Corp 52 final bundle: what the Mexican corporate hands to the volunteer donating their Saturday

The Mexican corporate running an ESG (Environmental, Social, Governance) strategy knows that volunteer work doesn't sustain itself with an HR email. It sustains itself with a kit the volunteer carries to the event, uses during the day and keeps at home as a reminder. The corp 52 final bundle ships an organic cotton shirt with event screen print, a reusable jute backpack with zip closure and reinforced handle, a 500 ml stainless thermos with event engraving, a kit of native Mexican seeds for reforestation, a field logbook for hour and activity tracking, an embroidered cotton cap with the programme logo, technical combed-cotton socks and a sticker pack with the programme brand. The CFDI 4.0 invoice goes out with key G03 (general expenses) or P01 (advertising) depending on use and is 100% deductible under the general regime.

Why the volunteer kit decides next year's programme

The Mexican corporate running a corporate volunteer programme with more than 200 enrolled employees spends between $1,800 and $4,200 MXN per event on logistics, transport, food and materials. Of that total, between 8 and 12% goes to merchandise the volunteer renews from their own pocket because the company never gave them a standardised kit. The corp 52 final bundle organises that expense and invoices it as an investment in social responsibility with full deductibility and CFDI 4.0 broken out by line.

The Mexican volunteer donates their Saturday to the CSR programme when the kit is worth what they'd pay for their casual clothes. The organic cotton shirt with screen print of the event (corporate logo + programme logo + date) becomes the day's uniform and the shirt they wear on Monday at the office to show off the event. The reusable jute backpack stays in the closet for the next event, reforestation, health drive or community visit.

The native Mexican seed kit includes 5 sachets with seeds of polycarp, tabachin, huisache, mezquite and maguey, endemic species that adapt to the climate conditions of the programme's reforestation zones. Each sachet has printed planting instructions, watering calendar and QR code for registering the planted tree on the corporate's environmental impact platform. The seed kit invoice segregates from the volunteer kit for correct deductibility.

For corporates with CSR programmes reported under GRI Standards or SASB Materiality Map, we attach to the kit the impact documentation: volunteer hours per employee, trees planted, beneficiaries served, kilograms of waste collected and event photographs with volunteer consent. The invoice goes out with line-by-line breakdown and technical description that the sustainability area reports in the annual ESG report.

How the volunteer kit invoices under ESG

The corp 52 final bundle runs in two invoicing modes. The first is per-event with CFDI 4.0 issued at event close and per-line description. The second is annual contract with fixed unit price invoiced against actual event delivery, with payment complement at 30 days when the corporate runs on credit lines.

USO CFDI depends on the client's tax regime and the area receiving the expense. For Régimen General with sustainability or CSR area, it invoices on key G03 (general expenses) or P01 (advertising) depending on ESG reporting. For RESICO, it invoices on key G03 because the kit counts as social responsibility investment. Accounting validates ahead of the first event to confirm the right key and the specific expense account.

The 16% IVA breaks out line by line on the CFDI 4.0. For free-zone deliveries (typical of IMMEX with CSR programmes in Baja California, Sonora or Tamaulipas), IVA is calculated at 0% and the Free Zone complement attaches with the SAT authorisation number. For deliveries with Carta Porte across state lines, the Carta Porte 3.0 complement attaches with the carrier's data.

Cancellation or correction of the CFDI runs within 24 hours of the request. Size changes after delivery are handled by replacement with an additional charge and a new CFDI for the additional piece. A kit not delivered because of volunteer no-show is invoiced only when order confirmation was signed by HR or CSR at least 5 business days in advance.

Sizes, colours and stock curve

The shirt in the corp 52 final bundle follows the curve XS 10%, S 30%, M 35%, L 15%, XL 5%, with L and XL on backup stock. The backpack and thermos are unisex. The seeds are universal. For volunteers with large sizes (2XL or 3XL), we run an extended version with additional cost and production time. For programmes that include minors (volunteers' children), we run a kids' version with sizes 4 to 14.

Shirt colours and print get selected on the first order and stay stable to build programme identity. The most common combinations in Mexican corporates are: white shirt + green print + natural jute backpack + green thermos for environmental programmes (reforestation, cleanup, biodiversity); navy shirt + white print + natural jute backpack + navy thermos for social programmes (education, health, housing); Oxford grey shirt + orange print + natural jute backpack + grey thermos for community programmes (donation, infrastructure, literacy).

For corporates with more than 500 enrolled volunteers, we run rotating stock at the warehouse with monthly replenishment per event. The corporate pays for the kit only when the event is confirmed, with no minimum quarterly volume commitment. Logistics runs with standard courier (Estafeta, Paquetexpress) and delivery in 3 to 5 business days to any state in the country. For multi-site events, we run segregated batches per site with independent invoicing per RFC.

Pricing, MOQ and timelines

Pricing in MXN before 16% IVA. The corp 52 final bundle starts at $640 MXN per unit from MOQ 50. In event series of 150 kits or more, the unit cost drops to $520 MXN. In annual contracts above 2,000 kits with per-event deliveries, the unit cost drops to $440 MXN with safety stock reserved at our CDMX and Guadalajara warehouses. The CFDI 4.0 invoice is issued at event close with full deductibility under social responsibility expense.

Production runs 15 to 18 business days for kits with personalised screen print and packaged seeds. Series above 500 kits require 22 to 25 business days with a 6-week lead time before the event. Delivery goes to the corporate office with acknowledgement from the CSR area or directly to the event meeting point with tracked courier.

For IMMEX corporates in the free zone, the kit is assembled in Tijuana or Monterrey with cross-border delivery in 24 to 48 hours and Carta Porte at 0% IVA. For events in rural zones without courier coverage, we run our own truck delivery with signed acknowledgement from the event's responsible party.

FAQ — corp 52 final bundle

Can you include the community ally logo on the shirt?

Yes. For programmes run in alliance with an NGO, foundation or community ally, we include the ally's logo on the shirt alongside the corporate logo and programme logo. Screen printing accepts up to 3 additional colours without extra charge. For allies with more complex branding, we run DTF with additional cost. The design confirmation closes 10 business days before the event to guarantee production time.

What if the volunteer doesn't show up to the event?

The kit is invoiced at event close because it has already been produced and delivered to the corporate. The corporate decides whether to give the kit to the volunteer that did attend as additional recognition, give it to the next event or donate it to the community ally for use in another programme. The original invoice remains as support for the deductible expense. For events with high no-show, we recommend producing 80% of the confirmed RSVP.

Can you deliver in free zone at 0% IVA?

Yes. For IMMEX corporates in Baja California, Sonora or Tamaulipas with CSR programmes in the free zone, we deliver with 0% IVA CFDI and the Free Zone complement attached. The Carta Porte is issued with origin at our Tijuana or Matamoros warehouse and destination at the event meeting point. For multi-site events in the free zone, 0% stays in place with a residential address complement per delivery.

Are the native Mexican seeds certified?

Yes. The seeds are sourced from producers certified by SEMARNAT and CONAFOR, with a traceability document certifying the native Mexican origin. Each sachet includes planting instructions with depth, spacing, watering calendar and precautions. For commercial reforestation, we recommend the corporate ally with a local nursery to guarantee survival rate above 60%.

Can you include field logbook with hour reporting for the ESG report?

Yes. The field logbook includes printed format for hour registration, activity, place, beneficiary and event responsible party. The logbook ships with a bamboo pen with logo and invoices separately. For corporates with digital CSR platform, we run a digital version with companion app that syncs volunteer hours directly to the ESG report.

Do you handle kits for children's programmes with volunteers' kids?

Yes. For programmes that accept minors with signed parental consent, we run a kids' version with size 4 to 14 shirt, child-design jute backpack, 350 ml thermos with kids' engraving, fast-growth seed kit (radish, sunflower, pumpkin) and cotton cap with programme embroidery. The invoice segregates from the adult kit and is documented with parents' RFC or corporate RFC depending on the CSR area.
