November — February · Fiscal year-end, holiday gifting and new year start

Winter bundle: the merch for fiscal close and retention

Mexican winter doesn't look like Nordic winter, but it has its own operational logic. From November to February, Mexican corporates run three processes in parallel: fiscal year-end with execution of remaining budget, holiday gifting for clients and employees, and the start of the new fiscal year with welcome kits for January hires. The winter bundle integrates all three operations into a single program with deductible CFDI 4.0 invoicing and delivery scheduled between Buen Fin, the corporate holiday party, the year-end dinner and the return from vacation.

The Mexican fiscal year-end and why it matters for merch

The Mexican fiscal year closes on 31 December, and for corporate procurement departments this means executing between 15 November and 31 December the budget that wasn't spent during the year. It's the only time of the year when marketing, internal communications, human resources and public relations departments have cash available to buy merch in high volumes without going through the annual budget committee.

For corporates that operate with fiscal discipline, year-end is also the time to execute programs that got pushed from the first semester: seniority-recognition kits that weren't delivered in their month, company-anniversary programs that moved to the fourth quarter, hospitality kits for clients received in December, and the holiday-gifting gifts for key clients closing contracts in January. Operating all of these programs simultaneously requires a supplier who understands the short production window and the calendar constraint.

The winter bundle was designed for that window. Production starts 6 to 8 weeks ahead of Buen Fin (mid-November) and is scheduled so that client deliveries arrive between 1 and 20 December. For employee deliveries (internal year-end program), delivery is scheduled between 5 and 15 December, before the corporate holiday party. For the fiscal year start, welcome-kit deliveries are scheduled for the first week of January, with stock in the warehouse for new hires confirmed up to 15 February.

The entire program is invoiced in the correct fiscal year. The CFDI 4.0 invoice is issued with the actual delivery date, not the order date, and charged to the client's account with USO CFDI G03 (general expenses) when the destination is an internal employee, or G01 when it is an external client and the expense is deductible. For clients with the complemento de pagos, we handle down-payment and final payment per the calendar the client's accounting area defines.

Components of the winter bundle

The bundle runs in four versions depending on recipient: internal-employee kit (5 pieces), strategic-client kit (4 premium pieces), mass holiday-gifting kit (3 accessible pieces), and fiscal-year-start kit (7 pieces for January new hires). All four versions share the thermos and the jacket or hoodie, and add pieces specific to each case.

Softshell jacket with high collar and embroidery

Polyester jacket with spandex, windproof inner membrane, polar-fleece-lined collar, YKK main zipper, two zipped side pockets, chest pocket, embroidery on left chest and upper back. Sizes XS to XXL with a size curve documented per client. Women's version with fitted cut. Ideal for northern-plant operations and urban use in CDMX, Guadalajara and Monterrey during the December-to-February months.

Premium organic-cotton hoodie sweatshirt

380 g/m² organic-cotton sweatshirt with double hood, kangaroo pocket, cotton drawcords, reinforced seams, anti-pilling treatment. Brushed inner for extra warmth. Available in corporate colour with garment dye or in catalogue base colours. Delivered with internal personalised label carrying the employee number and program year. Ideal for home office and office days with controlled climate.

Thermal set with artisanal ceramic mug and saucer

350 ml ceramic mug with saucer, both pieces made in a Tonalá or Puebla workshop with lead-free glaze certified NOM-251. Low-relief design or logo stamping. Comes with a raw-cotton drawstring pouch. For strategic-client holiday gifting or seniority recognition. Each piece is slightly different due to the artisanal process.

Premium local-products gift box for the season

Wooden box with local products selected by season: Baja California wine, Oaxacan mezcal, Chiapas coffee, Tabasco chocolate, Puebla artisanal salsa, regional jam. Each box with a personalised card carrying a message from the director or HR area. For VIP clients, strategic suppliers and 10+ year seniority recognition. We handle the sanitary compliance for each product with its current sanitary registration.

Programs executed during the winter window

The first program is mass holiday gifting for employees. When a corporate has 1,000 or more employees, the year-end gift is a gesture that reaches everyone, which is why it has price and logistics constraints. The typical piece is a premium embroidered sweatshirt, a thermos-with-mug set, or an accessible local-products kit. Delivery is scheduled for the corporate holiday party or the last working day of the year, with scheduling that respects each site's operations.

The second program is seniority recognition. Mexican corporates usually run 5, 10, 15, 20 and 25-year programs with pieces ranging from engraved crystal (5 years) to fine jewellery or experience (25 years). The winter bundle offers options from $1,200 MXN up to $80,000 MXN with a piece curated by the client. Delivery happens at a formal event with a speech by the director, not by courier.

The third program is the hospitality kit for clients. When the corporate receives strategic clients in December (board meeting, contract closing, annual review), the kit delivered to the hotel room includes thermos, mug, local-products set and personalised card. Delivery is coordinated with the hotel property and the tour operator.

The fourth program is the fiscal-year start. Corporates that hire in bulk between 1 January and 15 February (typical of new-year budget reallocations) receive the onboarding kit days before day 1. This program is invoiced in the new fiscal year and reported separately from the previous year's close.

Calendar constraints we have learned the hard way

Buen Fin, the Mexican equivalent of Black Friday held in mid-November, saturates courier capacity, personalisation workshops and packaging suppliers. When a client calls us on 1 November to deliver on 30 November, the honest answer is that it is no longer possible with quality. That's why our clients with a winter program call us in September to secure capacity in advance.

The Mexican corporate holiday party typically takes place between 8 and 20 December, peaking on 12 December (Feast of the Virgin of Guadalupe). Deliveries for employees must arrive before the party or on the party day, not after. The year-end dinner and the New Year party are the two additional events that also require coordinated delivery.

Collective vacations at Mexican corporates typically run from 22 December to 6 January. Couriers operate reduced hours between 24 December and 1 January. That's why the last safe delivery date to employees in CDMX, Guadalajara and Monterrey is 20 December; to other cities, 18 December.

For client deliveries, the constraint is smaller because courier operations extend to B2B. But tourist hotels and resorts do close operationally between 24 and 26 December and between 31 December and 2 January, so hospitality-kit deliveries are scheduled outside those windows.

Pricing, MOQ and timelines

Pricing in MXN before 16% IVA. The internal-employee kit (5 pieces) starts at $1,850 MXN per unit from MOQ 100. In series of 500 or more pieces per month, the cost drops to $1,420 MXN. The strategic-client kit (4 premium pieces) starts at $3,200 MXN from MOQ 25. The mass holiday-gifting kit (3 accessible pieces) starts at $580 MXN from MOQ 250. The fiscal-year-start kit is quoted as the base onboarding kit with date adjustments.

Production times for jacket and sweatshirt are the longest: 18 to 22 business days from logo and colour confirmation. For series above 1,000 pieces, the timeline extends to 25 to 30 business days. Production scheduled 6 to 8 weeks ahead is the only way to guarantee capacity during fiscal close. Last-minute urgent orders (typically the area that forgot the budget) ship in 8 to 10 business days with a 40% surcharge on the unit price.

Invoicing is issued per program (fiscal close, holiday gifting, year start) with CFDI 4.0 stamped by SAT at the time of delivery. For clients with multiple legal entities, we issue separate receipts per entity with 16% IVA broken out line by line. We accept SPEI, corporate card and 30-day line of credit for clients with active contracts.

FAQ — winter bundle

Can you deliver before 20 December?

Yes, but it requires scheduling 6 to 8 weeks in advance and a piece commitment. For corporates in CDMX, Guadalajara, Monterrey and Querétaro, we deliver up to 22 December with extended hours. For other cities, up to 18 December with express courier. After 22 December, we only ship with DHL or FedEx with additional holiday-hours surcharge.

Does the organic sweatshirt have certification?

Yes. The organic-cotton sweatshirt comes with GOTS (Global Organic Textile Standard) certification when the client requires it for their ESG report. For series above 500 pieces, we can dye in the corporate Pantone without affecting certification. The inner label carries the lot code and exact composition for audit.

Can you include wine or mezcal in the client kit?

Yes. We handle Baja California wine with private label or house brand, Oaxacan mezcal with denomination of origin, and other artisanal spirits. Each product travels with its current sanitary registration and NOM-251 compliance for food contact. For interstate deliveries, we handle shipping with the Carta Porte 3.0 complemento when the destination is a free zone.

How is seniority recognition invoiced?

When the corporate delivers seniority recognition at a formal event (not by courier), the invoice is issued at the moment of delivery with the corresponding CFDI 4.0. The expense is deductible for the client as long as the recognition is tied to the employment relationship and is included in the internal compensation policy. For executive deliveries with high-value pieces ($20,000 MXN or more), the client decides whether to invoice to the company or to the executive directly.

Do you handle a catalogue for small clients?

Yes. For clients with fewer than 50 pieces, we run a catalogue of pre-designed kits that get adapted by colour and logo. The advantage is shorter delivery time (8 to 10 business days) and slightly higher unit price. The disadvantage is less personalisation in the piece selection.

Can you operate the mass holiday-gifting program with invoicing to multiple legal entities?

Yes. For corporates with multiple legal entities (typical of business groups with operating subsidiaries), we issue separate receipts per entity with 16% IVA broken out and the corresponding USO CFDI. Delivery is consolidated at the central warehouse and distributed to each site with tracked courier per recipient.
