Launch day packs for single-day Mexican product launches

Some launches are not six-week programs. Some launches are a single day in a single venue with a single coordinated moment. We assemble launch day packs for flagship store openings at Polanco, Santa Fe and Masaryk, showroom launches at the Centro de Diseño, pop-up launches at the Hotel Habita, the Downtown Mexico hotel or a Roma Norte gallery, and same-day event launches at the Walmart, Liverpool or Palacio de Hierro anchor stores. The pack concentrates every physical touchpoint that lands inside the venue on the launch day. CFDI 4.0 with 16% IVA, USD commercial invoice for international brands.

Why a launch day pack is the most-concentrated merch brief

The launch day has no buffer. There is no second chance to fix a wrong name on a shirt, a missing tote at the registration, a misplaced ribbon on a welcome box. Everything has to land on the day, in the right place, in the right hand. The pack is built backwards from the day-of timeline: the first guest arrives at 9:00, the ribbon-cutting is at 10:00, the media moment is at 11:00, the consumer opening is at noon, the VIP cocktail is at 19:00. Every component is timed against that sequence.

The pack also has to handle the venue's physical constraints. The flagship store at Masaryk has limited back-of-house storage; the showroom launch at Centro de Diseño has limited loading-dock access; the pop-up at Hotel Habita has no storage at all and everything must be assembled in the suite the night before. We adjust the staging plan and the freight profile to each venue.

Components of a launch day pack

Launch day apparel

Branded polo or oxford shirt for the launch-day staff, garment-dyed tee for the consumer-event team, branded cap, branded vest with role icon (sales, demo, hospitality, security), branded jacket for the outdoor launches. The apparel is kitted per team member with a spare set and a stain kit. Range USD 38–95 per person for a full set.

On-site signage and accent pieces

Pull-up banner with the campaign identity, fabric pennant for the venue entrance, branded tablecloth for the demo or registration table, branded backdrop for the press photo wall, branded table-top acrylic sign, branded table number, branded table gift card. Range USD 280–1,800 per launch.

Welcome box for VIP guests

Rigid presentation box with the product sample, the brand narrative, the press release, the fact sheet and a branded principal object (engraved notebook, branded leather portfolio, branded crystal or wooden piece). The welcome box is hand-delivered to the VIP guests at the cocktail hour. Range USD 80–320 per box.

Consumer giveaway and on-site hospitality

Branded tote, reusable bottle, sticker sheet, mini-poster, branded t-shirt for the first 200 guests, sample sachet for CPG launches, branded cooler bag for beverage launches, branded phone accessory for technology launches, regional snack (Oaxacan chocolate, vanilla from Papantla, amate bookmark from Guerrero) for the local anchor. Range USD 3–48 per giveaway.

Timeline, staging and venue coordination

The launch day pack opens production 30–45 days before the launch date: 14 days for creative and approval, 14 days for the apparel and the giveaways, 5 days for the welcome boxes and the venue signage, 1–2 days for the on-site staging. The on-site staging team arrives at the venue the day before the launch to position the signage, stage the giveaways in the back-of-house storage, kit the apparel per staff member and pre-position the welcome boxes at the cocktail venue.

For flagship store openings at Polanco, Santa Fe, Masaryk, Andador Reforma or Paseo de la Reforma, we coordinate the freight with the venue's loading-dock schedule and the local police escort when the merchandise value exceeds the venue's insurance threshold. For pop-up launches at hotels, we work with the hotel's event office for the loading-dock window and the suite staging. For same-day event launches at the retail anchor stores, we coordinate with the store's visual merchandising team and the regional manager.

FAQ — launch day packs

How early should we start?

30–45 days before the launch date. 21 days for the apparel-only scope. 14 days for the welcome boxes only when the apparel is handled by a global agency.

Do you handle the on-site staging?

Yes — we arrive at the venue the day before the launch to position the signage, stage the giveaways, kit the apparel and pre-position the welcome boxes. The staging team is bilingual (ES / EN) and badged for the venue.

What if the launch date moves?

We hold a 30% buffer in our staging area at the venue for last-minute volume changes, but a date move requires a production re-plan. For date moves under 7 days, we hold the buffer and shift the freight window; for moves over 7 days, we re-open production.

Can the launch day pack be assembled under the IMMEX temporary import?

Yes — for international brands that bring in the welcome box or the apparel from abroad, we coordinate the temporary import through the venue's customs broker and re-export at the event close. The CFDI 4.0 carries the comercio exterior complemento.
