Exhibitor stand packs for Mexican trade show booths

The booth is where the company's brand lives for three to four days. The stand pack concentrates every physical touchpoint that the booth team controls: apparel, giveaways, signage swatches, lead-capture accessories and the booth-side hospitality. We assemble stand packs for exhibitors at Expo Guadalajara, WTC CDMX, Centro Citibanamex, Poliforum León, Cintermex and Expo Santa Fe, in volumes matched to the booth size and the team headcount. CFDI 4.0 with 16% IVA, USD commercial invoice for international exhibitors.

Why the stand pack lives separately from the trade show package

Some exhibitors only need the booth-side materials. They have a global agency running the pre-show mailer and the post-show follow-up, and they only need the partner that supplies what lands inside the booth walls during the show. The stand pack is exactly the scope: apparel for the team, giveaways for the visitors, signage swatches that complement the booth's main structure, lead-capture accessories and the small hospitality items that the booth team hands out during the conversations.

Smaller exhibitors at Poliforum León, Expo Guadalajara or Cintermex often have a 6-to-12 sqm booth with 2–4 booth staff and 200–500 visitors across the show. Larger exhibitors at WTC CDMX or Centro Citibanamex may have 30–60 sqm with 6–12 staff and 1,500–3,000 visitors. The stand pack scales to both. The stand pack also leaves room for the booth structure to be procured separately through the show's official contractor (the show's appointed stand builder), keeping the merch scope cleanly separated from the build scope.

What the stand pack contains

Booth apparel

Branded polo or oxford shirt for the booth staff, in the brand's primary colour with the booth number or the campaign slogan embroidered on the chest; garment-dyed tee for the floor team; branded cap or visor; optional branded vest with role icon (sales, demo, support). Spare shirts and a stain kit per staff member. Range USD 38–95 per person for a full set.

Booth giveaways

Two-tier giveaway: lead-capture giveaway (reusable bottle, branded tote, sticker sheet) for everyone who scans, qualified-lead giveaway (premium notebook + pen, branded wireless charger, branded travel kit) for booked meetings. Inventory held at the staging area with a 10–15% buffer re-supply during the show. Range USD 3–48 per giveaway.

Signage swatches and accent pieces

Counter-top banner with the brand identity and the booth number, fabric pennant for the booth corner, branded tablecloth for the demo table, branded table-top acrylic sign with the campaign slogan, name badges with role icons. The booth structure (walls, lighting, AV) is procured through the show's official contractor. Range USD 280–1,400 per booth.

Lead-capture accessories

Branded iPad stand for the lead-capture tablet, branded QR-code table card for the meeting-booking flow, branded badge holder for the visitor badge, branded envelope for the printed handout, branded giveaway bag for the qualifying visitors. The lead-capture app is procured separately through the sales-ops team's standard (Salesforce, HubSpot, LeadSquared, Zoho). Range USD 8–28 per visitor slot.

Move-in coordination and post-show pack-out

The stand pack lands at the venue 1–2 days before the show opens, staged in the booth storage area. The booth team picks up the apparel, the giveaway buffer is staged at the booth-side counter, and the signage swatches are installed by the show's official stand builder. For 4-day shows we re-supply the giveaway buffer at the start of each day from the venue staging area; for 3-day shows we re-supply at the morning of day 2 and day 3.

At the show close, the leftover giveaways are packed out by our team. For exhibitors that want to donate the leftover merch to a Mexican non-profit, we coordinate the donation with the venue's community-outreach desk (many Mexican venues have a relationship with Cáritas, the local DIF, or a specific technical institute). For exhibitors that want the leftover merch returned to their warehouse, we pack, ship and invoice the return as a separate freight line on the CFDI 4.0 with Carta Porte 3.1 documentation if the carrier is included in the service.

FAQ — exhibitor stand packs

What's the minimum order for a stand pack?

One booth (6–9 sqm) with 2–4 booth staff and 200–500 giveaways is the floor. Below that volume, the per-piece cost becomes inefficient; we recommend a smaller scope (booth apparel + a single giveaway SKU) instead of the full stand pack.

Can we procure the stand pack in USD if the international parent pays?

Yes — we issue the commercial invoice in USD with the corresponding CFDI 4.0 in MXN to the Mexican operating entity (the local subsidiary or the local agency representative), 16% IVA itemised.

Do you handle the booth structure?

No — the booth structure (walls, lighting, AV, flooring) is procured through the show's official stand builder. We supply the merch-side materials only. This separation keeps the merch scope clean and avoids the conflict-of-interest risk with the show contractor.

Can we donate the leftover merch?

Yes — we coordinate the donation with the venue's community-outreach desk or directly with a Mexican non-profit. The donation is documented on a separate acta de donación with the recipient's RFC, the items donated and the unit cost.

Request a stand pack quote

Send the show name, dates, venue, booth size and number, the team headcount, the expected visitor count and the visual identity references. We prepare a stand pack proposal with per-component cost, move-in and pack-out logistics and the CFDI / USD billing split.
