The rise of pre-paid merch in corporate programmes in Mexico

A pre-paid merch programme is, in short, a brand gift the recipient chooses. Instead of delivering a medium t-shirt when the recipient wears XXL, or a green thermos when their favourite colour is black, the company loads a predefined amount onto a closed card — physical, digital or wallet — and the recipient redeems it for the piece from the brand catalogue that fits, suits or serves them best. It is merch with choice. And it solves one of the oldest problems in corporate merch: the gap between what the brand thinks the recipient wants and what the recipient actually wants. This guide explains how it works, what is required on the fiscal side, what is required on the logistics side and where the typical errors live.

What we mean by pre-paid merch and why it is not the same as open gift card

Pre-paid merch is an amount loaded onto a payment medium — physical, digital or wallet — that can only be redeemed inside a closed catalogue of brand products. The final piece is chosen by the recipient; the amount, the catalogue, the suppliers and the brand are defined by the company. Unlike the open gift card (Visa, Mastercard, Amazon, Mercado Libre-style platforms), pre-paid merch keeps brand control: the recipient only sees, only buys and only receives pieces approved by the company, in the quality, materials, colours and narrative the brand wants to project.

Brand control is the central difference. The open gift card solves choice but loses narrative: the recipient ends up buying groceries or fuel, and the company misses the opportunity to communicate its brand, its purpose or its commitment. Pre-paid merch keeps both: the recipient chooses, the company controls the catalogue and the narrative. Corp-Merch.MX has run pre-paid programmes since 2023 with clients in banking, retail, consumer goods, technology and government offices, with catalogues of 30 to 1,500 pieces and per-recipient amounts from 200 MXN to 25,000 MXN.

Why pre-paid is growing inside Mexican corporates

Pre-paid answers three real problems. The first is size and preference: a corporate of 10,000 employees has sizes from XS to 4XL, colour preferences covering the full colour wheel and cultural restrictions (some employees do not wear leather, others do not accept electronics, others do not consume alcohol). Fixed merch generates returns of up to 18 %; pre-paid brings that to under 2 %. The second problem is budget: in a year-end programme, the marketing area budgets 1,500 MXN per employee, but ends up spending 1,800 because MOQ forces buying more pieces than are delivered. Pre-paid fixes per-recipient cost and eliminates the surplus.

The third problem is speed. A one-off recognition programme — quarterly close prize, performance incentive, tenure gift — needs to run in days, not weeks. Fixed merch requires catalogue selection, size validation, production, personalisation and delivery. Pre-paid is issued in minutes: the company loads the amount, the system notifies the recipient by email or app, and the recipient chooses and receives in 5-15 days depending on the piece. Corp-Merch.MX runs the platform with browsable catalogue, recipient tracking, auditable log and monthly fiscal reconciliation.

Operational checklist to launch a pre-paid programme

1. Define the allowed piece catalogue and the price range

The first step is to decide what is offered and at what price. Corp-Merch.MX recommends a catalogue with three tiers: tier 1 (entry pieces, 200-600 MXN, textile and basic stationery), tier 2 (mid pieces, 600-1,800 MXN, accessories, thermos, backpack, power bank), tier 3 (premium pieces, 1,800-5,000 MXN, leather, crystal, metal). The catalogue is published with professional photography, description, available sizes, delivery time and SAT code. The company decides the amount to load per recipient and the system limits the choice to the pieces the amount can cover.

2. Choose the card or credit delivery medium

The second step is how the medium reaches the recipient. The options are: physical card personalised with the company logo and amount (delivered to the recipient's address or handed in at the office), digital code by email with a link to the catalogue (no plastic, no additional carbon footprint), digital wallet compatible with Apple Pay or Google Pay (for smartphone-native employees), or integration with the company's internal app (when one already exists and a single-app experience is preferred). Each medium has cost, carbon-footprint and user-experience implications that are evaluated before launch.

3. Configure the catalogue supplier, logistics and tracking

The third step is the operation behind the catalogue. Corp-Merch.MX runs with one or several merch suppliers by category (textile, electronics, premium, stationery), and delivers the piece to the recipient from the supplier's warehouse or from a distribution centre in CDMX, Guadalajara or Monterrey. The tracking system shows the recipient the order status, shows the procurement area the programme reconciliation and shows the fiscal area the base for CFDI 4.0. Per-piece and per-transaction traceability is non-negotiable.

4. Validate the fiscal and data-protection framework

The fourth step is the legal and fiscal structure. The pre-paid programme is invoiced as customer advance when the card is loaded, and as merch sale when the recipient redeems. The CFDI 4.0 is stamped with the corresponding SAT code, the final-customer CFDI use (G01 or G03 as applicable) and, when the shipment exceeds 1.5 tons or 50,000 MXN, Carta Porte 3.0. Recipient personal data is handled under LFPDPPP: name, email, size and delivery address are the only data requested, and are stored encrypted for the period required by law.

Typical errors and how to avoid them

The most common error is opening the catalogue too wide. When the catalogue includes 5,000 pieces, the recipient gets lost and the conversion rate drops. Corp-Merch.MX recommends a curated catalogue of 30 to 200 pieces per price tier, enough for the recipient to feel real choice but not so much that it paralyses the decision. The second error is not communicating the amount and the rules. If the recipient believes the card has infinite balance, they pick a premium piece and get frustrated; if they believe it has less, they pick a piece below what is available. Prior communication must include amount, validity, highlighted pieces and catalogue link.

The third error is forgetting the validity. A pre-paid card with no expiration date becomes an operational and accounting liability. Corp-Merch.MX recommends 60 to 180 days of validity depending on the programme, with automatic reminders to the recipient at 30, 15 and 5 days before close. The fourth error is not measuring conversion. The key metric is pieces redeemed / cards issued; if it is below 70 %, the catalogue or the communication is not working. The fifth error is treating the card as anonymous: without recipient traceability, ESG cannot be reported, satisfaction cannot be measured and the next programme cannot be run with learning.

Frequently asked questions on pre-paid merch

What is the difference between pre-paid merch and an open gift card?

The open gift card (Visa, Mastercard, Amazon, Mercado Libre-style platforms) gives total choice but loses brand control. Pre-paid merch gives choice inside a closed catalogue of brand pieces. The company controls what is offered, the quality, the materials and the narrative; the recipient chooses the specific piece.

How is a pre-paid programme invoiced in Mexico?

The programme is invoiced in two moments: as customer advance when the card is loaded, and as merch sale when the recipient redeems. Corp-Merch.MX delivers consolidated invoicing per programme, with CFDI 4.0 and, when applicable, Carta Porte 3.0. The client's fiscal area receives the complete documentation for deduction and IVA credit.

What happens if the recipient does not redeem the card before the validity ends?

Cards not redeemed within validity are reported as unexercised balance. Corp-Merch.MX recommends three options: extend the validity 30 additional days with a reminder, donate the unexercised cards to an allied foundation with pieces from the catalogue, or redirect the balance to another programme of the year. The policy is defined before launch.

Can the recipient exchange the piece after receiving it?

Yes, within the programme exchange policy. Corp-Merch.MX recommends an exchange policy by size or manufacturing defect during the first 15 days after delivery. The exchange is operated from the pre-paid catalogue without the recipient losing the benefit and without the company incurring significant additional cost.
