ballistic nylon requires cut-away stabilizer to avoid puckering. When the customer wants a cap with a logo, 4,000 to 6,000-stitch embroidery on the six panels, positioned on the front panel and centered. When the customer wants a jacket or sweatshirt with a logo, 8,000 to 12,000-stitch left-chest embroidery on fleece or sweatshirt, positioned 10 cm from the collar. When the customer wants polos with embroidered logo + small text (employee name), main embroidery on the chest + name embroidery on the right sleeve or right chest at 1,500 to 2,500 stitches. When the customer wants hybrid combinations, we recommend chest embroidery + back screen print.

The embroidery process: from artwork to delivery

The corporate embroidery process follows six steps. The first is artwork intake: ideally a vector file (AI, EPS, PDF) with color specified in Pantone Coated; alternatively a high-resolution bitmap (PNG, TIFF) with a minimum 300 dpi at the final embroidery size. The second is digitization: we convert the artwork into an embroidery file (DST, PES, EXP, JEF or U01) using professional digitization software (Wilcom EmbroideryStudio, Tajima DG/ML by Pulse, Barudan BEDPLUS). Digitization is billed once per design and archived for future reprints at no extra cost. The third is thread selection: Madeira Polyneon (standard) or Robison-Anton (premium), size 40 for most applications, size 30 for premium satin effect, full color chart with equivalence to the original Pantone Coated. The fourth is the stitch-out: we embroider a physical sample (pilot run) on the final substrate to validate size, placement, color and stitch density, and we ship it to the customer for sign-off before producing the full run. The fifth is series production: we load the file onto the embroidery machine (Tajima, Barudan or SWF with multi-head), produce the run with 100% unit-level quality control and validate that every embroidery meets the approved density, color and placement. The sixth is delivery: we pack in individual poly bags, label when the customer requires it, consolidate by purchase order and deliver with local or out-of-town carrier as appropriate.

Pricing, MOQ and turnaround — corporate embroidery

All prices in MXN before VAT. 16% VAT broken out on CFDI 4.0. Foreign-resident recipients trigger ISR withholding under Article 161 of the LISR. MOQ starts at 50 pieces for left-chest embroidery at 4,000 to 6,000 stitches on a polo or shirt; 100 pieces for embroidery on a backpack, jacket or cap. Runs of 1,000+ pieces unlock volume pricing and an annual calendar with quarterly commitment. Lead times: 10 to 15 business days standard for polo or shirt; 15 to 25 business days for backpack, jacket, sweatshirt or cap; 3 to 5 business days for rush restocks at +30%. Digitization: one-time fee of $1,200 to $2,500 MXN per design depending on complexity, archived for future reprints at no additional cost. Thread or stabilizer change: per-unit surcharge when the customer wants metallic thread, reflective thread, glow-in-the-dark thread or specialty stabilizer.

For executive uniform programs on an annual cycle, we book a window with HR or the brand director 30 to 60 days before the program kicks off. For induction programs with monthly deliveries, we run monthly production with workshop inventory and quarterly restock. For corporate events with a fixed date (congress, trade show, launch, networking dinner) we recommend scheduling 30 to 45 days ahead of the event, with a firm order, approved embroidery file and 50% deposit.

FAQ — corporate embroidery

What's the minimum MOQ for embroidery?

MOQ starts at 50 pieces for left-chest embroidery at 4,000 to 6,000 stitches on a polo or Oxford shirt. For embroidery on a backpack, jacket or cap the MOQ starts at 100 pieces. For runs smaller than 50 pieces we recommend sublimation or DTF because the embroidery machine calibration cost doesn't amortize.

How durable is embroidery?

With Madeira Polyneon or Robison-Anton thread at proper tension and the right stabilizer, embroidery lasts more than 500 industrial-wash cycles without visible wear. Durability depends on the substrate (cotton and cotton-poly blends are ideal), the stabilizer type (cut-away for stretch textiles, tear-away for rigid textiles) and the washing protocol (we recommend cold water washing, no hot tumble dry, no ironing directly on the embroidery).

Can you embroider on any garment color?

Yes. We embroider on any garment color. For dark backgrounds we use Madeira Polyneon in solid color (the thread covers the background color without transparency); for light backgrounds we also use Polyneon in solid color. When the customer wants a contrast effect (white thread on a navy polo) we pick high-contrast colors. When the customer wants tone-on-tone (navy thread on a navy polo) we pick thread two shades lighter or darker so the embroidery stays visible.

Do you comply with NOM-018-STPS-2015 for industrial uniforms?

Yes. We embroider uniforms for industrial safety, warehouse, maintenance and logistics staff with NOM-018-STPS-2015 compliance for safety colors and signage. For hi-visibility vests we combine embroidery with heat-sealed reflective tape. We validate compliance with the customer's safety team before closing the order.

Do you handle embroidery files in DST, PES, EXP, JEF format?

Yes. We work with DST (Tajima), PES (Brother), EXP (Melco), JEF (Janome), U01 (Barudan) and VP3 (Husqvarna Viking) embroidery files. When the customer already has an embroidery file approved by their global HQ, we receive it and produce at no additional digitization cost. When the customer doesn't have an embroidery file, we digitize from the vector artwork with a one-time fee of $1,200 to $2,500 MXN depending on complexity.
