Onboarding kit: what the new hire finds on day one
In Mexico, a new hire's first week doesn't begin when they sign the contract — it begins when HR confirms the IMSS registration, opens the payroll account, and clears building access. The onboarding kit is the only tangible piece of that entire industrial process that the new hire physically touches, which is why the kit's quality communicates as much as the verbal welcome from the managing director. We operate recurring programs of 80 to 1,500 kits per month for corporates in Mexico City, Guadalajara, Monterrey and Querétaro who need delivery synced with their SuccessFactors, Workday or BambooHR workflow.
Why the kit matters more in Mexico than in other markets
Mexican onboarding has layers that other countries don't have. The first is IMSS: when an employee joins on day 1, their social-security number is generated between day 5 and day 20. The second is the savings fund (fondo de ahorro) when applicable, with a bimonthly worker-employer contribution that opens with a signature and a pay-in slip. The third is INFONAVIT, where the employee starts generating housing-loan points from day one. And the fourth is the payroll account, which the bank opens within 48 to 72 hours using the employer's patronage letter.
When an HR team calls us about the onboarding kit, they have usually already been through that process 40 or 50 times that year. What they want is a supplier who understands that the kit is not a gift: it's the visible confirmation that the administrative system has already moved. That's why our kits include a CEO letter in PDF inside the USB drive — not as a romantic gesture but as a piece internal communications needs to deliver alongside the employee manual. That's why the badge with magnetic strip or RFID arrives preconfigured with the employee's UID and activates on their first day. That's why the backpack or dopp kit carries an internal card with the assigned buddy's contact data.
These are the details that separate a well-built onboarding kit from one that looks well-built. They are also the reason Grupo Salinas, Grupo Elektra, Femsa, Grupo Alfa, Vitro, Nemak, Grupo BAL, Peñoles, Grupo Carso, Arca Continental, Banorte, BBVA Mexico, and Santander Mexico work with us on their monthly onboarding programs.
Components of the standard onboarding kit
The standard 7-piece kit that most Mexican corporates use is delivered assembled in a kraft or rigid white box, with security tape and a personalised card. Every component serves a specific function in the new hire's first month, which is why none is decorative: each one is used within the first 30 days.
Embroidered polo or oxford shirt
200 g/m² combed cotton with 1- or 2-colour embroidery of the corporate logo on the left chest. Sizes XS to XXL with a size curve documented per client. The oxford shirt is delivered to financial-services and consumer-facing corporates; the polo to manufacturing and services plants. Base colour per brand manual, with a second colour available for dual programs.
Urban or ballistic backpack with laptop sleeve
600D ballistic polyester or recycled nylon bag with padded 14 to 16 inch laptop pocket, organiser in the main compartment, zipped front pocket, reinforced handle and padded straps. TSA lock and integrated USB port available in the premium option. Delivered with internal label carrying the employee number for inventory control.
Laser-engraved stainless-steel thermos
500 to 750 ml 18/8 stainless-steel bottle with double-walled vacuum insulation, screw-top lid with closure spout, laser engraving of the logo and the employee's name. Keeps cold 12 hours and hot 6. Hermetic screw top and spout. NOM-251 compliant for food contact. Silver, black, white or corporate colour per manual.
A5 notebook with roller pen
Hard-cover sewn notebook, 96 sheets of cream paper with lines, fabric bookmark and closure elastic. Cover in book-bound paper or polyurethane with low-relief logo or gold stamping. Roller pen with medium tip in metal body with logo engraving. Delivered with the first page printed in one colour with a message from the director and the assigned buddy's contact details.
How it connects with the HR workflow
Mexican corporates that hire 500 or more people a year don't run onboarding by email. They run it on platforms like SAP SuccessFactors, Workday, BambooHR, Deel for foreign employees, or ADP for complex payrolls. The integration with those platforms is what makes the kit arrive at the right time, not too early or too late.
The most common model we see is this: HR creates the new hire in their platform 5 to 10 business days before day 1. The platform triggers an API call or an automated email to our system with the new hire data: name, size, delivery city, office address or personal address, exact start date. We receive the order, validate it against the client's catalog, launch the personalised production of the name-engraved pieces (thermos, notebook, USB) and schedule shipping for 2 to 4 days before day 1.
When the client prefers no automation, the manual model works the same way: HR sends us a weekly Excel or CSV file with the expected hires, we validate against the catalog, and deliver on the same day we confirm the start. The CFDI 4.0 invoice is issued at the end of the month with USO CFDI G03 (general expenses, deductible for the client) and charged to the client's corporate account with 16% IVA broken out line by line. When there are partial payments, we issue the complemento de pagos without the client having to ask.
For deliveries to the employee's home address in any city of the country, we ship with tracked carriers: DHL Mexico, FedEx Mexico, Estafeta or Paquetexpress depending on weight, destination and urgency. In metropolitan zones delivery is 24 to 48 hours; to secondary cities 3 to 5 business days. For corporates with northern operations (Monterrey, Saltillo, Chihuahua, Juárez), we can deliver directly to the plant with timing coordinated with the security team.
Personalisation, packaging and kit variations
The base kit can be modified based on hire level and the client's brand manual. For operational new hires joining a manufacturing plant, the kit is replaced by workwear with NOM-006 and NOM-018 compliance: 2 polos, 2 industrial trousers, 1 softshell or work jacket, hard hat and PPE where applicable. Invoicing in this case uses USO CFDI G01 when deductibility applies.
For new executives (director, deputy director, VP, C-level), the welcome pack goes up in quality: premium vegan or synthetic leather briefcase, hand-stitched leather agenda, roller pen with gold engraving, travel set with RFID card holder, artisanal ceramic mug from Tonalá or Puebla, premium local product box (Baja wine, Oaxacan mezcal). Delivery in this case goes to the executive's personal address with identity verification and agreed timing.
For hybrid-mode employees, the kit adds home-office pieces: adjustable laptop stand, XL mousepad, bluetooth headphones with case, logo mug, and an extra planner for weekly planning. Delivery goes to the employee's home address anywhere in the country with tracked shipping and reception confirmation by email.
Packaging is another decision. The kraft box with security tape is the most common choice for programs of 200 or more kits monthly because of cost and durability. The rigid white box with gold stamping is used for executive programs or when the kit is delivered at a welcome event. The non-woven fabric bag with closure is the most economical option and is used for operations or home-office kits. Any option can carry a personalised card with the employee's name and start date.
Pricing, MOQ and timelines
Pricing in MXN before 16% IVA. The 7-piece standard kit starts at $1,450 MXN per unit from MOQ 25. In monthly recurring series from 200 kits per month, the cost drops to $1,150 MXN. The executive welcome pack starts at $4,800 MXN from MOQ 10 and drops to $3,800 MXN from 30 units. The operations kit with NOM-006 uniform quotes per piece from $890 MXN depending on composition and quantity.
Standard production times are 7 to 10 business days for a kit without individual personalisation (generic client logo) and 14 to 18 business days for kits with name engraving on the thermos and notebook. Recurring monthly series run on a fixed schedule with two cut-off windows per month: the 5th and the 20th. The September and February peaks (classic for annual budget close and new fiscal year start) are handled with additional capacity from 6 weeks in advance.
Urgent restock of individual pieces (typical case: employee loses their thermos or backpack) ships in 3 to 5 business days with a 30% surcharge on the unit price. The surcharge covers express production and priority shipping. For clients with annual contracts, urgent restocks fall within the SLA without surcharge up to a monthly volume.
Invoicing is monthly with CFDI 4.0 stamped by SAT. We accept SPEI bank transfer, corporate credit card via Stripe, or a 30-day line of credit for clients with an active contract. For corporates that require invoicing to a foreign legal entity with a generic RFC for foreigners, we issue the receipt with the complemento for operations with the general public when the expense is deductible.
FAQ — onboarding kit
Can you integrate the hire record with SuccessFactors or Workday?
Yes. We integrate via REST API with SuccessFactors, Workday and BambooHR to receive the hires automatically. HR does not need to operate a parallel file; the new hire in their platform triggers our order. The initial setup takes 2 to 3 weeks with support from the client's technical team.
What is the kit MOQ?
25 pieces for a standard kit without individual personalisation. 10 pieces for the executive welcome pack. 50 pieces for the operations uniform with NOM compliance. Recurring monthly series from 200 pieces access preferential pricing with a minimum 6-month commitment.
Do you deliver to the employee's home address?
Yes. We deliver to the employee's personal address with tracked carriers (DHL, FedEx, Estafeta, Paquetexpress, iVoy) anywhere in the country. The delivery confirmation reaches HR by email with tracking number and the name of the recipient.
What about employees on assimilated or event-based contracts?
When the employee joins as assimilated-to-salary, event-based or through outsourcing, the kit is invoiced as a current expense without affecting the employee's IMSS. The expense remains deductible for the client as long as the kit is tied to the business operation. We validate the specific tax treatment with the client's accounting team before the first order.
Can you handle more than one kit per employee depending on the event?
Yes. We run programs that include day-1 kit, home-office kit for hybrid mode, 6-month anniversary kit, internal promotion kit and year-end kit. Each kit is invoiced separately and delivered according to the schedule that HR configures.
Do you comply with NOM-006 and NOM-018 for operations uniforms?
Yes. The operations kit includes uniforms with NOM-006 compliance (signage and personal protective equipment) and NOM-018 (harmonised system for hazard identification and communication). We provide technical sheets for each piece and a compliance certificate when the client requires it for their internal audit.
