Full trade show packages for Mexican expos and industry exhibitions
A trade show is one of the few marketing events that has a measurable ROI per booth visitor and a hard deadline. We assemble pre-show mailers, on-site booth apparel, giveaways, lead-capture gifts and post-show follow-up kits for exhibitors at Expo Guadalajara, WTC CDMX, Centro Citibanamex, Cintermex, Poliforum León and Expo Santa Fe, in volumes from a single 9 sqm booth to a 200 sqm island. CFDI 4.0 in MXN, USD commercial invoice for international exhibitors, 16% IVA itemised.
Why a trade show package is a four-phase program, not a single delivery
The Mexican trade show cycle is structured around the show's calendar: pre-show mailers go out 30–45 days before opening day to schedule meetings, on-site gear lands 1–2 days before move-in for the booth team, the show itself runs 2–4 days, and the post-show follow-up kits ship within 7 days of close to convert the booth visitors into qualified leads. Treating all four phases as a single delivery produces a kit that arrives late for the first phase; treating them as separate purchases produces a fragmented experience for the booth team.
The four phases share the same brand identity, the same supplier and the same project lead. The booth team wears the same apparel across all four days, the giveaways use the same colour and material system as the pre-show mailers, and the post-show kit picks up the same visual language. The result is a coherent program that the visitor experiences from the first mailer to the post-show follow-up call.
What each phase delivers
Pre-show mailer (30–45 days out)
Direct-mail box or flat envelope to the top 200–500 targeted accounts, with the booth number, meeting link, agenda teaser and a small premium item (branded notebook, USB with the whitepaper, regional snack). The mailer ships via Estafeta or FedEx Mexico with signature on delivery and a tracking feed to the sales-ops team. Range USD 28–62 per recipient.
On-site booth apparel (T−7 to T−1)
Polo or oxford shirt for the booth staff in the brand colours with name and role embroidered on the chest, garment-dyed tee for the floor team, optional branded vest for the lead-qualifier, branded cap, name badges with role icons. The apparel is kitted per team member with a spare set and a stain kit. Range USD 38–95 per person for a full set.
On-site giveaways (show days)
Three giveaway tiers by audience: lead-capture giveaway (reusable bottle, branded tote) for everyone who scans, qualified-lead giveaway (premium notebook + pen, branded wireless charger) for booked meetings, executive giveaway (engraved leather or wooden gift) for VP+ meetings. Range USD 3–180 per giveaway depending on tier.
Post-show follow-up kit (T+7)
Personalised box to the top 50–100 booth visitors with the meeting recap, the deck, the proposal summary and a thank-you gift (Oaxacan mezcal miniature, branded leather notebook, regional sweet). The kit ships from our Mexico workshop 5–7 days after the show closes, personalised against the lead list. Range USD 38–145 per kit.
Booth-size planning and freight
A 9 sqm booth typically runs with 3–4 booth staff and ~500 giveaways across three days. A 36 sqm corner booth runs with 6–10 staff and ~2,000 giveaways. A 100+ sqm island runs with 12–20 staff and ~5,000 giveaways plus the on-site meeting-room hospitality and the executive-lounge giveaway stream. Each booth size has a different freight profile: smaller booths ship via Estafeta or a local courier, larger booths use dedicated freight with Carta Porte 3.1 documentation on the CFDI 4.0 when the carrier is included in the service.
For international exhibitors that book a Mexican booth space through a global agency and procure the merch from abroad, we issue the commercial invoice in USD with the corresponding CFDI 4.0 in MXN to the Mexican operating entity (the local subsidiary or the local agency representative). For maquiladora companies exhibiting under the IMMEX programme with in-bond temporary import of the booth materials, we coordinate the in-bond entry through the conference's customs broker and the re-export at the show close. We work with the venue's official freight partner for the show move-in window.
FAQ — trade show packages
How early should we start?
60 days before the show opens for the pre-show mailer. 30 days for the on-site apparel and the giveaways. 7 days for the post-show follow-up kit's data feed from the lead-capture system.
Do you handle the freight to the venue?
Yes — we coordinate with the venue's official freight partner for the show move-in window. The freight is itemised separately on the CFDI 4.0 with Carta Porte 3.1 if the carrier is included in the service.
Can we source the giveaways under the IMMEX temporary import?
Yes — for maquiladora exhibitors we coordinate the in-bond entry through the conference's customs broker and re-export at the close. We work with brokers in CDMX, GDL and MTY with experience in trade-show temporary imports.
What if the booth visitor count exceeds the giveaway count?
We hold a 10–15% buffer in our staging area at the venue. For the 5,000-piece giveaways we hold a 10% buffer (500 pieces) and re-supply to the booth team during the show. For executive giveaways we hold a 20% buffer for the after-hours meeting slots.

Send the show name, dates, venue, booth size and location, the expected visitor count, the team headcount and the meeting-tier structure. We prepare a four-phase proposal with per-phase cost, freight and the CFDI / USD billing split for the procurement and tax teams.
