Speaker prep packs for Mexican conferences and corporate keynotes
The prep pack is what the speaker experiences before the keynote. The hotel-room drop on arrival night, the backstage kit on the morning of the talk, the briefing folder with the run-of-show, the AV checklist and the stage notes. We assemble prep packs for keynotes at Centro Citibanamex, WTC CDMX, Hotel Four Seasons CDMX, St. Regis Mexico City, Hilton Polanco and the Hotel Presidente InterContinental, in editions of 8–80 packs per conference. CFDI 4.0 with 16% IVA, USD commercial invoice for international speakers that ship the pack elements abroad.
Why the prep pack is the speaker's first impression of the host
Speakers judge the host before they ever step on stage. The hotel-room drop is the first physical contact: if it lands in the room at 19:00 with a thoughtful gift, a clear briefing folder, a personalised welcome card and a small regional product, the speaker walks on stage the next morning with confidence in the host. If it lands at 23:00 with a generic tote and a printed briefing that still says "TBD" on the run-of-show, the speaker walks on stage already wondering why they took the booking.
The prep pack also has to handle the practical side. Speakers need the AV checklist (mic type, clicker brand, stage monitor size), the run-of-show (Q&A moderator name, time signals, intro music cues), the stage notes (where to stand for the photo op, when to leave the stage), the contact card (production lead, AV lead, hotel concierge) and the small comfort items (water bottle, throat lozenges, mints, hand cream, stain pen). The pack is part gift, part operations document.
The three deliveries of a prep pack
Hotel-room drop (T−1 evening)
Personalised welcome card from the host, regional Mexican product (mezcal miniature, Oaxacan chocolate, vanilla from Papantla), branded water bottle, branded snack pack (Oaxacan chocolate, amate bookmark from Guerrero, jamoncillo), branded eye mask and ear plugs for the night-before rest, brief on the next morning's schedule. Delivered to the hotel room by the concierge at 19:00–20:00. Range USD 95–280 per drop.
Briefing folder (in the drop)
Rigid folder with the run-of-show, the AV checklist, the stage notes, the contact card, the speech notes (if the speaker opted for a teleprompter or a printed copy), the press list and the embargo schedule, the Q&A moderator's name, the post-event interview schedule. Bilingual (ES / EN) for the international speakers. Range USD 18–48 per folder.
Backstage kit (T-2 hours)
Branded water bottle (refilled), throat lozenges, mints, hand cream, stain pen, branded tissue pack, small regional snack for the green-room, branded sticky notes and pen for the speaker's last-minute notes. The backstage kit is staged in the speaker's green-room by the production lead 2 hours before the keynote. Range USD 28–95 per kit.
Welcome card and personalisation
Hand-signed welcome card from the host, printed briefing card with the next morning's schedule, the venue map, the hotel concierge's direct line. The card and the briefing are personalised to the speaker (not the conference). Range USD 6–24 per drop.
Production window, hotel coordination and AV alignment
The prep pack opens production 14–21 days before the conference: 5 days for creative and personalisation data collection, 7 days for production of the briefing folder and the branded accessories, 3 days for the regional product sourcing, 1–2 days for the assembly and the hotel-room staging. The hotel-room drop is staged in the speaker's reserved room by the concierge the evening before the keynote; the backstage kit is staged in the green-room on the morning of the talk.
We coordinate the AV alignment with the venue's in-house AV team or the show's official AV partner. For conferences at Centro Citibanamex and WTC CDMX, the official AV partner handles the equipment and the briefing; we integrate the prep pack with their timeline. For corporate keynotes at hotels, we coordinate with the hotel's event office for the green-room access and the freight window. The CFDI 4.0 is issued to the conference host with 16% IVA itemised; for international speakers, the commercial invoice is issued in USD with the corresponding CFDI 4.0 in MXN.
FAQ — speaker prep packs
How early should we start?
14–21 days before the conference for the full prep pack. 7 days for the backstage kit only when the hotel-room drop and the briefing folder are handled by a global agency.
Can the briefing folder be bilingual?
Yes — the briefing folder, the run-of-show, the AV checklist and the Q&A moderator's name are all bilingual (ES / EN) for the international speakers. The welcome card is in the speaker's preferred language.
Do you coordinate with the hotel concierge?
Yes — we work with the hotel's event office for the hotel-room drop and the concierge for the staging. The drop is scheduled at 19:00–20:00 so the speaker finds it after dinner and before bed.
Can the prep pack be shipped to the speaker's hotel before arrival?
Yes — for international speakers that arrive a day early, the prep pack can be staged at the hotel the day before the speaker arrives. The hotel concierge signs for the delivery and stages the drop in the reserved room.
