For Mexican state tourism secretariats, promotion agencies, tour operators, hotel chambers and teams attending FITUR Madrid — stand uniforms, team apparel, press kits and relationship gifts delivered to IFEMA or to your official hotel.
FITUR is the most important international tourism fair in the Spanish-speaking world, and the Mexican delegations that cross the Atlantic to present destinations, products and operators typically bring a packed agenda: stand assembly, specialist press attention during the professional day, bilateral meeting agenda with European tour operators, sector dinners, and the complementary tour through auxiliary presentations in Madrid, Barcelona and Seville. Each one of those stops needs different material in format and quantity, and bundling everything into a single lot is the classic recipe for arriving on opening day with T-shirts from last year and outdated gifts.
For a typical Mexican delegation — say, a state secretariat with five officials, six private operators, two sponsors and a press team of four — the merch programme splits into four clearly differentiated allocations. The stand allocation is built around the personnel that open and close the stand over the five days: T-shirts with the state brand and the tourism promotion legend, aprons or vests with the delegation image for bar and public-attention staff, pins or badges identifying country and state. This line leaves production first and gets replaced on the fly if the cargo suffered damage.
The operator and press allocation is built separately: guayabera-style shirts or light blouses for the bilateral meetings team, with the brand of the operator and country, sized to sit comfortably under a blazer; press kits with destination dossier and archive material; compact gifts for European tour operators who take them back to the office. These volumes usually travel as checked luggage with the head delegate, not as consolidated freight, because any delay at Barajas customs means a press team without dossier at the first meeting.
The relationships allocation is where the most curation investment goes: boxes by recipient for the main Spanish and European tour operators, allied airlines, cultural and specialist press, and pavilion sponsors. This is the line where merch becomes a working tool months after the event: a box well assembled at IFEMA turns into a codeshare agreement or a fam trip programme the following season. We bet on FSC-certified cotton paper for the dossier, high-grammage card for invitations and organic cotton textiles or lyocell blends for team T-shirts and shirts.
The fourth allocation covers on-site activations: impulse pieces and gifts for stand visitors (reusable bags, water bottles, fans with the destination brand), and pieces for raffles or dynamics inside the pavilion. This line moves quickly and needs daily replenishment, so print runs must be sized with a reasonable buffer against expected attendance, not the exact print run of the first version. A poorly finished piece in this allocation drags down the rest of the delegation in the visitor's perception.
Mexican delegations participating in FITUR usually invoice the full order from Mexico under the definitive export scheme — a pedimento code their customs broker files before shipping — with a CFDI 4.0 Egreso issued at closing and payments complement in MXN. Carta Porte 3.0 travels with the international freight leg: if the consolidated shipment leaves from Toluca airport or AICM and is delivered to IFEMA or to the official hotel, their agent at destination needs the XML for local clearance; if the delegation prefers to ship pieces from CDMX via an international courier and the rest as checked luggage, we issue separate CFDI per leg so every lot closes clean and the 16% national IVA line stays isolated for the finance team.

Light shirts and blouses with the operator and country brand, sized for the bilateral meetings team and specialist press covering the fair.
Destination dossiers, tourism data sheets and archive material delivered to journalists and allied European tour operators during the fair.
Compact boxes by recipient for European tour operators and sponsors, plus impulse pieces for stand visitors across the five fair days.
Before starting production, confirm print runs per allocation, professional-day and public-day dates, pavilion assignment and named recipient at IFEMA or at your official hotel. For material travelling with the delegation, each piece must be packed in checked luggage with a packing list that crosses customs without being opened; the rest ships consolidated under Carta Porte 3.0. The fair venue should not be treated as an open courier address, and a named concierge at the official hotel is usually the best option for receiving sensitive material outside the fair schedule.
Ten to twelve weeks is the safe window when the allocation runs from CDMX and the material crosses to Europe. Shorter programmes are only possible after written confirmation of textile plant capacity, available press lot and customs permits.
Yes, when the organisation or the logistics operator confirms the loading slot, dock window and named recipient. Most Mexican delegations split the shipment between the IFEMA dock and a named concierge at their official hotel, especially for material arriving before assembly.
Yes. We separate the lots from the brief: dossiers and relationship gifts ship as export under Carta Porte 3.0; T-shirts and team shirts are documented as tour equipment without assessed IVA. The 16% national IVA line only applies to the national component and stays clean for your finance team.
