Trade shows & events
For event, marketing and field teams who exhibit at Expo Santa Fe, WTC Ciudad de México, Centro Citibanamex, Cintermex, Expo Guadalajara, Expo CIHAC and the long tail of trade shows, congresses and product launches across Mexico City, Monterrey, Guadalajara, Mérida and León.
Mexico runs some of the busiest B2B trade-show calendars in Latin America. Expo Santa Fe in CDMX hosts roughly forty mid-sized exhibitions a year; Centro Citibanamex runs another twelve to fifteen; Cintermex in Monterrey is the anchor for the manufacturing and automotive audience; Expo Guadalajara covers the western region; Cintermex and Expo Guadalajara are part of the same operator group in practice, and they use similar dock-window patterns.
For the exhibitor, this is a logistical exercise more than a creative one. The freight slot at the venue is usually a fixed window of two to four hours. Anything that misses the slot waits until the next morning or goes to a courier depot. Plan the merch delivery separately from the booth-build freight.
Polos, t-shirts, light layers for the on-stand team. Size allocation matched to each shift and host role; pack by zone and label by name.
Tote bags, lanyards, pens, notebooks, reusable bottles and lip balm sized for fast hand-out across the show days.
Power banks, charging cables, premium notebooks and desk accessories reserved for qualified conversations only.
Premium drinkware, leather-look notebooks and compact gift boxes assembled by recipient tier and delivered by name to the hotel or the speaker green room.
Each venue has its own freight rules. Centro Citibanamex requires a pre-registered consignee and a venue-approved freight forwarder. Expo Santa Fe uses an external marshalling yard that holds trucks for two hours before the dock window opens. Cintermex and Expo Guadalajara allow direct dock access if the truck is registered 48 hours in advance. WTC CDMX is the simplest for small vehicles, less so for full truck deliveries because of the loading-bay capacity.
The universal rule is to confirm the freight slot, the dock window, the named consignee and the stand number in writing before production finishes. A re-routed shipment at show-open is the most expensive mistake in event merch.
Event merch spend is recoverable IVA 16% with CFDI 4.0 uso G03 (gastos en general). Items given away as promotional goods without a consideration are deductible under Article 27 of the LISR, provided the giveaway is supported by the campaign record and is not a disguised compensation. Imported booth items follow the standard customs path with USMCA paperwork where applicable.
Five to seven weeks for catalogue apparel with screen print or embroidery; eight to ten weeks for any custom-developed item, embroidery on a non-stock colour, or anything imported under USMCA paperwork.
Only when the organiser or the venue has confirmed the freight slot, dock access and named consignee. Many exhibitors split the shipment between the venue and a hotel buffer for last-mile flexibility.
