Private Terrace — the most expensive hour of the year in CDMX, the sunset where the corporate closes the deal or loses the deal

The Private Terrace is the space where Mexican industrial groups, family offices, and IMMEX corporates hold the executive cocktails, product line launches, and year-end celebrations that don't fit in a closed room. Capacity runs 80 to 150 in cocktail format and 40 to 80 in open-air seated dinner format. What distinguishes the Private Terrace from any other room in the same hotel, business club, or corporate is not the view (typically spectacular: Polanco, Reforma, southern CDMX with the Ajusco in the background), nor the furniture (outdoor seating, tall tables, mobile bars), nor the catering (curated canapés and author mixology). What distinguishes it is the light. The most expensive hour of the year in CDMX is the sunset over the city, the 18:30 to 20:00 window where the sky colour changes, the photos become Instagram-worthy, and the merch has to respond to that changing light. The Private Terrace merch solves three problems other venues don't have: visible colour shift by daylight, outdoor presentation (wind-resistant, light rain-resistant, drink condensation-resistant), and rain Plan B backup (tent, alternate room, rescheduling).

Private Terrace logistics, access and weather

The Private Terrace operates with one or two load-in accesses depending on location: when on the rooftop of a five-star hotel, access is via the hotel's service freight elevator with restricted hours and a short mounting window (3 to 5 hours before the event); when in the corporate or in a room with a patio, access is via back-of-house or the private parking. Delivery is typically during a 13:00 to 17:00 window (before guest arrival). Private Terrace operations staff audit every merch box with visual inspection; POP material (banners, backings, displays, outdoor kakemonos) requires an entry guide signed by the organiser and the terrace operations lead.

For events with weather risk (May to October in CDMX), we coordinate with the corporate or terrace operator's weather service, monitoring the forecast every 30 minutes during the 6 hours before the event. If rain probability exceeds 60%, we activate Plan B: tent, alternate room, rescheduling for 24 to 48 hours later. The Plan B merch is delivered in parallel from one week before the event, with moisture-resistant packaging and silicone-sealed box, ready to activate within 30 minutes.

For events with international production (IMMEX, US, Asia), we invoice in USD at the Banco de México rate of the day before the event and USMCA compliance when the merch crosses the border as part of the hospitality kit. The merch chain of custody is documented with signature, time, and photography at each control point: load-in entry, inspection by operations staff, mounting on the Private Terrace table or counter, restocking during the event, post-event collection.

Private Terrace compliance, prohibitions and permits

The Private Terrace has operating rules the merch must respect: no pyrotechnics outdoors near the terrace (compliance with CDMX Civil Protection regulations and the Federal District Civil Protection Law), no merch with flammable or sharp materials, no pets, no food or beverage outside the authorised catering service. For events requiring limited-edition merch (numbered anniversary polo, signed book by the guest author, press with the corporate anniversary year), we liaise with the Private Terrace operations team to ensure the piece complies with the security protocol, the corporate protocol, and the hotel or business club protocol.

For events attended by public officials, diplomatic corps, or international artists, we comply with the Private Terrace security protocol and the Banca y Industrial Police when applicable. For events with television broadcast or media coverage (sunset press conference, influencer photo session), we comply with the broadcast protocol with camera-visible and camera-hidden pieces.

For SAT invoicing, we issue CFDI 4.0 with 16% IVA breakdown and support for deduction as Marketing, Public Relations, or Training expense, depending on the merch use. For corporates with IMMEX or US operations, we provide complementary invoicing in USD or EUR and USMCA support. The merch is delivered with carta porte 3.0 when interstate or international transit applies, with foreign trade complement when applicable, and with payment complement when the corporate pays in instalments.

MOQ, costs and Private Terrace bookings

Sunset merch — from $1,320 MXN before IVA per piece at 80-piece MOQ. Launch kit — from $1,950 MXN before IVA per piece at 100-piece MOQ. Staff merch — from $890 MXN before IVA per person at 20-person MOQ. Rain Plan B — +18% surcharge on main merch cost, activated only if the protocol triggers. Costs do not include the Private Terrace rental, which is quoted directly with the hotel, business club, or terrace operator events team depending on date, time, setup, and additional services (catering, mixology, outdoor furniture, audio, heating, tent).

For events on high-demand dates (autumn and winter sunsets, year-end, anniversary celebrations), we hold calendar with 60 days' notice and firm written commitment. For low-demand dates, we hold with 30 days' notice. Express production under 18 days incurs a +30% rush surcharge. Booking is made with a 14-point brief: event date, event type, attendance, pieces per package, corporate brand manual, corporate colour palette, terrace restrictions, weather protocol compliance, load-in logistics, rain Plan B, post-event donation, and SAT invoicing.
