Salon Q-2 Bajio Poliforum: four simultaneous halls, four languages on the press kit, and the German supplier forklift crossing the dock before the OEM stand team arrives

Salon Q-2 Bajio Poliforum is the multi-hall fair complex on the Queretaro-Celaya industrial corridor: four halls of 4,500 square metres each, connected by technical corridors with 5-tonne forklift-rated flooring, eight flush-level loading docks, a central press room with 80 working positions, a transmission cabin for live press, a European and Asian Tier 1 supplier hospitality area, and a common foyer for 4,000-person registration. It is where the Bajio Industrial Fair, the Automotive Supplier Encounter, the Aerospace, Appliance and Plastics Salons, and the USMCA compliance conventions with suppliers from Germany, Japan, South Korea, China and the US run.

What separates Salon Q-2 Poliforum from any other multi-hall venue in the country is the logistics coordination across the four simultaneous halls: Hall A's exhibitor kit must be delivered before Hall D's set-up finishes, the trade press kit must appear in the central press room with the press release in four languages (es/en/de/ja) before the morning coffee break, and the visiting CEO VIP merch must cross the dedicated dock at the Queretaro intercontinental airport hangar before the executive flight lands. The merch cannot be the slow link in the chain.

Salon Q-2 logistics, access and custody

Salon Q-2 Poliforum runs eight flush-level loading docks for 12 to 18-tonne trailers, two per hall, with restricted hours 05:00 to 23:00 for material entry and 19:00 to 05:00 for post-event pickup. Pedestrian freight access requires prior identification, complex badge and signature in the per-hall logbook with photo; no informal access and no entry through the main door. The Poliforum operations crew delivers the POP material, the exhibitor kits and the press kits with identification and visible badge, and handles restocking during the technical breaks. The Salon Q-2 back-of-house has four areas per hall: the press area of the hall (where the press kit is mounted), the stand warehouse (where stand merch is kept in sealed boxes with the exhibitor seal), the hall protocol area (where VIP merch is held in an armoured room) and the technical circulation corridor (where forklifts move).

For multi-hall fairs with IMMEX suppliers present, we bill in USD or EUR at the Banco de Mexico FIX rate the day before the event, with USMCA compliance, deductibility support as Supplier Relations or Industrial Marketing expense in the exhibitor's tax close, and rules-of-origin compliance when the merch crosses the border as part of the supplier disclosure material. For fairs with public officials (ProMexico, SE, SAT, Banco de Mexico, INA) we comply with the complex security protocol and the Guardia Nacional when applicable. The merch custody chain is documented with signature, time and photograph at every checkpoint: dock entry, operations review, transfer to back-of-house, restocking during breaks, post-event pickup.

Salon Q-2 compliance and prohibitions

Salon Q-2 Poliforum has operating rules the merch must respect: no material crossing between halls without inventory at the source hall dock, no backpacks or large bags in the main halls (journalists use the central press room for their gear), no merch with noise or distraction elements during technical presentations, no food or beverages outside the complex kitchen service, no POP material with competitor logos (a frequent OEM and Tier 1 rule), no professional merch photography without written authorisation from the hall operations area. For sessions that require limited-edition merch (numbered anniversary shirt of the exhibitor, coaster with the launch year, signed book, Valle de Guadalupe limited distillate) we coordinate with the complex operations area so the piece meets the security, press and transmission protocols when the launch is corporate and rebroadcast to the corporate press rooms in Stuttgart, Tokyo or Detroit.

For SAT invoicing we issue CFDI 4.0 with the 16% IVA breakdown and deductibility support as Industrial Marketing, Supplier Relations or Corporate Communication expense, depending on the merch use. For corporates with IMMEX operations we handle supplementary billing in USD or EUR with the foreign trade complement and USMCA compliance when the merch crosses the border as part of the supplier disclosure material abroad. For groups with dual listing (BMV and NYSE/Nasdaq) we handle bilingual billing (es/en) and USMCA compliance when the press kit crosses the border as part of the institutional investor disclosure material abroad. Merch is delivered with carta porte 3.0 when interstate transit applies (Queretaro-Mexico, Queretaro-Nuevo Laredo, Queretaro-Manzanillo), with the foreign trade complement when applicable, and with the payment complement when the exhibitor pays in instalments.

Salon Q-2 Poliforum FAQ

Can you deliver the exhibitor merch grouped by hall and signed by the set-up chief?

Yes — we deliver the merch with a receipt per hall and per stand, with the set-up chief or plant manager signature, delivery time and the uniformed delivery staff signature. The custody chain is documented with photography when the complex protocol allows it, and is held in sealed boxes with the exhibitor seal during the day for return at the end of the fair.

Can you handle the merch for multi-hall fairs that repeat every year?

Yes — we handle annual scheduling with the same brand manual, scaling the run per the launch agenda, special guests (international analysts, SAT observers when applicable, external plant auditors), expected trade press coverage and the halls actually occupied. Coordination with the communications director for the editorial curation of the press kit in four languages.

Can you invoice the merch as supplier relations expense in EUR with IMMEX compliance support?

Yes — we issue CFDI 4.0 to SAT with the 16% IVA breakdown and deductibility support as Supplier Relations, Industrial Marketing or Corporate Communication expense, depending on the merch use. For corporates with IMMEX operations we handle supplementary billing in USD or EUR with the foreign trade complement and USMCA compliance for the cross-border movement of the kit to the Tier 1 supplier resident abroad.

Is Corp-Merch an official partner of Salon Q-2 Bajio Poliforum?

No. Corp-Merch.MX is an independent workshop for the curation, production and logistics of merch for multi-hall Bajio fairs, IMMEX launches and USMCA compliance conventions at Salon Q-2 and other venues in the Queretaro-Celaya-San Luis Potosi industrial corridor.
