Women leadership summit · Directors, VPs and executives

Corp Pack 21 final: the kit of the executive who runs the inclusion committee

The women leadership summit is where a Mexican corporate pulls together between 80 and 200 directors, VPs and senior executives —the regional manager flying in from Tijuana, the CFO traveling from Monterrey, the CMO arriving from Mexico City—. Corp Pack 21 final is delivered in the welcome kit with elegant tone: silk scarf with corporate motif, structured leather tote, executive agenda signed by the opening speaker, roller pen in champagne pink or graphite, and a card with a selected quote from the guest leader. The CFDI 4.0 invoice is issued with key G03 (general expense) under the leadership-development line and deduction as executive training expense.

Why the women's summit needs a kit with its own aesthetic voice

The Mexican corporate that organizes a women leadership summit faces an operational problem that's rarely named: the standard welcome kit of the general convention (blue polo, black tumbler, black agenda) communicates gender inclusion halfway. The senior executive who receives the standard kit looks at the t-shirt and feels the summit was designed for another event. Corp Pack 21 final corrects that disconnect: silk scarf, structured tote, pen in soft tones, agenda with premium finish. The executive feels from the first moment that the event was designed for her and for her role.

The kit is delivered in two moments. The first moment is hotel arrival: the executive's room has the tote with the day's agenda, the card with the selected quote from the opening speaker and the scarf folded on the bed with a ribbon. The second moment is the opening cocktail: that's when the roller pen with engraved executive name and the QR accreditation badge are given. Staggered delivery allows each element to be used in its proper moment of the event.

For corporates with multiple legal entities (typical for groups with Banking, Insurance and Consumer divisions), the kit is invoiced per entity with separate lines per RFC and delivered in an independent bag labeled by company. Stock consolidation happens 8 weeks ahead for runs above 100 kits and 6 weeks for runs below 100. Hotel logistics uses specialized event courier with protocol-area sign-off.

For summits with hybrid format (in-person in Mexico City + virtual from LATAM), the kit is shipped via individual tracked courier to remote executives connecting from their city. Delivery happens 5 days before the event with email follow-up and a welcome letter from the inclusion committee chair. The client's protocol area receives a consolidated delivery report and manages exceptions.

How the women leadership summit is invoiced

Corp Pack 21 final is invoiced as CFDI 4.0 issued in two modalities. The first is closed-event: when the corporate confirms the final executive list 1-2 weeks in advance, we issue a CFDI 4.0 with the total kit amount, broken down by line (scarf, tote, agenda, pen) and dated on the last day of the event. The USO CFDI key depends on the receiving department: G03 (general expense) under leadership-development when charged to HR or the inclusion office; or P01 (advertising) when charged to marketing for the event's brand component.

The second modality is annual contract with fixed unit price: the corporate signs a contract covering all summits of the year (general summit, regional summit, inclusion committee kick-off) at frozen unit price. The invoice is issued per event with payment complement at 30 or 60 days per client policy. This modality allows annual budget planning and locks price during high inflation.

For summits funded by several departments (HR, marketing, executive office, inclusion committee), the kit is billed with percentage breakdown and separate lines per RFC when departments belong to different legal entities. The 16% IVA consolidation happens within the same CFDI when all departments share an RFC, or in independent CFDI when there is fiscal separation.

When the summit crosses state lines (typical for events in Cancún, Los Cabos or Puerto Vallarta with attendees from Mexico City), an inter-state Carta Porte is issued with carrier data, total kit weight and declared value. The Carta Porte 3.0 complement is attached to the CFDI when the shipment crosses state lines or exceeds 50 km. CFDI cancellation due to executive list changes is processed within 24 hours with motivo 02.

Size curve and hotel logistics

The silk scarf is delivered in one size 90 × 90 cm that adapts to multiple uses (neck, hair, handbag, belt). The structured tote is delivered in fixed dimensions 38 × 30 × 12 cm that adapts to 13 to 14 inch laptops. The agenda is delivered in universal A5 format. The roller pen has no size and is delivered in color per confirmed preference.

Hotel logistics uses specialized event courier that delivers to the executive's room 24 to 12 hours before check-in. Delivery is made in a rigid box with fabric handle and documented with a photo of the kit on the bed. The courier operates on a schedule aligned with the hotel's reservation calendar and notifies the corporate protocol area of any out-of-hours delivery.

For summits in a hotel with full room block (typical for events in Polanco boutique hotel, Punta Mita beach resort, Mérida convention center), the hotel receives the kits 24 hours before check-in and takes them to rooms as a courtesy of the event. Coordination is done with the hotel sales team and confirmed with the reservation list 5 days before the event. Kits for staff and speakers are delivered directly to the production room.

For summits with hybrid format (in-person + virtual), the kit is shipped via individual tracked courier to remote executives connecting from their city. Delivery happens 5 days before the event with email follow-up. The client's protocol area receives a consolidated delivery report and manages exceptions. The remote kit includes a welcome letter from the inclusion committee chair and an access code for the event platform.

FAQ — Corp Pack 21 final

Can the opening speaker sign the agenda?

Yes. We coordinate with the opening speaker's office for her to sign the first interior page of each agenda with roller pen and indelible ink. The signature is documented with a photo before shipping and delivered with a signature certificate when the client requires it. Confirmation of the speaker's name closes 14 business days before kit delivery. For summits with multiple speakers, we manage multiple signatures with differentiated dedications.

Can you deliver the kit directly to the hotel room?

Yes. We coordinate with the hotel to take the kit to each room 12-24 hours before check-in as a courtesy of the event. Delivery is made in a rigid box with fabric handle and documented with photo. The courier uses a schedule aligned with the reservation calendar. The client's protocol area receives a consolidated delivery report and manages exceptions.

How do you invoice when the kit is split across multiple departments (HR, marketing, executive office)?

When departments share an RFC, the kit is billed on a single CFDI with separate lines per department and proration percentage. When departments belong to different legal entities, we issue one CFDI per entity with separate lines per RFC and a monthly consolidation. CFDI cancellation due to list change is processed within 24 hours with motivo 02.

Can you handle summits with LATAM attendees?

Yes. For groups operating in Colombia, Chile, Peru or Argentina, we deliver bilingual documentation in Spanish and Portuguese for Brazil, with English customs labels for return. The CFDI 4.0 invoice is issued only for the Mexican portion of the kit; foreign attendees receive their kit without a domestic invoice and with a gift letter when customs require it.

Do you handle differentiated kits for staff and speakers?

Yes. For staff and speakers (logistics staff, AV production, presenters, corporate team), we manage a parallel kit with differentiated elements: black polo with logo but no decorative elements, badge with "Staff" type, additional folder with technical material and USB with the presentation. The staff kit is billed separately for deduction under event operating expense.

Can you ship the kit to executives connecting remotely from another city?

Yes. For hybrid summits, we ship the kit via individual tracked courier to remote executives with delivery 5 days before the event. The client's protocol area receives a consolidated delivery report and manages exceptions. The remote kit includes a welcome letter from the inclusion committee chair and an access code for the event platform.
