Welcome kits for new board members joining Mexican corporate boards

A new independent or non-executive director joining a Mexican corporate board receives an onboarding kit from the corporate secretary's office. The kit has to orient the director on the company's governance, history, financials and the strategic agenda, and it has to feel like a considered welcome, not a regulatory hand-off. We assemble onboarding kits for the boards of Mexican public companies listed on the BMV, multinational subsidiaries with Mexican boards of directors, family-owned groups with advisory boards, and the governance bodies of the financial-services groups, in single-piece editions or small cohorts of 2–6 pieces per onboarding cycle. CFDI 4.0 with 16% IVA, USD commercial invoice when the director's home jurisdiction is the US or Europe.

Why a new-board-member pack has to handle governance, history and welcome at once

The new director arrives with three different information needs. Governance: the board charter, the committee charters, the conflict-of-interest policy, the insider-trading policy, the D&O insurance summary, the most recent minutes. History: the annual reports for the past five years, the ESG report, the company timeline, the founder's biography. Strategy: the three-year strategic plan, the competitive landscape summary, the analyst coverage summary. The pack has to satisfy these three needs without becoming a box of regulatory paperwork that the director never opens.

The pack also has to handle the practical side. The director needs a leather portfolio for the board meetings (the binder that holds the materials for the next twelve months), an engraved pen for the board signature, a notebook for the working sessions, and a regional product for the home or the office. The welcome card from the chairman and the CEO is hand-signed.

Production window, personalisation and confidentiality

The board pack opens production 30–45 days before the onboarding cycle: 14 days for creative, board-secretary approval and personalisation data collection, 14 days for production of the principal object and the accessories, 7 days for the regional product sourcing and the assembly, 3 days for final QC and delivery to the corporate secretary's office. The pack is delivered to the director's home address or the corporate secretary's office, depending on the company's onboarding protocol.

Confidentiality governs the pack's production. The personalisation data (the director's name, initials, home address) is shared by the corporate secretary via a secure spreadsheet and is destroyed on delivery. The principal object and the accessories are produced at our partner workshop in Iztalapa or Escobedo with no third-party access to the personalisation data. The CFDI 4.0 is issued to the company with 16% IVA itemised; for directors based abroad, the kit ships internationally with the comercio exterior complemento and the export documentation.

FAQ — new board member packs

What's the minimum edition size?

1 piece for an individual onboarding, 2–6 pieces for a cohort onboarding cycle, 6–12 pieces for an annual board refresh. Below 6 pieces, the personalised production overhead is significant; we recommend a single personalised gift instead.

Can the pack be bilingual?

Yes — the governance materials, the history materials and the welcome card can be bilingual (ES / EN). The principal object and the regional product are language-neutral.

Can the pack be shipped to the director's home abroad?

Yes — we coordinate international shipping via DHL Mexico or FedEx Mexico with the CFDI 4.0 comercio exterior complemento and the export documentation for the director's destination country.

Can the pack include a Denomination of Origin mezcal or tequila?

Yes — we work with NOM-141 compliant producers in Oaxaca (mezcal, Mezcal Regulatory Council) and Jalisco (tequila, CRT). The back label carries the certification number that the director can verify.
