Orders for volunteer programs and NGOs

How we handle orders for volunteer programs, civil society organizations and charity campaigns: social pricing, reduced minimums, authorized-donee tax compliance and logistics for community deliveries with Corp-Merch Mexico.

NGOs operate under different rules than corporates and deserve service tailored to them

A civil society organization that coordinates a volunteer program, a community health day or a reforestation campaign has little in common with a company that produces a welcome kit for its employees. The budget is not annual but per event; volumes are smaller but change from one program to the next; dates are critical because volunteers and beneficiaries are already mobilized; and invoicing has to comply with specific SAT rules for authorized donees. Applying the same corporate flow to an NGO ends in unaffordable quotes, unreachable minimums and timelines that do not match the operational reality of the third sector.

That is why we run a dedicated service line for volunteer orders, with three operational differences versus the corporate flow. The first is the reduced minimum: while the standard corporate starts at 200 units per reference, the volunteer line accepts orders from 50 units in textile and from 25 units in gift kits and rigid products. This allows NGOs to order shirts for a specific day, welcome kits for a volunteer group, or recognition items for a medical brigade without overproducing or paying storage.

The second difference is social pricing. We adjust the operating margin to a level below the corporate standard because most NGOs cannot pay market prices for products they hand out for free or sell at symbolic prices during fundraising events. This adjustment is not a donation: Corp-Merch finances the difference from its corporate social responsibility line and, in some selected programs, with co-funding from donor foundations that partially cover the cost. Social pricing never compromises quality: we use the same workshops, the same printing techniques and the same quality controls.

The third difference is invoicing. When an NGO is constituted as an authorized donee we issue a CFDI under Article 27 of the CFF and Annex 2 of the CFDI filling guide for donees. The CFDI includes the donation legend, the SAT authorization number and the donor RFC when applicable. For NGOs in transition toward authorized-donee status, we issue a standard commercial invoice with VAT broken out and, when the organization obtains the authorization, we re-invoice retroactively for the last twelve months at no additional recovery cost.

Logistics for community deliveries also has its specifics. A medical brigade cannot receive Monday to Friday nine to six at an office; a reforestation program needs delivery to parks or rural areas without a formal address; a health day needs to reach schools or community centers with no loading dock access. So we offer deliveries in extended hours, to non-conventional points with prior appointment, and consolidation of multiple orders into a single shipment when the NGO coordinates several simultaneous brigades. The extra cost of these deliveries is quoted separately and, in many cases, covered with the support of donor foundations.

One important limitation: we do not produce or distribute electoral material, content that promotes violence, products that contradict the Federal Consumer Protection Law on health matters, or items that violate international treaties signed by Mexico. This restriction applies to all clients and is non-negotiable, but we state it explicitly here because we know there are NGOs that work in grey zones and we want the conversation about what we can do to be productive from the first call.

Frequently asked questions about NGO orders

What program coordinators, NGO directors and fundraising teams ask when planning a campaign or a charitable event.

What is the minimum order for an NGO?

Fifty units in textile and twenty-five units in gift kits and rigid products. For smaller orders we evaluate the case and, when the program has demonstrable community impact, we accept lower volumes with an extra engineering fee quoted per event.

How does social pricing work?

We adjust the operating margin below the corporate standard, financed by the Corp-Merch CSR line and, in selected programs, with co-funding from donor foundations. Social pricing never compromises quality: we use the same workshops, techniques and controls as in corporate orders.

Can you invoice as an authorized donee?

Yes. When the NGO is an authorized donee we issue a CFDI with the donation legend, the SAT authorization number and the donor RFC. For NGOs in transition we re-invoice retroactively for the last twelve months at no extra cost once the authorization is granted.

How long does an order for a one-day event take?

Fifteen to twenty business days for standard textile, and twenty to twenty-eight business days for gift kits or rigid products with extra steps. For emergencies under fifteen business days we apply rush with extra charge, subject to plant capacity.

Can you deliver to rural areas or non-conventional points?

Yes, with prior appointment and a separately quoted surcharge. We operate deliveries to parks, schools, community centers, mobile hospitals and collection points without a formal address. For hard-to-reach zones we use carriers with rural logistics experience and consolidate when several brigades run simultaneously.

Do you work with donor foundations or embassies?

Yes, with national and international donor foundations and with embassies and multilateral bodies. We handle contracts in USD or EUR when applicable, international invoicing and compliance with each donor's specific requirements (for example UNICEF reporting, USAID formats or European Union procedures).

What kind of orders do you not accept?

We do not produce electoral material, content that promotes violence, products that contradict the Federal Consumer Protection Law on health, or items that violate international treaties signed by Mexico. This restriction applies to all clients and is non-negotiable.
