Corp Pack 24 final: the kit of the booth staff and the visitor who leaves with the brand
Expo Guadalajara, Expo ANTAD, Expo Pack, CINTERMEX, WTC Mexico City are the B2B trade shows where a Mexican corporate receives between 200 and 5,000 visitors per day at its booth. Corp Pack 24 final covers both ends of the event: the staff attending the booth with embroidered polo, QR credential and technical folder, and the visitor who leaves with tote, tumbler and portfolio brochure. The CFDI 4.0 invoice is issued with key P01 (advertising) under the trade-show participation line with full deduction and supporting documentation for CFDI 4.0 compliance with foreign trade complement when the visitor crosses the border.
Why the trade-show booth needs role-differentiated pieces
The Mexican corporate that mounts a booth at Expo Guadalajara or CINTERMEX faces a complex logistical operation: on one side, the staff attending the booth between 8 and 12 hours per day for 3 to 5 days of fair; on the other, the visitor who spends between 5 and 15 minutes at the booth and leaves with a merchandising piece. Each one's needs are different, and a kit that confuses the two roles produces a mediocre result for both. Corp Pack 24 final solves that with differentiated pieces: staff polo with name embroidery, QR credential, technical folder to hand to the visitor and laptop support; tote and tumbler to hand to the visitor as reminder merchandising.
The staff kit is delivered the day before the fair setup, at the team hotel or directly at the convention center. Each piece is identified with the staff member's name and role (sales, technical, executive, registration). The QR credential allows access to the convention center and press-room accreditation when applicable. The polo embroidered with the name communicates professionalism from the first visitor contact.
The visitor kit is delivered at the booth during the fair days, in an independent bag with corporate label. Delivery happens at the end of the commercial conversation when the visitor has left their contact data, not at the start (when there is no relationship yet). The tote and tumbler function as a post-event reminder of the encounter and as a vehicle for the brand in public space during the weeks following the event.
For corporates with recurring trade-show booths (annual Expo Guadalajara, semi-annual Expo ANTAD, international fairs in McAllen or Laredo), we keep a frozen brief file and allow piece changes with additional charge. The corporate signs a change order and a new CFDI is issued for the difference. Trade-show invoicing consolidates at event close with breakdown per booth and per visitor attended when required for post-event analysis.

How trade-show participation is invoiced
Corp Pack 24 final is invoiced as CFDI 4.0 issued at trade-show close. The USO CFDI key is P01 (advertising) when charged to the trade-show participation line as part of the marketing campaign. The deduction is processed under the general regime of law with creditable 16% IVA. For RESICO clients, it is billed with the same key P01 because the trade-show expense is charged to the period's operating expense.
For events with international visitors (typical of Expo ANTAD with US, LATAM, European buyers), the kit delivered to foreign visitors is documented without a domestic invoice when the visitor does not require a fiscal receipt. For corporates that require delivery proof for their own records, a global invoice is issued with a generic line "trade-show merchandising" without breakdown per visitor.
For deliveries to the free zone (typical of CINTERMEX booths in Monterrey or Expo Guadalajara booths with pieces for delivery at an IMMEX plant), IVA is calculated at 0% rate and the Free Zone complement is attached. For deliveries with inter-state Carta Porte (typical of booth load from our Mexico City warehouse to Guadalajara), the Carta Porte 3.0 complement is attached with carrier data.
CFDI cancellation or correction due to booth cancellation is processed within 24 hours with motivo 02 (error with no SAT relation). For changes in the staff list or in the number of visitor pieces, we manage a backup kit with additional charge and a new CFDI for the additional piece. Replacement due to incorrect size is handled with a new kit at a preferential price within the corporate's trade-show program.
Size curve, colors and brand brief
The staff polo size curve is built from the confirmed team list. For 8 staff members, the typical curve is CH 10%, M 30%, G 30%, XG 20%, XGG 10%, with backup stock for extreme sizes. For staff with operational uniform (typical of technical demonstration at the booth), we manage an alternative curve with industrial work shirt and reflective tape.
Polo and tote colors are approved through a screen proof and a physical proof on the actual fabric. Corporates with strict brand manuals work with a closed palette of three to five colors replicated without variation. Corporates with flexible booths accept trend tones and sign off extra proofs. Screen printing uses high-opacity plastisol for colors on dark textiles.
The brand brief is delivered with editable files (Illustrator, InDesign, complete font package), Pantone Coated and RGB palette, and isotype application guide. The color proof is signed by the marketing director or brand owner before production. Any change after the proof is signed is quoted as a brief change and carries an additional charge with a new CFDI for the difference.
For booths with physical product included (typical of launches at Expo Pack or manufacturing fairs), the kit is assembled with the product packed at the center and the brand pieces around it. A card with a QR code to review the product online and a link to the brand site is enclosed. The included-product logistics is quoted separately with its own foreign trade complement when it crosses a border.

FAQ — Corp Pack 24 final
Can you differentiate the staff kit from the visitor kit?
Yes. The staff kit includes polo with name and role embroidery, QR credential, technical folder and laptop support. The visitor kit includes raw canvas tote, engraved tumbler and portfolio brochure. Each is delivered at different moments: staff receives the kit the day before setup; the visitor receives their kit at the end of the commercial conversation when they have left their data. Invoicing is segregated per kit for correct deduction under trade-show participation expense.
Can you handle recurring trade-show booths with a frozen brief file?
Yes. For corporates with recurring trade-show booths (annual Expo Guadalajara, semi-annual Expo ANTAD, international fairs in McAllen or Laredo), we keep a frozen brief file and allow piece changes with additional charge. How do you invoice when visitors are international?
For events with international visitors (Expo ANTAD with US, LATAM, European buyers), the kit delivered to foreign visitors is documented without a domestic invoice when the visitor does not require a fiscal receipt. For corporates that require delivery proof for their own records, a global invoice is issued with a generic line "trade-show merchandising" without breakdown per visitor.
Can you deliver the full booth with installation included?
No, Corp Pack 24 final covers only the merchandising and documentation pieces. The booth installation (structure, graphics, audiovisual, furniture, electricity) is quoted separately with specialized convention center providers. We coordinate the kit delivery with the installation provider so pieces arrive in the correct order of the booth timeline. Invoicing is segregated per line for correct deduction.
Do you handle differentiated kits for technical, sales and executive staff?
Yes. For technical staff (product engineers) we add a multitool with pouch and a technical badge with test room access. For sales staff (commercial managers) we add an engraved roller pen and a badge with VIP room access. For executive staff (CEO, VP) we add a premium roller pen in a box and a badge with press room access. Each tier adds 0.2 to 0.5 kilos to the staff kit and is billed separately with key P01 under trade-show expense.
Can you ship the kit to the visitor's home after the event?
Yes. For visitors who require post-event shipping of the full kit (typical of a buyer who left their data but wants the kit delivered at their office), we manage individual tracked courier with delivery 5-7 days after the event. The client's marketing area receives the consolidated delivery report and manages exceptions. Invoicing is issued at shipping close with breakdown per visitor and domestic CFDI 4.0 compliance.
