Intern and short-term employee merch
How we handle merch orders for interns, contractors, and short-term employees in Mexico: welcome kits aligned with NOM-035, low-volume production runs, egreso gifts, and the tax treatment that keeps the kit out of the recipient's taxable income.
Why intern merch is a category of its own
Intern and short-term employee merch is a category of its own. The quantities are smaller, the timelines are shorter, the audience is younger, and the tax treatment is different from a uniform for permanent staff. At Corp-Merch we have built a dedicated flow for these orders because most corporate clients run them once or twice a year and do not want to negotiate a new vendor every quarter. Interns turn over fast, the program calendar is fixed, and the kit has to land before day one — not after.
Welcome kits for interns usually combine an apparel piece (polo, hoodie, or t-shirt), a rigid item (notebook, thermos, or pen set), and a printed card with the program calendar. We have produced these kits for university partners (Tec de Monterrey, UNAM, ITAM, Anáhuac) and for corporate intern programs at Banorte, BBVA, Grupo Bimbo, Cemex, and Femsa. The volume ranges from fifty to five hundred kits per cohort, and we ship to one site or to several, depending on the program's rotation schedule across Mexico City, Guadalajara, Monterrey, Querétaro, and Mérida.
NOM-035 (psychosocial risk factors in the workplace) applies to any employee, including interns and contractors. A welcome kit that includes a thermos, a notebook, and a t-shirt is generally accepted as a preventive measure against psychosocial risks — a "medida preventiva" in NOM-035 language. That classification keeps the kit out of the taxable income calculation for the intern, provided the value is reasonable, the kit is documented as a company-wide measure, and the documentation is filed with the HR records that NOM-035 audits require.
For egreso (offboarding) gifts, the rules are different. A gift to a departing intern or contractor with a value above five veces la UMA (around $527 MXN in 2026) becomes part of the recipient's taxable income and must be reported on the year's CFDIs and on the recipient's constancia de percepciones y retenciones. We help the client's HR team set the value of the egreso gift so it stays below that threshold while still feeling personal — a printed notebook with the cohort year and a handwritten card usually does the job, and the per-unit cost stays under the UMA multiple.
For contractor merch, the IRS treatment in Mexico is governed by the headcount classification (plantilla). Merch distributed to contractors is treated as a promotional expense rather than a benefit, provided the merch is branded and the value is below the same five-UMA threshold. We draft the documentation for the HR and legal teams so the spend is properly classified and the CFDI is issued against the right expense account. We have seen cases where the merch was misclassified as a benefit, and the SAT audit flagged it months later — that is a clean-up we have helped with several times.
Intern programs rotate. The spring cohort starts in January or February, the summer cohort in June or July, and the fall cohort in August or September. We build a production calendar around those dates with a two-week buffer so the kit arrives before day one, not after. The most common failure mode in intern merch is late delivery caused by an artwork approval that stalls for three weeks on the client side. We push for a single decision-maker by name before the project starts.
Frequently asked questions about intern and short-term merch
What HR, talent, and operations teams most often ask before locking in a cohort order.
What is the minimum order quantity for an intern kit?
Twenty-five kits per style. Below that, setup costs make the per-unit price prohibitive. For very small groups (under fifteen), we suggest printing on demand through a partner and coordinate the artwork and packaging.
Can you handle different sizes in a single kit?
Yes. We assemble each kit by size after the apparel production run. The size breakdown is collected through a Google Form, Microsoft Form, or your HRIS two weeks before assembly, and we hold the unsorted apparel until the form closes.
How do we comply with NOM-035 in the welcome kit?
Include at least one item that supports the intern's working conditions (a thermos, a notebook, an anti-stress tool), document the kit as a company-wide measure, and keep the value reasonable. We draft the documentation your HR team files for the audit.
Is the welcome kit taxable income for the intern?
Generally no, provided the kit is a NOM-035 preventive measure, the value is reasonable, and the kit is documented. Above five veces la UMA (~$527 MXN in 2026), the value becomes taxable. We help set the value below that threshold.
Can we send a different kit to remote interns?
Yes. We ship to a single address (your HR office) or to multiple addresses (the intern's home, a co-working space, the local office). Each shipment carries its own Carta Porte 3.0, and we validate every address against Sepomex before pickup.
What about egreso gifts for departing interns?
Egreso gifts are usually a personalized notebook, a printed t-shirt, or a small accessory. We help keep the value below five UMAs so it stays out of taxable income. For higher-value gifts, we issue a CFDI as a promotional expense and report the value to your payroll provider.
Can we include a QR code linking to the intern portal?
Yes. We print QR codes on the welcome card or on a sticker inside the kit, routing to a Notion page, intranet, Google Site, or private URL. We generate the QR with high error correction (level H, ~30%) so it scans even at low DPI on textured card.
How far in advance should we brief you?
At least four weeks for the first cohort, three for repeat cohorts. For cohorts above three hundred kits, we recommend a five-week window because apparel production lead time is the bottleneck.
