Hybrid Room 1 — where the Mexican CEO presents quarterly results to CDMX press and to Bloomberg and Reuters financial desks on a satellite call

Hybrid Room 1 is the CDMX room where a Mexican corporate holds its quarterly press conference with physical attendance from El Financiero, La Jornada, El Universal, Expansión, Milenio and El Economista reporters, and satellite link to the financial desk of Bloomberg in New York, Reuters in London and The Wall Street Journal Americas desk. Capacity runs 40 to 110 in press cocktail format or 28 to 70 in lectern-microphone format. What distinguishes Hybrid Room 1 from an ordinary press room is not the lectern or the overhead camera, but the simultaneous interpretation booth staffed by two booth interpreters (Spanish-English and English-Spanish) accredited by the CDMX Superior Court of Justice, a retractable screen with bilingual quarterly charts, and an ISDN line with satellite backup for the call with the Anglo-Saxon press. The merch that arrives here operates under two parallel regimes: in-person reporter kit (handed over at the registration desk with the corporate communications director's business card) and remote reporter kit (dispatched via DHL Express or UPS Worldwide to the reporter's address in NYC, London or Buenos Aires, with USMCA compliance and customs declaration when the kit value crosses the duty-free threshold).

Hybrid Room 1 logistics, booth and remote press

Hybrid Room 1 operates with dual access: press entrance through the main door with ID registration and load-in through the service corridor with capacity for one cart carrying 14 boxes. In-person reporter kit handover happens at the registration table 60 to 90 minutes before the press conference, with signature in the logbook. Remote reporter kit dispatch happens the same day, during business hours at the destination, with international tracking number and estimated delivery date.

The simultaneous interpretation booth has double glass, Shure SM35 headset microphones and a digital audio console with analogue backup. The interpreters work in pairs, rotating every 30 minutes, and receive their kit with sufficient lead time to review the financial glossary of the quarter. Remote press joins via ISDN or encrypted web session (WebRTC with TLS 1.3), with room microphone and audio return to Hybrid Room 1 so in-person reporters can ask questions.

For conferences with television press, we follow the corporate media manual and coordinate with the audiovisual production team of Hybrid Room 1. For radio press (W Radio, Radio Fórmula, Imagen Radio, Radio Centro), we support reduced kits without USB, with card and physical dossier. For trade press (automotive, pharma, energy, mining, retail, banking), we run differentiated editorial curation: technical annexes in English for Bloomberg and Reuters, technical Spanish for El Financiero and Expansión.

For conferences that bring CDMX press together with reporters from the Mexican interior (Monterrey, Guadalajara, Querétaro, León, Puebla, Tijuana, Mérida, Veracruz, Cancún), we run parallel kits with regional curation: CDMX kit for physical attendance, interior kit for national dispatch via Estafeta, FedEx Nacional or DHL Nacional with tracking. For conferences covering CFDI 4.0, payment complement, IMMEX or USMCA, we ship a bilingual dossier with the relevant clauses of the quarter and technical Q&A support.

Hybrid Room 1 compliance, press and fiscal framework

Hybrid Room 1 has rules the merch must respect: no pets, no merch with noise elements (bells, alarms, pre-recorded voices), no merch with third-party logos not authorised by the corporate, no merch with flammable or sharp materials. For conferences with Bloomberg, Reuters, WSJ or Financial Times, we follow the corporate manual for international press and the Hybrid Room 1 protocol, plus the confidentiality clause signed by the press before receiving the remote reporter kit.

For conferences with television press, we follow the broadcast protocol with camera-visible pieces (bottle, folder) and camera-hidden pieces (encrypted USB, sensitive dossier) per the corporate manual. For conferences with reporters from countries with foreign-exchange controls (Argentina, Turkey, Egypt, Nigeria), we support the customs declaration of the remote reporter kit with declared value below the duty-free threshold or full declaration when the value exceeds it.

For SAT invoicing, we issue CFDI 4.0 with 16% IVA breakdown and support for deduction as Public Relations or Marketing expense. For corporates with IMMEX or US operations, we provide complementary invoicing in USD with foreign trade complement and USMCA support. For corporates with reporters in jurisdictions that require local invoicing (Miami, Buenos Aires, Bogotá, São Paulo, Madrid, London), we invoice in the local currency at the Banco de México rate of the day before dispatch.

Merch is delivered with carta porte 3.0 when interstate or international transit applies, with foreign trade complement when the kit crosses the border, and with payment complement when the corporate pays in instalments. For conferences with Russian, Chinese or other-market press subject to specific customs regimes, we provide consular documentation when applicable and compliance with the temporary import regime of the destination country when the kit forms part of the visiting reporter's hospitality compliance.
