Production, logistics and Carta Porte 3.0

We produce event bundles in Mexican workshop with capacity for textiles, metallurgy, case making and final assembly. Screen printing uses low-cure plastisol or water-based inks depending on the textile; embroidery is executed with high-strength polyester threads with removable backing so the isotype does not deform with use; laser engraving is applied to steel and aluminum with controlled depth. The t-shirt is labeled with size, event code and corporate code for inventory control. Final assembly runs on table with packing slip listing content per kit and verification against purchase order before dispatch.

Event logistics are coordinated with the organizing committee to guarantee delivery to the venue at the agreed date and time. For deliveries to venues with restricted access, we deliver with Carta Porte 3.0 stamped at SAT, vehicle and operator identification complement, and signed receipt by the warehouse responsible at the venue. For events in Mexico City, Guadalajara, Monterrey, Querétaro, Puebla, Mérida, León, Tijuana and Ciudad Juárez we have own routes and temporary warehouses with 24/7 security.

Personalization, event app and LFPDPPP

Kit personalization takes the corporate list with attendee name, company, position, t-shirt size and QR access code to the event. Each kit is identified with the attendee code on the outer label and inner packing slip. The PVC badge is issued with photo, name, company and QR code that opens the event app with personalized agenda, venue map and networking. The notebook carries the event program on the cover with date, venue and schedule of each conference.

Data handling of the attendee complies with the Federal Law on Protection of Personal Data Held by Private Parties: name, company, position, size and QR code are used exclusively for the kit and event badge, are not transferred to third parties outside the workshop and the organizing committee, are deleted from our systems 90 days after the event, and the attendee may request early deletion through the privacy notice published on the event site. For corporates with USMCA operations, we also invoice in USD with conversion in MXN at the Bank of Mexico exchange rate of the day, IMMEX deduction when the event is tied to a cross-border commercial promotion program, and delivery in Tijuana, Ciudad Juárez, Nuevo Laredo and Matamoros with insured courier.

MOQ, cost and annual events program

Congress attendee kit from 320 MXN plus VAT per unit at 500 units. Trade show exhibitor kit from 580 MXN plus VAT per unit at 100 units. Guest speaker kit from 1 240 MXN plus VAT per unit at 25 units. Press and media kit from 1 480 MXN plus VAT per unit at 30 units. Personalization with attendee name, PVC badge with QR code, business card on aluminum plate and premium gift curation are quoted separately based on the level selected.

For corporates with annual events program (annual convention, biannual congress, quarterly launches, trade shows) we offer annual contract with preferential rates, calendar shared with the Communications department and consolidated invoicing in a single monthly CFDI 4.0 with cost center breakdown and complement for SPEI payment. Premium gift curation is quoted separately based on the device approved by the corporate IT department.

Can you deliver the kit directly to the event venue?

Yes — we deliver to the event venue at the agreed date and time with the organizing committee, with Carta Porte 3.0 stamped at SAT when applicable, vehicle and operator identification complement, and signed receipt by the warehouse responsible at the corporate. The invoice is issued through CFDI 4.0 with 16% VAT breakdown and complement for SPEI payment.

How long does full event kit production take?

The kit prototype and content curation leave in 7 business days for corporate and organizing committee approval. Full production leaves in 21 business days with consolidated delivery to the venue or to the corporate warehouse. For urgent events under 21 days we run express production with a +35% surcharge on list price.

Can you handle the PVC badge with QR code for the event app?

Yes — we issue the PVC badge with photo, name, company and QR code that opens the event app with personalized agenda, venue map and networking. Integration with the event app is done with the platform provider through API or manual CSV upload with the attendee data. Surcharge for PVC badge and QR code is quoted separately based on the batch volume.
